1 Buffalo Grove Symphonic Band Board Meeting Minutes Regular Meeting, Sept 6, 2012 Board Members Present Jim Osters, President Howard Green Dawn Karis Jay Seifried Al Nudelman Art Piel Doug Mark Howard Shapiro Board Members Absent Lynne Yura President Jim O. called the board meeting to order at 6:02 PM. Approval of Minutes Upon motion by Howard G. and second by Howard S., the board unanimously approved the minutes from the July 12, 2012 meeting. Roster Report Dawn K. reported that Nicola Trumbull and Maggie Rimmac (clarinets), Dan Naughton (percussion), Amanda Timson and Jessica (flutes) joined the band. Aaron Zarkowsky (percussion), Jim Kornfeld (trumpet) and Sara Leach (french horn) left the band. We have not been able to locate prior copies of the liability waiver forms so each member will be asked to complete the form anew. This will occur at tonight's rehearsal. Treasurer's Report Howard S. reported that income YTD expenditures exceed revenues by about $725, but we still have nearly $20,000 in our account. Our summer concerts raised over $2500. 2 Symphonic Band concert at Libertyville High School, Nov 10 Concert time is 7:00 PM; call time is 3:00 PM. Publicity is underway, posters are available for distribution. Postcards will be available 9/18. Tickets go on sale at the Village Hall Monday 9/10. Logistics discussed - Jay S. and Howard G. will reconfirm with officials at LHS that all is set. We need to remind all band members to assist in requesting local advertisers and sponsors to support the band. Jay S. will prepare a document for distribution to the entire band next week that will contain all details, and include appropriate handouts for supporters. (See attached copy) Upcoming Christmas Concerts Confirmed dates are: Sun Dec 2 - Lutheran Church of Good Shepherd, Prospect Heights, 3:00 PM Sun Dec 9 - St Mary's Catholic Church, Buffalo Grove, 2:00 PM Wed Dec 19 - NW Assembly of God, Mt Prospect, 7:00 PM Band Board Elections Elections for the Board will be held on Thur Oct 11, per our band by-laws. All existing Board members except Lynn Yura (librarian) will stand for reelection. Jessica Scott has agreed to fill the librarian's position in the slate of candidate for election. 3 New Business Al N. suggested the Band look into making an offer to 'buy in' to the Park District's plans to acquire the property currently occupied by the Beth Am congregation and convert that space into a performance venue. With this memo, you are receiving 3 copies of the Band's advertising and sponsorship letter to potential advertisers and patrons. At the bottom of this page is the simple checklist you need to follow to help us obtain advertisers and sponsors. Remember -- the ONLY SOURCES of our funding are concert ticket revenue, bake sales, gifts, and our advertisers and sponsors. It typically costs us over $3, per concert to buy music, rent facilities, pay various support and performance personnel (solo artists, etc.), and maintain our equipment. Please dedicate just a little bit of your time to help us with this activity. Just follow the simple steps below. We sincerely appreciate your assistance. The Board (Howard, Jim, Dawn, Jay, Al, Art, Doug, Howard, and Lynn) ============================================================= Find businesses in your neighborhood, or people you know in business Talk to them about the Band. Why you love it! How it is such an important part of the community. Ask them for their support. As little as $25 will get them recognition! Provide them a copy of the letter and the sponsorship page HELP THEM COMPLETE THE FORM(S). HELP THEM or U.S. Mail Susan Levy and/or help by taking the information DIRECTLY to the Village Hall if that is convenient for you THANK them on behalf of the Band Give them a copy of the current concert POSTCARD and invite them to attend

5 September 19, 2012 The Buffalo Grove Symphonic Band was started in 2001 by the Village of Buffalo Grove Arts Commission and Music Director, Howard Green. We have over 70 members and have performed more than 60 exciting, high-quality concerts. The Band performs two formal concerts each year. As many as 1000 people will attend these concerts, which occur each fall and spring. Our audience attendance rises each year as supporters of our band spread the word of our wonderful group. We will be presenting our 11 th Annual Fall Concert on Saturday evening, November 10, at 7:00 pm. Please consider publicizing your business in our program book for this event. Preparing and presenting our formal concerts can cost over $3000 for music, facility rental, etc. The group s operating budget for these expenses comes entirely from paid admissions, private and corporate sponsorships, free-will donations at our annual holiday concerts, and advertising revenues. Advertising in our program book is a wonderful and inexpensive opportunity to grow your business, as well as a good way to give back to the community while showing your support of the arts in our community.
