References to former MICROS product names may exist throughout this existing documentation set. 1 Cash shortage and surplus management This management is used to enter the total amount of cash after a manual count by the user so that the program can automatically calculate the shortage/surplus. 2 Configuration This mode will be activated by introducing a new Manage cash count flag in geographic nodes in the cash fund options of the sales section. The new flag will be an alternative to the Manage final cash fund flag (and consequently the two managements will also be alternative). In General parameters, in the cash fund options of the Sales section, it will be necessary to define the document type and load and unload motives for levelling documents which will be created automatically. 6 3 Operation We will change the deposit window in order to introduce a text where the operator can indicate the total value of bills and coins collected during the day. Stores Deposits - Cash shortage and surplus management Pagina 4 di 6

7 When the window is confirmed the program will check that the operator assigned a value to the Cash count text and that the value corresponds to the difference between the initial cash fund, plus the cash collected minus expenses, and the final cash fund. With your configuration the count value must correspond to the value the program counts as the deposit. If the values do not match, Stores2 will report the situation to the operator (AV the message must ask to accept the creation of a shortage or surplus, highlighting the corresponding amount) warning the operator that by continuing the operations a cash movement will be generated in order to bring the collected value to that specified by the user. During the deposit registration phase Stores2 will create a new record in the MovimentiCassa table (Expenses management) with the following procedures: Nodo = node registering the deposit; CodiceCassa -> workstation registering the deposit; Data -> corresponds to the date of the sale; Riga -> sequential number calculated automatically by Stores2; Causale -> motive specified in the general parameters. It will be a receipt if the final cash fund needs to be increased, otherwise it will be a disbursement. Importo -> value with which the cash fund needs to be increased/decreased. TipoDocumento-> document type specified in general parameters. NumeroDocumento-> alphanumeric field and will always have the line number assigned as value. DataDocumento -> corresponds to the date of the sale. Annotazioni -> this is a mandatory field which will be assigned a value with the Automatic cash movement string translated into the node s/user s language. Automatico -> value assigned to True. 8 A cash movement registered in this manner will be connected to the deposit in progress. It will be possible to display it in properties as a normal cash movement, generated manually by the operators. The value of the automatic cash movement (corresponding to the difference between cash counted by Stores2 and counted by the program) will not integrate the Spese field of the VersamentiTestate table but we will add the field DifferenzaContantiConteggiati to the same table. Thus the shortage/surplus value will be separate from the value of the expenses and in the deposit window display and properties it will be possible to display it in a specific deposit summary line which we will add (the line will also be visible during the deposit creation phase but that specific cell will have a value assigned only when entering in display and properties because the value is only calculated when confirmed, during deposit registration operations. 3.1 Interfacing with host The ImportoContantiConteggiati and DifferenzaContantiConteggiati fields of the VersamentiTestate (file S2_VSTES) table will be exported to host.
