1 Location Westminster System Application Administrator Salary 25,000-27,500 The Independent Parliamentary Standards Authority (IPSA) IPSA The Independent Parliamentary Standards Authority (IPSA) is the independent body created by Parliament in 2009 to regulate and administer MPs pay, pensions, business costs and expenses. We ensure transparency and fairness in the way MPs are remunerated and reimbursed for their business costs and expenses, processing around 15,000 claims for costs and expenses each month and publishing the details of these every two months. The IPSA IT department are responsible for the smooth running of the IT infrastructure, maintaining user security and supporting a number of key applications crucial to the smooth running of the organisation. IPSA are introducing a new ERP system, Business World, in summer 2018 encompassing Finance, HR, Payroll and operational functions. The purpose of the role is to provide application administration and Business As Usual (BAU) support within the IT department, with a particular focus on the new ERP system; providing support to end users working alongside Super Users and IT colleagues to deliver a joined-up service. Key responsibilities include: Providing 1 st line support/triage of issues on the IT helpdesk Dealing with ERP application queries as part of the IT helpdesk; Maintaining and developing reports across a number of systems, particularly ERP What we are looking for The successful candidate will have the organisational skills to provide prompt, effective administrative support, you will also have experience working in a technical role with the ability to communicate with people at all levels. You will have the ability to prepare relevant and timely information and deliver it in a clear and concise way to both IT and non-it focused individuals. Previous experience of Business World is desirable, but not essential. 2 Job Description Job Title: System Application Administrator Reports to: Head of IT Directorate: Business Technology Salary Band: B Salary Range: 25,000-27,500 No. of Direct Reports: n/a No. of indirect reports n/a Security Clearance: CTC IPSA reference: Job Purpose: Job role The IPSA IT department are responsible for the smooth running of the IT infrastructure, maintaining user security and supporting a number of key applications crucial to the smooth running of the organisation. IPSA are introducing a new ERP system, Business World, in summer 2018 encompassing Finance, HR, Payroll and operational functions. The purpose of the role is to provide application administration and Business As Usual (BAU) support within the IT department, with a particular focus on the new ERP system; providing support to end users working alongside Super Users and IT colleagues to deliver a joined-up service. Responsibilities will include: Provide 1 st line support / triage of issues on the IT helpdesk Setup user accounts, permissions and passwords across IPSA key systems, including Active Directory, File & Print, , ERP; dealing with ERP application queries as part of the IT helpdesk; escalating ERP faults and submitting new requests to the system vendor; maintaining and developing reports across a number of systems, particularly ERP; maintaining system alerts and notifications in the ERP and other business systems; maintain and update policies and documentation as required by the Head of IT; performing maintenance routines and monitoring exceptions with ERP and other business systems; Report to the regular ERP user group meetings on achievement against internal SLA.

3 Previous experience of Business World is desirable but not essential. Training will be provided. Experience of 1 st line support or systems administrator is desirable. Key areas of responsibility: The key requirements of the post-holder are to: Have the organisational skills to provide prompt, effective administrative support Have good inter-personal skills to deal with colleagues at all levels in the organisation and its customers Have strong communication skills, including the ability to produce high-quality learning materials used across the organisation Ideally, you will have: experience working in a technical support role experience of Business World is desirable but not essential a proactive approach effective oral and written communication skills; experience liaising with a wide range of internal and external stakeholders. the ability to prepare relevant and timely information and deliver it in a clear and concise way to both IT and non-it focused individuals. a logical and sensible approach to tasks the ability to communicate with people at all levels, including the ability to communicate complex technical information to non-technical users 1. Managing and documenting user access. Setting up new users and providing appropriate permissions to enable individuals to perform their job. Modifying user access if users change roles and removing access upon departure. 2. Dealing with queries from IPSA employees and customers regarding the ERP and other IT systems to avoid raising IT faults with 3 rd party supplier unnecessarily. 3. Escalating faults where appropriate, to IT colleagues or submitting new requests to system vendor(s) using their Customer Portals. Providing sufficient information to promote early resolution.
