What is the Portage Network? Portage is a national, library-based research data management network that coalesces initiatives in research data management to build capacity and to coordinate activities better

What is Research Data Management? RDM is the multi-stakeholder process that shepherds research data from beginning to end of a research project, and beyond. Good research data management follows established best practices for planning, collection, storage, documentation, backup, preservation, sharing, and the ethical/legal use of data. RDM is guided by evolving Canadian and International policies, protocols, and standards, and driven by growing demands from scholarly publishers and funders and, we hope, a change in research culture!

What is Research Data Management? RDM is conducted by researchers, in collaboration with experts in data curation and stewardship, advanced research computing and software, archiving, and networks. RDM helps ensure research data are preserved past the end of a research project, are independently understandable and discoverable, and are appropriately accessible to others. RDM delivers value: Well organised, well documented, preserved and shared data are invaluable to advance scientific inquiry and to increase opportunities for learning and innovation. (Corti, et al, 2014).

Network of Expertise 2 New Working Groups o The first, the Portage Institutional RDM Strategy Working Group, aims to develop a generic template for institutions to build upon in response to the first pillar of the anticipated Tri-Agency funding policy. o The second, the Portage Ethical Treatment of Sensitive Data Working Group, will help Portage frame and develop resources and supports for researchers around this key data management issue.

Template Sections 41

Template Structure Structure of a template - Project description (called Plan Details ) Sections: major RDM topics (7) Questions: specific questions within sections (2 or 3) Guidance text: explanations for each question 42

Template Sections 1. Data collection 2. Documentation & metadata 3. Backup & storage 4. Preservation 5. Data sharing & reuse 6. Responsibilities & resources 7. Ethics & legal compliance 43

Template Sections Data Collection What types of data will you collect, create, link to, acquire and/or record? What file formats will your data be collected in? Will these formats allow for data re-use, sharing and longterm access to the data? What filenaming conventions and procedures will you use to structure, name and version-control your files to help you and others better understand how your data are organized? 44

Template Sections Documentation and Metadata What documentation will be needed for the data to be read and interpreted correctly in the future? How will you make sure that documentation is created or captured consistently throughout your project? If you are using a metadata standard and/or tools to document and describe your data, please list here. 45

Template Sections Storage and Backup What are the anticipated storage requirements for your project, in terms of storage space (in megabytes, gigabytes, terabytes, etc.) and the length of time you will be storing it? How and where will your data be stored and backed up during your research project? How will the research team and other collaborators access, modify, and contribute data throughout the project? 46

Template Sections Preservation Where will you deposit your data for long-term preservation and access at the end of your research project? Indicate how you will ensure your data is preservation ready. Consider preservationfriendly file formats, ensuring file integrity, anonymization and de-identification, inclusion of supporting documentation. 47

Template Sections Sharing and Reuse What data will you be sharing and in what form? (e.g. raw, processed, analyzed, final). Have you considered what type of end-user license to include with your data? What steps will be taken to help the research community know your data exists? 48

Template Sections Responsibilities and Resources Identify who will be responsible for managing this project's data during and after the project, and the major data management tasks for which they will be responsible. How will responsibilities for managing data activities be handled if substantive changes happen in the personnel overseeing the project's data, including a change of Principal Investigator? What resources will you require to implement your data management plan? What do you estimate the overall cost for data management to be? 49

Template Sections Ethics and Legal Compliance If your research project includes sensitive data, how will you ensure that it is securely managed and accessible only to approved members of the project? If applicable, what strategies will you undertake to address secondary uses of sensitive data? How will you manage legal, ethical, and intellectual property issues? 50
