24 PT Personnel Time Management 24.1 PT-RC Time Data Recording and Administration RPTENT00 Report Deleted (Deleted) As previously announced, the RPTENT00 report Time Recording for Multiple Persons and Infotypes is no longer available as of SAP ECC 6.00 (SAP_HR 600). Effects on System Administration If you still require the report for a transition phase to set up and implement the Time Manager's Workplace in your enterprise, please submit a customer message to us in the SAP Service Marketplace. They can then choose the required absence from the list. - Fields were added to the overview of leave. You can incorporate them in Customizing for the Web Dynpro user interface. - When a user is approving a changed absence or leave request, the original data is now displayed alongside the changed request. This gives the approver more background information as to the change. SAP AG 1

In addition, approvers can now select an individual request to obtain information about the employees' time accounts. - Employees and approvers can now check the deduction of an absence in the review and confirmation screen. Note: At the time of approval, the approver sees the status of deduction as at the time the request was sent. The deduction information is not updated, for a better system performance. - The team calendar and the overview of leave now have a validity cache. This means that performance is improved as of the second time the application is accessed. - The colors used in the Time Management Web applications were standardized. Customizing Changes for the Leave Request, Team Calendar, and Calendar - You can customize explanatory texts for the absence types and the related company regulations. - You can use the new Customizing settings for the Manager Self-Service object and data provider for the team calendar and calendar. - You can now use the standard SAP NetWeaver functions to customize the user interfaces. - You can now provide your employees and approvers with additional data to process or display for absences. To do so, you can create a field selection containing selected fields for the attendance/absence types and up to 10 customer fields. - You can deactivate the note function. - Methods have been added to existing Business Add-Ins (BAdIs): PT_ABS_REQ BAdI: Control Processing of Leave Requests - Methods for customizing the layout of the calendar and team calendar - Form of the field selection PT_GEN_REQ - BAdI: Control Processing Processes for Time Management Web Applications - Check in the approval process whether an employee is absent - Refine the value help for selecting an approver - Change the variables of the messages that are output in the Web application Effects on Customizing As part of the improvements in the leave request, the Specify Processing Processes for Types of Leave view (V_T554S_WEB-WEBMO) was redesigned and simplified. You can now also enter the field selection and the explanation of the type of leave, and deactivate the note function. For more information, see the Specify Processing Processes for Types of Leave IMG activity. For information about the new methods for the BAdIs, see the following IMG activities: - BAdI: Control Processing Processes for Time Management Web Applications SAP AG 2

- BAdI: Control Processing of Leave Requests PT-RC-QT Quotas Web Application for Displaying Absence Quotas (New) As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA-HR 600), a new Web application, Time Accounts, is available in the Working Time area. Employees can use it to check their time credits, such as vacation and time-off entitlements. Absence entitlements from the Absence Quotas infotype (2006) can be displayed in the service. It is the successor to the Time Accounts ITS application (PZ09), and was developed for customers who do not use the Leave Request application. Effects on Customizing For more information, see the Implementation Guide for Personnel Management: Employee Self-Service -> Service-Specific Settings -> Working Time -> Time Accounts and the SAP Library: Cross-Application Components -> Employee Self-Service -> Applications -> Working Time -> Time Accounts PT-SP Shift Planning Enhancement of Excel Printing Function/Variant Management (New) The Microsoft Excel printing function has been significantly enhanced. As of Release 4.6C, you can print the requirements matchup separately. You can show and print additional information such as the job or a comment. - You can also use the following options to optimize the printout of the shift plan overview: - Print start and end times of the shifts - Print the shift abbreviations in various fonts (italics, bold, underlined) and the cells in various colors Print the shift abbreviations in a different format where there are time substitutions and different start times SAP AG 3

To access the additional settings, choose Settings -> Print Options. In addition, as of Release 4.6C you can use the following buttons on the Specify Print Options dialog box to manage variants of printing options: - Save variant: You can choose whether you want to save the current settings as a user-specific or a user-independent variant. - Get variant: You can choose whether you want to get a user-specific or a user-independent variant. Effects on Customizing See also To be able to use all printing functions, you have to make the following settings in the Implementation Guide for Shift Planning: In the Specify Control Parameters for Printout activity, you enter the names of the print macros for the enhanced shift plan overview and the requirements matchup. For more information about the enhanced printing function using Microsoft Excel, see SAP Note Enhancement of the Shift Plan Printing Function As of Release 4.70, Support Package 38, you can use the following additional settings to optimize printing of the shift plan overview: - Print information line - Print target plan line in the actual plan - Pring hourly balance line in the actual plan - Print the shift abbreviation in a special format if there are time substitutions or a different start time - Choose various data formats for the day columns - Set the column widths directly in the Print Options dialog box In addition, you can print the requirements matchup separately. To use the additional settings, choose Settings -> Print Options. SAP AG 4

Enhancement to Copying/Swapping of Shifts Copying and swapping employees' shifts in the shift plan overview has been enhanced and simplified. You can now assign shifts faster and more efficiently using this function. The system takes account of markings in the planning overview such as selected employee lines or selected columns for a day. It then transfers the values to the Copy/Swap Shifts/Availability Over Period dialog box, which controls the copy and swap operations. To access the dialog box, choose Edit -> Copy/Swap Shifts. The system transfers the values of the following selections from the shift plan overview to the dialog box: - The period for which the copy or swap applies - The employees whose shifts are to be copied or swapped - Shift and availability line - Only the availability line The following additional function simplifies the copying of shifts: You can now invert the direction of the copy by switching the employees on the Copy/Swap Shifts/Availability Over Period dialog box. To do so, choose Invert Copy Direction. See also For more information about coping and swapping shifts, see the SAP Note PT-SP-PS Shift Planning for Public Sector Deletion of Obsolete Substitutions (New) SAP AG 5

If you change an employee's shift in the target or actual plan, that is, you replace the daily work schedule with another one, the system creates a substitution record in the Substitutions infotype (2003). If you delete the substitution and enter again the original daily work schedule that the employee would be assigned anyway according to the work schedule rule in the Planned Working Time infotype (2007), the current data record remains as a substitution in infotype As of Release 4.6C, Support Package 89, you can set up the system to automatically delete the record in the Substitutions infotype (2003) once you have reentered the employee's original shift. Effects on Customizing To have the data record for a substitution automatically deleted from the Substitutions infotype (2003), you have to process the Activate Deletion of Obsolete Substitutions activity in the Implementation Guide for Shift Planning PT-EV Time Evaluation Enhancements in ESS for Clock-In/Out Corrections (New) As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA-HR 600), a range of new functions are available for the Clock-In/Out Corrections application: Processing Clock-In/Out Entries - An employee's clock-in and out entries and the working times from the Absences (2001) and Attendances (2002) infotypes are in different colors. This means that employees can more easily identify the periods relevant to this application. The colors are explained in a color legend. Note that, as in the Leave Request application, attendances and absences from the infotypes are labeled as "absences." - In the header row of the data entry area, employees can check the work schedules that apply on that day. If there is more important information for a particular day (such as vacation), it overwrites the work schedule information. - Partial-day absences without clock times are displayed in a separate line in the header of the data entry area. - When users enter clock-in and clock-out times, the system provides dynamic default values determined according to the cursor position in the application and the position in relation to the work schedule. SAP AG 6

- You can integrate an approval procedure with the Web application. You can incorporate the field for selecting an approver in your field selection for the Web application. - The colors used in the Time Management Web applications were standardized. Customizing Changes - You can now use the standard SAP NetWeaver functions to customize the user interfaces. - You can display particular fields for processing clock-in/out entries in the Web application on the basis of the selected time event type. You can create a field selection for this purpose. - You can specify a minimum time between two clock-in/-out entries. - You can deactivate the note function in Customizing. - Many employees want to check their clock-in/-out corrections after entering them, to see whether they were successful. Therefore, you can now set the Web application to run time evaluation for employees when they save their corrections. The next time the employees access the application, they can then check whether the same time evaluation messages are issued or whether new ones are output. Note that this function may affect system performance in the application. - The following methods have been added to the PT_GEN_REQ Business Add-In (BAdI: Control Processing Processes for Time Management Web Applications): - Check in the approval process whether an employee is absent - Refine the value help for selecting an approver - Change the variables of the messages that are output in the Web application Effects on Customizing The following new IMG activities are available for the new functions: - Specify Minimum Interval Between Time Events - Define Variant for Time Evaluation - Define Field Selection - Specify Absences To Be Displayed - Specify Display of Partial-Day Absences In the Define Processing Processes IMG activity, you can activate the approval procedure and/or deactivate the note function. For more information about the new methods of the BAdI, see the Implementation Guide: BAdI: Control Processing Processes for Time Management Web Applications. SAP AG 7
