3 Electra Elite IPK II In-Mail Utility Guide Control No. INT-2017 (IPK II) Document Revision 1 WARNING The IPK II system must be powered off and the In-Mail drive must be removed from the KSU CPU when using this utility. The telephone system and In-Mail will be inoperable during this time. Introduction The NEC In-Mail Utility can be used to do the following: H H H H H Determine the version of system voice prompts currently installed on the In-Mail Compact Flash card. Refer to Selecting the Compact Flash Card on page 6. Back up the system voice prompts as well as recorded names, messages and greetings stored on the In-Mail Compact Flash card to your PC hard disk. Refer to Backing Up the In-Mail Compact Flash Card on page 6. Restore the system voice prompts as well as recorded names, messages, and greetings stored on the your PC hard disk to the In-Mail Compact Flash card. Refer to Restoring a Backed-up Database to the In-Mail Compact Flash Card on page 7. Update the system voice prompts stored on the In-Mail Compact Flash Card (required for feature upgrades). Refer to Updating the System Prompts on page 8. Optionally initialize (completely erase) the In-Mail Compact Flash card and load the latest system voice prompts. 4 August 2006 Electra Elite IPK II Requirements When installing the In-Mail utility, the following minimum requirements apply: H H H Pentium 330 MHz with 128 MByte RAM, 256 Color 800 x 600 display, USB port. Windows 2000 or XP and above. Compact Flash Card Reader (SimpleTech STI-UCF-100 or equivalent), or, if your PC has a PCMCIA slot, PC Card Adapter for Type I Compact Flash Cards (SimpleTech STI-CFAD or equivalent). Installing and Starting the In-Mail Utility Installation 1. Insert your In-Mail Utility CD or double-click the installer file (e.g., NEC In-Mail Utility Version 1_2.exe). Once the installer starts, Figure 1 In-Mail Utility Install Wizard Welcome Screen is displayed. 2. Click Next, on the Install Wizard Welcome Screen. 5 Electra Elite IPK II August On the In-Mail Utility Install Setting Screen (Figure 2), click Install to accept the displayed information. Figure 3 In-Mail Utility Install Wizard Install Completion Screen on page 3 is displayed. 4. On the Install Wizard Completion Screen (Figure 3), click Finish. This completes the installation. 6 August 2006 Electra Elite IPK II Starting the In-Mail Utility 1. Turn off the telephone system and access the In-Mail ETU. (Refer to the In-Mail Quick Setup Guide that came with In-Mail for additional instructions, if required.) 2. Following proper anti-static precautions, remove the In-Mail Compact Flash Card from the In-Mail ETU. (Refer to Figure 4 Removing the Compact Flash Card from the ETU.) 3. Insert the In-Mail Compact Flash Card into the PC s Compact Flash Card reader. Figure 4 Removing the Compact Flash Card from the ETU 4. Double-click the In-Mail Utility shortcut on the PC s desktop. 7 Electra Elite IPK II August 2006 To check the utility version number, click here, then select About NEC In-Mail Utility... Select the Compact Flash Reader and display important In-Mail Compact Flash card information. Backup to the PC and restore the voice prompts as well as recorded names, messages and greetings stored on the In-Mail Compact Flash Card. Update the voice prompts stored on the In-Mail Compact Flash Card (required for feature upgrades). 8 August 2006 Electra Elite IPK II Selecting the Compact Flash Card After inserting the In-Mail Compact Flash Card into the reader, it must be selected. 1. From the In-Mail Utility Main Screen (Figure 5), click Select. Figure 6 Utility Select In-Mail Card Screen is displayed. If the In-Mail Compact Flash Card is changed in the middle of an In-Mail Utility session, click Select to read the new card. Device Select the In-Mail card from the drop-down box. 2. Use the drop-down box on the Utility Select In-Mail Card Screen (Figure 6 on page 6) to select the card (Device) and click OK. Figure 6 Utility Select In-Mail Card Screen Status: Indicates the In-Mail Utility is ready to use the installed card. Type: Type of In-Mail The In-Mail Card portion of the Main Screen updates with the card information. (Refer to Figure 7 Updated In-Mail Portion of in-mail Utility Main Screen.) Device: The card reader drive ID or volume label (if any). Prompt Version: The version of the system prompts on the In-Mail Compact Flash card. Figure 7 Updated In-Mail Portion of in-mail Utility Main Screen Backing Up the In-Mail Compact Flash Card The voice prompts, as well as the recorded names, messages and greetings stored on the In-Mail Compact Flash Card can be backed up to the hard drive on the PC. 1. To back up the In-Mail Compact Flash Card, click Backup on the In-Mail Utility Main Screen (refer to Figure 5 In-Mail Utility Main Screen on page 5.) 6 Electra Elite IPK II In-Mail Utility Guide

9 Electra Elite IPK II August 2006 The Save As (Backup) Screen is displayed. (Refer to Figure 8.) The default backup directory is C:\NEC\In-Mail\Backup. A directory for the backup hard drive of the PC. If maintaining several customer sites, consider making a separate folder for each site. Caller ID data, stored as part of an incoming voice message, are not retained during the backup. This information is lost. After the backup, messages stored in Subscriber Mailboxes may be restored as new messages. 2. Select the location (Save in:) on the hard drive of the PC where the backup files will be stored and click Save. The backup may take several minutes. 3. Figure 8 In-Mail Utility Save As (Backup) Screen Figure 9 In-Mail Utility Backup Complete Message Restoring a Backed-up Database to the In-Mail Compact Flash Card System voice prompts, as well as the recorded names, messages and greetings backed-up on hard drive of the PC can be restored to the In-Mail Compact Flash Card. 1. To restore backed-up data to the In-Mail Compact Flash Card, click Restore on the In-Mail Utility Main Screen (Figure 5 on page 5). Electra Elite IPK II In-Mail Utility Guide 7

10 August 2006 Electra Elite IPK II 2. On the In-Mail Utility Database Restore Screen, choose the database to be restored to the card (Look In:, File name:) and click Open. (Refer to Figure 10.) Restoring a database to an In-Mail Compact Flash Card will erase all the data currently stored on the card. The restore will take several minutes. 3. When the restore completes, Figure 11 In-Mail Utility Restore Complete Message on page 8 is displayed. 4. On the In-Mail Utility Restore Complete Message Screen, click OK. (Refer to Figure 11.) Figure 10 In-Mail Utility Database Restore Figure 11 In-Mail Utility Restore Complete Message Updating the System Prompts You may need to update the In-Mail system prompts on the In-Mail Compact Flash Card to be able to use new features. The documentation that came with the new software will indicate when this is required. 8 Electra Elite IPK II In-Mail Utility Guide

11 Electra Elite IPK II August To restore backed-up data to the In-Mail Compact Flash Card, click Update on the In-Mail Utility Main Screen. (Refer to Figure 5 on page 5.) The default location for the system prompt file is C:\NEC\In-Mail\Prompts. Recorded names, messages and greetings are not lost when the system voice prompts are updated. 2. On the In-Mail Utility Update Prompts screen, select the file prompt update file (*.imp) and click Open. (Refer to Figure 12.) Figure 12 In-Mail Utility Update Prompts 3. When the prompt update completes, the Figure 13 In-Mail Utility Prompt Update Complete Message is displayed. If the system voice prompts that are currently set on the In-Mail Compact Flash Card are newer than the prompts that are being set, a message similar to the one in Figure 14 In-Mail Utility Prompt Update Version Conversion Confirmation Screen is displayed. 12 August 2006 Electra Elite IPK II 4. On the In-Mail Utility Prompt Update Version Conversion Confirmation Screen (Figure 14), click Yes to overwrite the newer prompt set or No to cancel the update. Overwriting a newer system voice prompt set with an older set can disable certain In-Mail features. 13 Electra Elite IPK II August 2006 Initializing the In-Mail Compact Flash Card The In-Mail Utility provides the option of initializing (reformatting) the In-Mail Compact Flash Card. Initializing completely erases the card and loads the latest system voice prompts. All recorded names, messages and greetings are permanently erased during initialization. 1. To initialize (reformat) the In-Mail Compact Flash Card, click Initialize on the On the In-Mail Utility Main Screen (Figure 5 on page 5). Figure 15 In-Mail Utility Initialize Confirmation Screen is displayed. 2. On the In-Mail Utility Initialize Confirmation Screen, click Yes to continue initializing or No to cancel. If Yes, a screen indicating that the format option must be selected is displayed. (Refer to Figure 16 In-Mail Utility Format Options Message Screen.) 14 August 2006 Electra Elite IPK II 4. When Figure 17 In-Mail Utility Format Selections Screen is displayed, select the options on the screen and provide the appropriate information. Capacity indicates the storage capacity of the In-Mail Compact Flash Card. This option cannot be changed. For File system, the FAT option must be selected. If FAT32 is chosen, the In-Mail Compact Flash Card will not work in the In-Mail ETU. The Allocation unit size option cannot be changed. It should be set as shown. To help identify an In-Mail Compact Flash Card, optionally enter a Volume label. The label can be up to 11 characters, and typically represents a site or customer. The In-Mail Utility displays the volume label in the In-Mail Card: Device field. The setting for the Quick Format option has no affect. Leave it either checked or unchecked. 15 Electra Elite IPK II August Once the proper selections have been made on the In-Mail Utility Format Selections Screen (Figure 17 on page 12), click Start. On the In-Mail Utility Format Removable Warning Screen (Figure 18), click OK to initialize the In-Mail Compact Flash Card, or click Cancel to abort the initialization and exit without initializing. On the In-Mail Utility Format Complete Message screen, click OK to return to the In-Mail Utility Format Selections Screen (Figure 17 on page 12). Figure 19 In-Mail Utility Format Complete Message Screen 9. On the In-Mail Utility Format Selections Screen (Figure 17 on page 12), click Close to return to the Main Menu (Figure 5 on page 5).
