2 GENERAL INFORMATION ACCESS INTO HALLS & WRISTBANDS ACCIDENT REPORTING CATERING/BREAK AREAS DRINKING WATER EMERGENCY PROCEDURES When CDM is in operation, access into the halls will only be permitted with a valid wristband which can be collected form the Lorry door shutter form the security team. Outside of CDM operating times, A wristband will be provided for access to the halls on production of proof of involvement with Kidtropolis. Proof of involvement is a staff list collected from each primary supplier/exhibitor in pre-show documentation. Individuals arriving on site require proof of ID Every accident no matter how small that occurs within the halls or anywhere on the ExCeL London site must be reported immediately to the Organisers Office. Our H&S manager will then be able to attend and ensure correct procedures are followed. There are seating and quieter areas in the Boulevard where breaks can be taken, primarily close to Boulevard shutter N10. Hot and cold food & drink will be available at a selection of retail outlets during build up and breakdown. Individual opening time should be checked on site. Local shops selling food and drink are a short walk from the West end of the venue Water Fountains are located in all toilets If an evacuation is necessary you will hear the following announcement broadcast over the Public address system, use the nearest available Emergency Exit route to the appropriate Assembly point. "ATTENTION PLEASE. ATTENTION PLEASE. HERE IS AN IMPORTANT ANNOUNCEMENT. IT IS NECESSARY TO ASK EVERYONE TO LEAVE THE BUILDING. PLEASE MAKE YOUR WAY CALMLY TO THE NEAREST EXIT. DO NOT RETURN TO YOUR VEHICLES. EVERYONE WILL BE RE- ADMITTED AS SOON AS POSSIBLE". Bomb Threat: In the event of a bomb threat you will hear the following announcement "ATTENTION PLEASE. ATTENTION PLEASE. STAFF CALL 100" Do not leave the building. Inform your colleagues, and then assist in searching for suspicious objects in your work area. If you find a suspicious object, do NOT touch or move it. Calmly clear the area of people and report to the Security Suite immediately on internal 4444 or in person if necessary. 3 The Emergency is cancelled by the announcement: "ATTENTION PLEASE. ATTENTION PLEASE. STAFF CALL 100 IS CANCELLED." FIRE SAFETY ASSEMBLY AREAS Assembly areas are marked on the plan at the end of this document by a red dot. On hearing any announcements asking for the hall to be evacuated, ALL personnel should leave the halls quickly and head to the nearest Assembly Area, leaving any equipment behind and await further instruction. Fire Exits are clearly signed around the venue. Please ensure you familiarise yourself with the nearest exit to your stand. Ay fire exit with a lit sign above it will be open. All Emergency Gangways must be kept clear of tools, equipment, materials and be accessible at all times On discovering a fire Break the glass on the nearest Manual Call Point (coloured red), which are located adjacent to all exits. Or contact the Security Suite by dialling 4444 on an internal telephone or immediately. Only if you have been trained and it is a very minor fire and it is safe to do so, tackle the fire with the nearest suitable fire extinguisher. Always ensure there is a safe exit route before attempting to extinguish any fire. In the event of a fire report You will hear the following instructions broadcast over the public address system. "ATTENTION PLEASE, ATTENTION PLEASE, MR GOODFELLOW REPORT TO THE SECURITY SUITE" TAKE NO IMMEDIATE ACTION STAND-BY AND WAIT FOR FURTHER INSTRUCTIONS, AND PREPARE TO EVACUATE. REMEMBER DO NOT PUT YOURSELF AT RISK. FIRST AID & MEDICAL COVER HOT WATER LATE WORKING CANCELLATION The fire procedure is cancelled by the following instructions broadcast over the public address system. "ATTENTION PLEASE. ATTENTION PLEASE. MR GOODFELLOW IS NO LONGER REQUIRED". First Aid cover will be available throughout the duration of the event. The Medical Centre is located on Level 0 by the Orange car park. For medical enquiries please phone +44 (0) In the event of a medical emergency dial 4444 on any venue phone (located by the shutter doors) or call +44 (0) on any phone. For the open days a Satellite medical suite is in operation next to Boulevard shutter N10. 4 ORGANISERS OFFICE PERSONAL PROTECTIVE EQUIPMENT SITE RULES TOILETS TRAFFIC WASTE OTHER DOCUMENTATION The upstairs office is accessed from the boulevard to the LEFT (west) of shutter N8. It is manned throughout build up and breakdown and can be reached by calling High visibility clothing must be worn at all times when working in the venue s traffic marshalling yard & Lorry Way All personnel working within the hall/s must adhere to the safety signage displayed at the hall entrances All personnel working within the halls must adhere to any signage displayed. ALL PPE in addition to site rules must be in accordance with your own RAMS documentation Contractors and Exhibitors are required to work in adherence to the Kidtropolis Show manual with core information highlighted at the main site entry points during build and break Toilets will be provided during the build-up and breakdown periods in the Boulevard between N10 & N11 Boulevard Shutter and level zero by S9 Boulevard Shutters There may be traffic movement within the halls and certainly on the lorry way and around the loading bays. Take care when walking around the site and always ensure you wear a high visibility vest. Any vehicles requiring access into the halls need approval from the organiser, are managed on site by Perform Logistics and can only access the halls via a pre-approval service contact the organisers. Drivers must follow the instructions of venue s traffic marshals at all times within the traffic marshalling yard and the North Lorry way Drivers must adhere to all safety signage at all times within the traffic marshalling yard and lorry way Drivers must give way to pedestrians within the event halls Pedestrians must adhere to the designated protected walkways at all times within the traffic marshalling yard & Lorry Way Pedestrians must give way to vehicles within the traffic marshalling yard & Lorry way All waste materials produced during build up and breakdown must be removed form site. Anyone leaving waste materials at the venue will be charged for its removal and a fine will be enforced. Smoking is permitted external to any of the entrances to the venue in the designated areas only It is expected that all personnel conduct themselves in the correct manner appropriate to the environment they are working in and observe and follow the rules as laid out by the site induction and show manual. The use of violence and/or abusive language will not be tolerated. Anyone acting inappropriately will be asked to leave site and may face prosecution, dependent on the situation. 6 CLEANING, WASTE MANAGEMENT AND GENERAL HOUSEKEEPING Please ensure that your work on site does not affect those working around you. Housekeeping should be a priority on site. Paint must not be poured down sinks, brush washing sinks are located on the lorry ways, DO NOT use the internal facilities. Cleaners will be present in the halls to remove general waste, but you are responsible for removing your stand waste off site or arranging with the cleaning team/organisers office an onsite plan. MONITORING OF CDM AND H&S The H&S Floor Manager is on site to monitor all working practices and give advice where necessary. They are also in charge of ensuring Site and CDM Rules are adhered, enforcing and reprimanding as required. Floor managers can be found on the hall floor or via the organisers office In the event someone is found to be in breach of these regulations, they will follow a 3 step procedure: 1. The first time non-compliance is noticed, the name of the company/stand /individual will be taken and they will be advised of the issue around their non-compliance. They will be warned of further action 2. Should the same individual be found to be non-compliant for a second time their site manager will be informed and they be required to undergo the Site induction again. They will be advised that this is their final warning and a second note made against their name. 3. If the individual is found to be in non-compliance for a third time, their Site Manager will be informed, their wristband removed and they will be asked to leave the CDM site. A third note will be written against them and an of non-compliance will be sent to their company. PERMIT TO WORK Any hot work (including Oxy-acetylene cutting/welding, arc welding, gas/oil blow lamps, grinders, LPG burners, soldering) requires a hot works permit to be issued by ExCeL London prior to the commencement of work. The organiser must be contacted first to arrange the permit. RESPONSIBILITIES & LEGAL DUTIES You must ensure the health, safety and welfare of your employees, contractors and visitors as far as reasonably practicable throughout the exhibition. You should ensure that your actions (or inactions) do not give rise to accidents, injuries, or unsafe working environments, provide proper information, instruction and training and supervise all parties throughout your time on site. You should also check that any contractors, suppliers, agents etc that you may be using have a Health & Safety Policy suitable for the exhibition environment. THE HEALTH & SAFETY AT WORK ACT 1974 Health and Safety at Work etc Act Often referred to as HASAW or HSW, this Act of Parliament is the main piece of UK health and safety legislation. It places a duty on all employers "to ensure, so far as is reasonably practicable, the health, safety and welfare at work" of all their employees. It also is the legislative foundation for all workplace Health & Safety Regulations. Kidtropolis Site Induction Document Page 6

7 There are a number of areas of the Act which are of particular importance to the management of contract work: Provision and maintenance of safe plant and safe systems of work Safe handling, storage, maintenance and transport of work articles and substances Provision of information, instruction, training and supervision Provision of a safe place of work with safe access and egress A safe working environment with adequate welfare facilities These must be maintained for exhibitor, contractors and employees of ANY company working within any premises hired by Kidtropolis Ltd The Act places a general duty on employees to ensure the health and Safety of people who may be affected by work activities but who are not employees; this includes contractors, temporary workers and visitors on site The content of this section is meant as a guide only and is not intended to be a complete statement of the law or other regulations. THE MANAGEMENT OF HEALTH AND SAFETY AT WORK REGULATIONS 1999 The e require additional action to be taken in order to ensure compliance, Namely: Requires suitable and sufficient Risk Assessments to be completed, all significant risks must be identified with suitable and sufficient control measures put in place Appointment of competent persons in Health & Safety Establish and implement emergency procedures Co-operation and co-ordination inn shared workplaces Provision and sharing of information The content of this section is meant as a guide only and is not intended to be a complete statement of the law or other regulations. 8 WORKING AT HEIGHT A person is working at height if there is a possibility of injury from falling Where working at height is necessary, a risk assessment must be carried out to identify the appropriate means of access and all work at height must be properly planned, organised and supervised. Working at height should not be carried out if it is reasonably practicable to do the work in any other way. Equipment used for working at height must be suitable for the task e.g: Mobile Scaffold tower shall be constructed and used as per the manufacturer s guidelines Al working platforms shall be protected by guardrails when at a height assessed to present a hazard Guard rails, toe boards, barriers etc must be of sufficient size and strength and place and secured correctly Working platforms and the supporting structure must be stable and capable of supporting the loads Wheeled structures must have wheel locks or other measures to prevent slippage. They must be safely erected, used and dismantled. Nets, air bags and other collective safeguards must be risk assessed to demonstrate that no other, safer work equipment is available and that appropriate training has been provided.
