7 SPE London Annual Conference Terms and Conditions for Sponsoring. SPONSORING TERMS AND PAYMENT POLICY 1. CONTRACT 1.1 The following provisions, plus any additions and amendments thereto that may hereafter be established by SPE, become binding upon acceptance of this contract between the Sponsor, its employees and agents, and SPE. 1.2 Each party warrants and represents to the other that it (i) has the power and authority to enter into this Agreement, and (ii) will comply with all applicable laws, statutes, codes and regulations in its performance of its responsibilities under this Agreement. 2. SPONSORSHIP GUIDELINES 2.1 Advertising and logo specifications information will be sent to the Sponsor once sponsorship is confirmed. 2.2 It is the responsibility of the Sponsor to adhere to the advertising and logo specifications information provided, especially relating to submittal of company logos to be used in promotion of the sponsorship. 3. VAT REGULATIONS sales are conducted under both the UK Value Added Tax Act 1994, as amended and the EC VAT law contained in Council Directive 2006/112/EC (Principal VAT Directive) and Council Regulation (EC) No. 1777/2005 (Implementing Regulation). The Implementing Regulation has direct effect from 1 January SPONSORSHIP PAYMENT POLICY SPE requires 100% payment on or before 30 days of the invoice date or if card details have been provided, the card will be debited once sponsorship has been agreed. If a participant has contracted a sponsorship within 30 days of the first day of the event, full payment is required with submittal of the sponsorship contract prior to the first day of the event in order to confirm sponsorship. Upon receipt of a signed sponsorship contract, SPE will send the sponsor a confirmation notice for sponsorship. No confirmation will be sent and no sponsorship will be acknowledged or promoted, either in print or on the SPE official website, until the sponsor has submitted the sponsorship contract. Payment is accepted in GBP only. SPE accepts credit cards, cheques and wire transfers. 5. SPONSORSHIP CANCELLATION POLICY 5.1. Cancellation must be submitted in writing SPE will only refund payments if notification is received in writing on or before 15 June (100% minus an administration charge of GBP 40.00); between 16 June 2018 and 17 July 2018 (50%). No refunds will be made for sponsorships cancelled after 18 July Should a sponsor neglect to provide a balance due payment for a cancellation of sponsorship, SPE has the right to deny the sponsor future sponsorship opportunities. 5.4 If a Sponsor cancels with an outstanding balance due, the Sponsor remains responsible for the entire balance due, plus reasonable attorney s fees to collect. 5.5 The date the notice of cancellation is received shall apply as the official date of cancellation. 5.6 Upon Sponsor notification of cancellation, SPE has the right to resell the sponsorship item(s) forfeited. All cancellations must be presented in writing and will be reviewed and confirmed by SPE Management. 6. SPONSORSHIP DEADLINES 6.1 Conference Preview In order for sponsorship to be promoted in the conference preview: contracts and a high resolution company colour logo (at least 300dpi) must be received prior to 27 June If you have taken a sponsorship item that includes an ad in the Conference Preview, please also submit this prior to 27 June Conference Programme In order for sponsorship to be promoted in the conference programme: sponsorship contracts and a high resolution company colour logo (at least 300dpi) must be received prior to 29 August If you have taken a sponsorship item that includes an ad in the Conference Programme, please also submit this prior to 29 August If a sponsor does not meet the above published deadlines, SPE cannot guarantee promotion of sponsorship.
