Emergency Services Fleet & Equipment Management

A key management system that manages your fleet The introduction of Traka has been shown to reduce a customer s spend on its main vehicle fleet, hire vehicles and grey fleet. Based on a typical police force fleet size of approximately 600 vehicles, Traka could save as much as 539k in the first year. On average a force will see a return on investment within 4-6 months, with year 2 onwards savings in the region of 463k.

Reduce hire car costs Fault logging Replace manual paper log book ROI reducing costs Area network of cabinets all controlled in one location Keep track of keys and equipment Electronic records of user history Information reports on mileage, fuel consumption and timescales Automatic alerts to designated managers 6 million key transactions per annum across police forces Capable of saving 539,000 in the first year Unique access permissions A choice of PIN codes, biometric fingerprint readers or cards

Fleet Management savings and efficiencies Management of vehicle fleet shouldn t be limited to how many miles covered or the amount of fuel used but also how the vehicles keys are managed. Traka intelligent access management enables you to control monitor and protect your fleet seamlessly while reducing your spend and saving time. Not only are you trusting staff with your assets, but also your service s reputation on the road. With Traka, you re instantly safeguarded. Only authorised drivers will have access to keys and a real-time audit of all transactions at the cabinet is maintained making them fully accountable for vehicles they are licensed or trained to drive. As the onus is now on them, drivers will take more care leading to less damage and more encouraged fault logging. The results? Greater fleet utilisation and reduced costs. Also, since Traka is entirely automated and audited, the frustration of searching for keys and logbooks will be a thing of the past. And if a speeding ticket lands on your desk, you re one step ahead - you can immediately identify the driver at the click of a mouse. How does it work? It takes just a few seconds for a registered user to remove an authorised set of keys from the intelligent key cabinet. Staff simply identify themselves using PIN, fingerprint or access card and the Traka system will then illuminate the keys available to that particular member of staff. Authorities for specific vehicle key bunches are determined through the Traka software and can be set to allow a user to either remove only one key bunch at a time or multiple keys of different types if appropriate. Once a key has been removed the audit process records the user, the key and the time it was taken. At any time, an enquiry can be made either at the Traka cabinet or via the software, to show who has the key now and who used it in the past. Key features: Automatically vends authorised keys from secure software controlled cabinets Generates unique access permissions for individual staff members Audits and accounts for every key set 24/7 and 365 days per year Traka systems are managing 6 million key transactions per annum across police forces Automatically alerts and notifies designated managers if a key is not returned on time Continuously audits all user and key transactions enabling the generation of real-time reports on who had what keys and when. Report on mileage, fuel, hours used and even where the vehicle is parked Enforce alcohol testing for drivers before vehicle keys are released

Radio Management pool vs personal? Whether radios are issued on a personal or pool basis, Traka is able to assist in the real time management of both the terminals and the battery. Some customers have opted to go for a complete pool radio setup, with many of them finding they have been able to reduce their spend on radio assets by greater use of pool terminals, rather than personal issue of devices to non-essential users. As with vehicle fleet, Traka can provide reporting on the usage of terminals, allowing a customer to re-allocate assets to where they are needed rather than purchasing additional units. How does it work? Each staff members identifies themselves to the locker using PIN codes, fingerprint or access card. Once authorised, the locker door automatically opens and the selected radio can be removed. A staff member will only be able to remove radios which they have been given authority to use through the Traka software. On return, the staff member identifies themselves to the cabinet and the correct locker door will automatically open. RFID tagging confirms the radio is in its locker. Defective radio exchange As well as increased visibility of assets, Traka can be used for management of faulty devices, allowing users to exchange their damaged terminal at a local spares locker, instead of perhaps having to travel into their head office or divisional headquarters. Traka are happy to talk to customers about their specific requirements in order to advise on the best options available. Key features: Automatically vends authorised radios from secure software controlled lockers Controls access permissions for individual staff members Audits and accounts for every radio 24/7 and 365 days a year Automatically alerts and notifies designated managers if a radio is not returned on time RFID tagging ensures every radio is uniquely identified and managed Integrated charging ensures that all radios are fully charged before they are issued to the next user and saves money which would otherwise need to be spent on spare batteries Systems can enable radio software updates during charging process if required Makes staff individually accountable for equipment, resulting in fewer losses and less damage Enables damage and faults to be logged when equipment is returned and ensures that the radio is not issued again until it is fully repaired
