1 Request for proposal Management and development of Black Dog Institute corporate website Responses close date: 30 th November Respond by to Queries to Prashant Shroff ph or Project Overview The Black Dog Institute (BDI) would like to engage a full-service Digital Agency in a long-term partnership to provide continuous improvement/enhancements that are consistent with best practice on our flagship website The BDI website is built using Sitefinity CMS and we are looking for a partner who can provide value to our organisation by not only implementing the required solutions but proactively identifying areas of improvement utilising the latest technology. Any online improvements would be done in alignment with the organisation s objectives and priorities. As a not-for-profit provider, value-for-money and cost-effective solutions are particularly important to Black Dog Institute. About Black Dog Institute The Black Dog Institute is a not-for-profit medical research institute dedicated to understanding, preventing and treating mental illness. We are about creating a world where mental illness is treated with the same level of concern, immediacy and seriousness as physical illness; where scientists work to discover the causes of illness and new treatments, and where discoveries are immediately put into practice through health services, technology and community education. Our website is a key dissemination and delivery platform to raise awareness of our work and our services.

2 Key requirements Following are our key requirements to be provided by the digital partner: Ability to work in conjunction with various BDI areas the organisation including research, clinical, knowledge translation, marketing and communications and fundraising to identify and implement the success metrics of the organisation s online initiatives Strong CMS development experience including ability to quickly understand the Sitefinity CMS implementation Solid understanding of SEO best practices Ability to audit existing website, including information architecture and UX alongside BDI business objectives, website end users, roles and requirements Ability to advise on optimal user journeys and conversion funnels Provide a value add by being highly proactive in communicating both problems with existing implementation and new solutions that keep up with market/technology trends to meet BDI s objectives Good understanding of not-for-profit sector and complex website with multiple audience segments including end user requirements from a digital platform and challenges faced by both end users and internal stakeholders in serving those needs Project Goals & Target Audience The BDI website was redeveloped and launched on Sitefinity in January Our project goals are: 1. Migrate from our current provider by end March 2019 at the latest without disruption to our service 2. Put in place effective support arrangements and service level agreements 3. Create an effective partnership that provides advice on creating the most effective website for BDI in line BDIs 2021 strategy 4. Determine a process for scoping and commissioning new functionality requirements after migration is complete. Ongoing support and maintenance BDI is looking for a long-term partnership and require terms and conditions for ongoing support and maintenance of BDI s digital initiatives/assets. The BDI website must have high availability >99% uptime. The Financial year had over 1.1M unique users.

3 Hosting requirements The Black Dog website is hosted in AWS by our current supplier. The management of the AWS environment would be transferred to the successful applicant. The following details the BDI current website server environment. Weekly volume snapshots retained for a year. 2,000 message per day Managed Firewall 3 x 80GB Google Analytics & Google Tag Manager BDI tracks and monitors all on page website activity, user behaviour, and incoming and outgoing traffic, to determine the success of and inform future campaigns. BDI always looks to progress the standard of tracking and information received through Google Analytics and Google Tag Manager. BDI requires recommendations and implementation of optimised metrics - GA events, goals and e- commerce measures, and GTM triggers/flows - that best support our organisational goals.

4 SEO requirements BDI utilises best practice SEO to be perceived as leaders and subject experts in a heavily crowded Mental Health sector. BDI is continually looking for improvements in the SEO space, and requires guidance and recommendations from its new partner to maximise the effectiveness of SEO strategies based on current trends and best practice.

5 Criteria for Selection The criteria for selection includes: 1. Cost-effective pricing Black Dog Institute is a registered charity and has limited funding. Pricing should be considerate of NFP constraints. 2. Respondent delivery capability Demonstrated capability of the respondent to deliver digital projects on time and within budget within the Sitefinity platform. 3. Respondent support capability Demonstrated capability to manage AWS website hosting. 4. Respondent development capability Technical capability in the development and support of Sitefinity websites. 5. Added value Demonstrated ability to add value to website projects including keeping up to date with best practice trends in the market, helping customers to keep their websites fresh and interesting.

6 Format & Proposal Timeline The format of response should include: Details of the AWS support capability Support costs and Service Level Agreement (SLA) details Hourly development costs according to the resource type provided Details of the scoping and commissioning process used in any new development work Details of experience in the development and support of Sitefinity websites A face to face presentation of the RFP response on site at BDI Details of 3 existing companies implemented on Sitefinity to be used for reference purposes A copy of your standard terms and conditions RFP open 5 th November 2019 Responses to the RFP close on 30 th November The successful vendor would be notified in writing by 1 st February The transfer of hosting to the new vendor would be completed by 15 th March 2019.
