2 TRIAL GUIDE INTRODUCTION Our goal at eone Solutions is to ensure you have a great experience trialing and using SmartConnect. This trial guide includes a summary of: Install & Set-Up Steps SmartConnect Help Resources & Basics Building Your First Integration Training Recommendations Common Questions Contact Information INSTALL & SET-UP 1. Prior to installing SmartConnect, ensure you ve met the SmartConnect Pre-requisites. In the SmartConnect Manual (select for the version of SmartConnect you re using), navigate to Installation/Upgrade Installation Pre-requisites 2. Confirm that the systems and applications you re integrating with are compatible with SmartConnect. In the SmartConnect Manual (select for the version of SmartConnect you re using), navigate to Installation/Upgrade Installation Compatibility 3. Download SmartConnect from the SmartConnect Downloads Page. Step-by-step instructions for installation are in the SmartConnect Manual (select the version of SmartConnect you re using). 1

3 4. Launch SmartConnect and enter your Account Code for SmartConnect. Learn how to access your SmartConnect Account Code in the SmartConnect Manual (select the manual for the version you re using) and navigate to Installation/Upgrade Registration. 5. Run System Maintenance. When you initially launch SmartConnect, you ll be prompted to run System Maintenance, which will set up core processes and tables. You will also want to run System Maintenance in the scenarios where you setup new connectors and also after you upgrade SmartConnect. Each time you Run System Maintenance, SmartConnect registers the connectors and applies updates. 2

4 6. Set up the appropriate connectors for the systems you ll be using within your SmartConnect integrations. Example: If you re going to integrate with Microsoft Dynamics CRM, you ll need to set up the Microsoft Dynamics CRM Connector and enter important details, like the authentication for your CRM environment(s). Refer to the SmartConnect Manual for the version you re using for specific setup details per connector. 3

5 The following connectors require setup before you can use them within a SmartConnect Integration: Microsoft Dynamics GP Microsoft Dynamics NAV Use for Dynamics 365 for Business Financials integration, too. Microsoft Dynamics CRM Use for Dynamics 365 for Sales, Customer Service, Field Service, and Project Service integration, too. Salesforce.com Web Service (For SOAP Web Service API s) REST Service (For REST Web Service API s) Xero Generic ODBC 4

7 7. Create the users that you d like to have access to SmartConnect and assign them permissions. 6

9 SMARTCONNECT COMMON TERMS AND RESOURCES Next, we ll review a few common terms, and important resources to bookmark. COMMON SMARTCONNECT TERMS: Additional Columns Located in the SmartConnect Mapping window, the additional columns contain data transformation that include, but are not limited to calculated fields, translation tables, rolling columns, and data columns. Data Source A SmartConnect data source is a connection to a store of data that is used as the source information for a SmartConnect map. Bulk Data Source A bulk data source is a data store that contains multiple transactions/records to be processed. Many records may be processed in a single map run. Change Data Source A change data source will allow you to configure a schedule for a map and run a map only on changes on the underlying data source since the last scheduled run. Real Time Data Source A real time data source will trigger processing of a SmartConnect map every time the underlying source data is changed. Destination A SmartConnect destination is a connection to a store of data that is to be the recipient of records processed by SmartConnect. Document When multiple transactions/records are processed during a SmartConnect run, each transaction/record processed and sent to the destination is called a document. Map A SmartConnect map defines an integration between a data source and a data destination. Task A task is a process (or step) that is to be run separate from the standard map processing, depending on the events that occur within the map process. Ex: If the map fails, send an with the errors to an address. 8

Once those steps are completed, run system maintenance to ensure the latest updates are applied 1. Create a new map. 9

11 2. In the Map Setup, give your map a name (Map ID) and description (Map Description). 10

12 3. Specify the Source + Key Field. 11

13 4. Specify the Destination. Select the objects (entities/nodes) you d like to integrate with. For some destinations, you may integrate with multiple companies (databases) or multiple organizations. Double click on each of the destination objects (entities/nodes) to open the SmartConnect Mapping window. Example: Account (account), Contact (contact) entities below. 12

14 In the Mapping Window: Use the drag-n-drop interface to map columns from your source to your destination. Create Additional Columns to transform your data along the way. Once created, they are available in your source to map to your destination. 13

15 5. Specify other steps you d like to include in the Tasks. Example, if the map fails, send an notification with a list of errors to integrations@mycompany.com. 14

18 COMMON QUESTIONS Can SmartConnect integrate with? Visit to review the application-specific connectors that SmartConnect offers as well as the more generic data sources and destinations that you can connect to. Does SmartConnect work with Dynamics 365? Yes, for the Dynamics 365 sales, project service, field service, and customer service apps, use the Microsoft Dynamics CRM connector. For the Dynamics 365 Financials, use the Dynamics NAV connector. How does SmartConnect handle errors? In the options tab, if you select that you d to log errors, then SmartConnect will display the errors that have occurred in the Process Errors area. You can see which map failed, the run number that failed, the error message being received from the destination, and you can fix the error within the interface before re-running the maps. Are there templates available for SmartConnect? Yes, eone Solutions offers templates (starting points) on the eone website: Can I create templates for my team to use in SmartConnect? Yes, within SmartConnect in the Maintenance tab, you can create templates for Scripts, SQL Commands, and templates that can be used within your integrations. For example, one popular template that ships with SmartConnect is a notification that includes the list of errors that have occurred. Generally, companies will use this as a task for their map and will send the template that includes the list of errors when the map fails. If you d like to create a set of maps and use them as templates (starting points), you can export/import your maps and configurations using the import and export buttons in the maintenance tabs. 17

SmartConnect is available for purchase as a perpetual license-- $4, % annual maintenance, and also available as a monthly subscription --$267 USD/month. We allow you to have multiple participants from your organization attend so you can stretch your training dollars.
