12 10 Credit Card Processing Within Envision Cloud FAQs Q: I swipe the credit card, but nothing happens. What's wrong? A: The card is not being read properly. Try the following if you have issues with your card reader: Don't rush! Slow down when you are sliding the card. Swipe in the other direction. Turn the card around. The reader can only read one side of the card. Disconnect and reconnect the card reader, then try again. Note: You will know that you successfully swiped the card when you get a processing prompt with an approval code. Q: Why are there tickets in my pending list? A: These are transactions that were sent to the mobile app, but the a card was never processed. You can now select these pending items and process a payment, or choose to remove them. Q: How do I remove tickets in my pending list? A: Log into the Cloud and go to the Sales Register. Remove the ticket number that corresponds with the ticket number in the pending list. Q: What kind of credit card reader do I need? A: You can use an EMV device as long as it is on the same network as your mobile device. You must use a ID Tech Shuttle (unencrypted) magnetic strip reader with the Cloud Companion. Q: Do I have to have a credit card reader? A. No. You can manually enter the credit card information to process a payment. Processing A Return 1. Create a sales transaction in Sales Register screen and add the items that the client wishes to return. 2. Click the edit pencil to open the items that are being returned, and then choose the "Return Item" button for each. 3. Click "Take Payment". Process the same way you would a normal transaction. 4. Once you swipe the card, the credit will process and will be added to the payment list. 5. Click "Cash Out" to save and complete the transaction. NOTE: Returns do not give an authorization code. The return may take time to process. This length of time is defined by the customer's banking institution.

13 Preventatives 11 Preventatives Envision Cloud is designed to limit the user from making credit card transaction mistakes as much as possible with the implementation of the following preventatives. Processing The Same Card Twice When you process a credit card, Envision Cloud will compare that card against the list of cards already processed that day. If you attempt to process the same card again in the same day, you will receive a warning prompt. This is to help prevent users from accidentally double-charging a client by mistake. You will be allowed to process the card again should you choose to do so. Override A Sale You have the ability to log a transaction with credit card WITHOUT processing the card by selecting this option. Otherwise, you MUST successfully process a credit card in order to log a credit card payment type into the payment list. When you select 'Override' you will receive a prompt warning that will alert the user that the card will be added to the payment list without having been processed. The payment will be added with the word 'OVERRIDE' in the notes. If you choose, this ability may be disabled in employee security profiles.

14 12 Credit Card Processing Within Envision Cloud Failure To Complete A Transaction This can happen if you process a credit card without completing and saving the transaction (For example, leaving the page before clicking the 'cash out' button). Envision Cloud will automatically place the ticket On Hold, saving the confirmation code and payment information. Should you have a Z-Out report that doesn't match the total of your Credit Card Transaction Report, select On Hold Tickets from the Options List on the left side of the Sales Register screen. Check your receipts against the transactions On Hold. You can restore the ticket and complete the cash out process. Unable To Remove Tickets If you processed a Credit Card payment, you will not be able to remove that transaction from the Ticket history or On Hold tickets. If you need to remove the ticket to correct for a transaction error, you can void the ticket.
