2 Dear West Side Montessori Parents: The plans for the 2016 Spring Fundraiser are underway! We hope to make this year s auction more special than ever. Last year we raised over $109,000 directly benefitting our students and faculty. Join us for a spectacular evening on May 14, 2016 at The Premier Banquet Complex on Heatherdowns Blvd. This year s theme is West Side 75, presenting the groovy culture of the 70 s as we celebrate our 40 th anniversary. For our new families, this is our signature event and largest fundraising event of the year. You won t want to miss the fun festivities and opportunity to mingle with other parents and friends. The event features silent and live auctions, lively auction games and delicious grazing stations. Tickets to the event are $100/per person and reservation information will be provided soon. The Spring Fundraiser is a wonderful evening that brings the entire West Side Montessori community together. It benefits our children by raising funds to support our outdoor campuses, program materials and enhancements, professional development for teachers, and technology. To be successful, we need each and every family to help in one way or another. Volunteer: Join the Spring Gala Committee share your time, treasures and talents with us.there s a lot to do! Fill out the attached volunteer form. Donations: We are currently accepting donations from individuals and businesses. You can help by donating an item to be auctioned or perhaps by asking your place of business, relatives, or friends for a donation. Everyone knows someone to ask! Businesses are remarkably happy to donate it is good advertising and a tax deduction for them! Use the attached Donation request letter to ask everyone you know to be involved and the Donation form when you have received an item. We ll send the donor a letter for a tax deduction and credit them in the Auction Program. The committee is looking for specific items - See the attached sheet for donation suggestions. Monetary donations are also welcome. Sponsorships: We provide opportunities to sponsor a portion of the auction, allowing more of the proceeds to benefit our children. This is a perfect opportunity for your employer or your business to make a contribution to the event. Event sponsors are prominently featured in the Auction Program and at the event. See the Sponsorship/Advertising Form for sponsorship opportunities. Underwriting: We provide opportunities to underwrite a portion of the event s expenses (such as decorations, dinner, centerpieces, etc.) allowing more of the proceeds to benefit our children. Consider getting together with several families to donate underwriting costs. Advertise: Advertising is a great way to both support West Side and promote your business! (see the Sponsorship/Advertising Form for rates). Attend: Attend the auction and encourage others to attend. Ticket information will be available in the near future. Don t forget to save the date! As you can see this is a huge undertaking and a group effort is definitely needed. Thank you in advance for your help. We look forward to a fun and successful auction.

3 VOLUNTEER The West Side family is very special. We have the imagination, determination, contacts, and resources to make this a very successful endeavor. Putting them to work for the auction will be an exhilarating and heartwarming experience. We couldn t do it without your ideas, donations, time and attendance!! Decorations Prepare and execute plan for decoration of facility. Advertising, Sponsorships & Underwriting Solicit Ads for the Auction program and secure auction sponsors from local businesses. Silent/Live Auction Display Coordinate all items. Group smaller items into packages for display. Package items into baskets or creative displays. Catalog Preparation Design & word-smith the event catalog. Display Boards/Item Display Create artistic, imaginative display boards for presentation and marketing of the auction items. Set-up Help to set up event on Saturday, May 14 beginning at 9 a.m. Event Volunteer Work the night of the event. Tear Down Help to tear down event and clean-up. 4 Auction Item Donations West Side is fortunate to have so many families contribute to our auction every year. Unique items, exciting weekend getaways, cool merchandise, and valuable services we love it all! Soliciting donations is a critical part of the auction; without auction items, we wouldn t be able to have an event! Some items we know our guests would love bidding are listed below. Please consider a donation and then fill out the attached item donation form or contact Roberta Handel at rhandel@montessoritoledo.org. THANK YOU!! 1. Themed parties hosted by a parent or group of parents. As a host, you choose the location, number of guests, date, time and theme and supply the resources to create a unique and fun party or event. Dates can be mutually agreed upon or select a set date. Bidding can be done by top bidding couples or to the highest bidder. The ideas are endless tapas party, backyard barbeque, girls night out, Mexican fiesta, clam bake, wine-tasting, craft beer bash, luau, children s party, etc 2. Sports Items Do you or your place of business have access to sport tickets or suites OSU, University of Michigan, Tigers, Lions, Walleye, MudHens, etc.? How about sports memorabilia? Golf packages? Our guests will bid high on these items. 3. Time Share/Frequent Flyer miles Can you help us build packages for our live auction with a donation of a time share, cottage, vacation home, frequent flyer miles or hotel points? We will work with you to create the perfect donation for our guests. 4. Children s items/themed baskets We all love to purchase items for our kids! How about donating popular children s items or themed baskets, such as art supplies, legos, games, books, t
