2 KEY RELATIONSHIPS INTERNAL CEO Events team Commercial Development Manager Marketing and Communications Assistant Finance Manager Support Services Manager General Manager All Sport Wellington staff EXTERNAL Funding agencies Sponsors Advertising and PR agencies Sport NZ National and Regional Sports bodies Other Regional Sports Trusts Local Authorities Partners of Sport Wellington PURPOSE OF POSITION The Event Director will develop, manage, direct and oversee event delivery and event capability building activities within and on behalf of Sport Wellington. The Event Director will also help develop and implement event strategies and objectives to ensure the achievement of the organisations Strategic Plan. KEY TASKS 1. Event Planning Create an event project plan including staffing, sponsorship, run sheets and any other requirements fundamental to the safe and successful running of each major Sport Wellington event. Evaluate, improve and grow events to increase levels of participation and the experience to be had by participants. Ensure optimal delivery of the current major events for Sport Wellington including Round the Bays Fun Run/Walk, Wellington Sports Person of the Year and any other events developed. To include liaising with sponsors and delivering on contractual obligations, selling participation in the events, management of the budget for the event, ensuring all event stakeholders achieve their objectives through the events and health and safety management for all events. Identify and develop new major events as directed by the Board of Sport Wellington or the CEO. Develop and oversee the management of the business wide Sport Wellington annual calendar of events. Assign Sport Wellington events (as per the annual calendar) for coordination within the events team and oversee the management of these events. 2. Event Health and Safety Management Develop, manage and implement all relevant health and safety documentation for all Sport Wellington events. Engage all relevant PCBU s for Sport Wellington events to ensure health and safety documentation is completed and complied with. Provide/deliver all required health and safety briefings at Sport Wellington events. Provide the Board of Sport Wellington, the CEO and/or the Sport Wellington Health, Safety and Wellness

3 committee with health and safety updates for each event as required. 3. Sponsorship & Trust Agreements Maintain the relevant relationships for Sport Wellington events in conjunction with the Commercial Development Manager (CDM). Develop opportunities in conjunction with the CDM to leverage and build further commercial opportunity. Support the CDM in seeking new sponsors as required for each event. 4. Marketing and Communications Contribute to and oversee the development of individual event communication and marketing plans and manage implementation for Sport Wellington events in conjunction with the Event Marketing Coordinator. Ensure effective communication to all participants of Sport Wellington events. Oversee the management of the design and functionality of Sport Wellington event website pages to ensure it is user friendly, modern and interactive. Oversee the management and update of the Event pages of the Sport Wellington website, Facebook, Twitter, Instagram and LinkedIn accounts with new information about Sport Wellington events. Ensure all event branding is consistent with Sport Wellington branding. Oversee the development and management of the Sport Wellington Social Media plan and annual calendar across all channels, to be coordinated and rolled out by the Event Marketing Coordinator. 5. Relationship Management Maintain and enhance existing relationships with current stakeholders of Sport Wellington events. 6. Staff Management Management of two full time staff members; Event Coordinator and Event Marketing Coordinator. Prepare casual and volunteer staff role descriptions for each Sport Wellington event as required. Manage the casual/fixed-term staffing team as required for Sport Wellington major events. Manage On the day event staff and volunteers. Manage internships relative to events as required. 7. Revenue Generation Monitor revenue generation acquired via event registrations/tickets sold for the organisation from organised events. Meet event revenue generation targets relevant to above. 8. Budget Management Develop and monitor the budget for each event and provide appropriate reporting to the CEO and Finance Manager for audit and management purposes.

4 9. Other Plan and deliver event forums to be held twice annually for event professionals in the sport and active recreation sector, to provide capability building opportunities. Provide advice to Regional Sports Organisations, other sports organisations and councils in event delivery as required. Other support and administration tasks as required from time to time. PERSON SPECIFICATION ESSENTIAL SKILLS Leadership and Management Event health and safety management experience Budget management experience Ability to manage multiple priorities and team members Solid event management experience with evidence of managing an event through several cycles Strong interpersonal, facilitation and communication skills, leadership qualities and experience working with professionals and volunteers Willingness to work the hours required to ensure the success and delivery of major events (longer hours including weekends will be required closer to the event) Communication (listening, verbal and written) Large event planning skills and experience Presentation skills/facilitation experience Relationship Management Computer and technical literacy Strong time management skills and the ability to prioritise A demonstrated ability to work independently and as part of a team Makes reasoned and timely decisions on matters as and when required Analyse information and identify risks and opportunities Understanding of regional sporting organisations or sporting communities is an advantage ESSENTIAL ATTRIBUTES Ability to build rapport and maintain relationships Adaptability/Flexibility Creativity Perseverance/Drive Tolerance/Compassion Self motivated Teamwork Professionalism Be energetic, enthusiastic and able to work seamlessly with the Sport Wellington events team
