1 Page 1 of 8 Open List Print this report Detailed Assessment Report Information Systems Mission/Purpose Goals The Department of Information Systems is dedicated to improving the College's administrative processes through the use of technological solutions while providing comprehensive stewardship of information resources and exceptional customer service. G 1: Banner system enhancement The decision-making process at every level of the institution will be data-driven through the continuous enhancement of the Banner system and the immediate delivery of real time ready to use information to every STC administrator G 2: Web Application enhancements The Infrastructure for communication technology will be transformed to be more powerful through the successful enhancement of web application services G 3: Client support enhancement Application support and Information Systems services will be improved Outcomes/Objectives, with Any Associations and Related Measures, Achievement Targets, Findings, and Action Plans O 1: Complete Banner 8 conversion Complete software application enhancement to all Banner System modules by upgrading current Banner System to version 8 M 1: Completion of Banner 8 conversion Full completion of Banner conversion to version 8 by the end of fiscal year

2 Page 2 of 8 Banner 8 conversion will be finished by the end of fiscal year Findings ( ) - Partially Met The Banner 8 conversion is still in the development phase. A test instance was created and the in house modifications and Texas Connection modules were moved to the new test area. Preliminary technical and functional testing has been on-going. The project is 50% complete and is expected to be deployed to production by the first week in April Banner 8 Conversion The Banner 8 conversion will be completed by the target date. O 2: Workflow Implementation Complete implementation of Sungard module Workflow M 2: Workflow process piloted We will pilot Workflow module with Admissions main processes Workflow will be piloted with Admissions processes during Spring 2009 Findings ( ) - Not Met The Workflow pilot project was put on hold on cleint's request. Workflow Pilot The Information Systems team will try to get client's buy in to the Workflow project. O 3: Web Portal enhancements Complete Banner Luminus Web Portal enhancements by redesigning our Jagnet portal to provide web-based access to a more robust set of information for students, faculty, and staff Create high-tech and high-touch pathways to empower students to actively participate in their own success.

3 Page 3 of 8 M 3: Completion of Jagnet redesign Jagnet portal will be redesigned by the target date Jagnet content will be enhanced to include ESAP, Parking and Alert System access by Spring Findings ( ) - Met The web portal enhancements projected for the year were completed. The ESAP, Parking and Alert web base in house applications were designed to be accessed from Jagnet. All applications can be accessed using jagnet account. Move on to other new projects The current project to enhance Jagnet components was completed, so we will move on to other new projects. O 4: STC web applications in Jagnet Creation of new STC in-house web applications to interface with existing Jagnet portal. M 4: New STC web apps will be interfaced The majority of STC in house created web applications will be interfaced to be accessed from Jagnet portal. All new in-house web applications will be created using.net frame to asure timely interfacing to STC Jagnet portal Findings ( ) - Partially Met New applications such as Nursing online apps, Lab track attendance and Tutoring were created using a.net interface. The same concept will be use next year for any new web software applications. STC in-house web apps on Jagnet The.Net concept will be use through out all new web applications and they will be place in Jagnet for easy access. The Luminus authentication for user name and password will also be use as a standard in all new applications. O 5: Complete Student Self Service Banner customization Complete Student Self Service Banner customization to help students, faculty and staff access information and provide the best services possible anytime anywhere.

M 5: Completion of SSB customization Self Service module will be fully customized for students, faculty and staff to use by target date SSB will be fully customized and in use by August 2011 Findings ( ) - Partially Met The Student Self Service Banner customization is an on-going project. Features such as adding EDI status to students transcripts were added to the on-line service. Jag mail for students was also added to SSB. More features will be added next year as the need arises. Self Service Banner customization The Information Systems will continue to customize the SSB module for students, faculty and staff. O 6: Banner channels installation Complete the installation of information channels that provide key information based on the individual role of the user. Whether the user is a staff person, a faculty member, a student, or a combination of roles the user is provided the information that is key to their success Create high-tech and high-touch pathways to empower students to actively participate in their own success. M 6: Installation of information channels completed Installation of information channels completed. By August 31, 2009 Findings ( ) - Partially Met Banner channels analysis was performed, software was upgraded and middle tier applications put in place in order to begin development in the test area. However; the project was moved to a lower priority due to the possibility of changing our Luminus Portal solution to Sharepoint.

5 Page 5 of 8 The team will be re-taking on this project next year as the decision to stay with Luminus is not in question anymore. Banner Channels Implementation The Banner channels will be installed in production next year. O 7: Single Log in for all web applications Integrate one username and password for each student, faculty and staff to access systems such as SSB, Webct, library, STC , and admissions in order to exhibit to the entire community that we deliver a complete and coordinated educational experience Create high-tech and high-touch pathways to empower students to actively participate in their own success. M 7: Single log in and password completion All students, faculty and staff will have a single log in and one password to access all web applications by the target date All web clients will have a single account and password to log in to all web applications by August 2009 Findings ( ) - Met Recently created web applications are authenticating user access and password against the Luminus database. Jagnet accounts are being used for logging in through all different existing web applications. Faculty, Staff and Students have a Jagnet account. STC in-house web apps on Jagnet The.Net concept will be use through out all new web applications and they will be place in Jagnet for easy access. The Luminus authentication for user name and password will also be use as a standard in all new applications. O 8: Main core software application training More functional support will be provided to client offices in the form of hands of training on main core software applications.

6 Page 6 of 8 M 8: Schedule more hands on trainning Information systems will schedule more hands on trainning next year. The training sessions will be scheduled according to client's needs on main core software applications, and will focus on data standard awareness. We will assess training needs for the different clients and schedule training with Sungard consulting team by August Findings ( ) - Met Training on main core software applications such as Banner 8 functionality, Market Place and Banner Relationship Managment were conducted by Information Systems staff and Sungard consultants. More technical and functional trainings will be schedule for the next year as the Banner 8 conversion project progresses. Core Applications training More technical and functional trainings will be schedule for the next year as the Banner 8 conversion project progresses O 9: Conduct IS/Client Focus meetings More communication with client offices by creating focus meetings to discuss current issues and possible solutions to software applications Engage in inter-departmental partnerships and cross-functional teams to eliminate silos and facilitate student success. M 9: Creation of IS/Client focus meetings We will create focus meetings to meet with clients more frequently to talk about current issues and possible solutions to software applications in order to provide more quality in our services. We will formalize at least three different bi-monthly/monthly focus meetings with Student Admissions and Records, Business Office and Human Resources clients by the end of August Findings ( ) - Met The Information Systems department has been meeting with key client offices on a more frequent basis. At least once a month the ACIO meets with Human Resources and Business Office staff to go over current issues and foster clear communication and good customer service.
