2 Objectives Sears Sales (Alex) Reporting is a reporting application which provides access to sales and inventory reports via Vendor Portal. Reports can be viewed online or exported to Excel. You can subscribe to reports and schedule them to run automatically. Requested reports are available for up to two weeks, and you can get both this year and last year sales on the two sales reports templates. At the end of this training, participants will be able to: Obtain access to Sears Sales (Alex) Reporting. Understand basic navigation. Update the default homepage in their preferences. Create and import a CSV file. Save a report. Subscribe to a report. Edit report results. Export a report to Excel. 4 Sears Sales (Alex) Reporting Overview Sears Sales (Alex) Reporting Overview Introduction Sears Sales (Alex) Reporting is a reporting application which provides access to sales and inventory reports via Vendor Portal. Your buying or inventory teams at SHC may refer to this application as Alex. Five report templates are available: Gross Sales Summary analyze gross and net sales performance, returns, and post sales adjustments. Net Sales by Type analyze regular, promotional, clearance, and total net sales performance. Sales/Insight/Turnover monitor sales, inventory, and turnover performance for stores, distribution centers, and total chain. Sales and Stock monitor sales, markdowns, receipts, inventory, sales to stock ratio, checkout, and turnover measurements. Sales and Inventory analyze regular, promotional, clearance and total net sales performance, on hand, and on order. Reports can be viewed online or exported to Excel. You can subscribe to reports and schedule them to run automatically. Requested reports are available for up to two weeks, and you can get both this year and last year sales on the two sales reports templates. Data Availability Note: The calendar year is based on the Sears calendar, which always begins on a Sunday (which is not necessarily the 1st of the month). Sales Reports Gross Sales Summary and Net Sales by Type reports enable daily review of data up to 2 years back plus year-to-date. These sales reports can be requested one day prior to today s date. Inventory Reports Sales & Stock, Sales & Inventory, and Sales/Insight/Turnover reports enable weekly review of data for up to 2 years back plus year-to-date through the last closed fiscal week. Data for each new closed fiscal week will be available on Monday mornings. Note: A maximum of 85,000 rows of data can be pulled for a report. If you try to pull back more than 85,000 rows of data you will be given an error message that your report exceeded 85,000 rows of data. There is also a limit of 100,000 rows when exporting to Excel. Cost Access to Sales (Alex) Reports is not required but is useful in managing your business with Sears. Access requires a license fee of $550 per person, plus an annual maintenance fee of $100. If an employee leaves your company, the licenses are transferable to another employee at your company. For existing Sears vendors/companies that previously had access to Sales Report in Sears Business Exchange, the above fee does NOT apply to your company or any new users that need access to Sears Sales (Alex) Reports. 5 Sears Sales (Alex) Reporting Overview Obtaining Access Accessing Sears Sales Reports To request access to Sears Sales (Alex) Reports, click on My Profile after logging into the Vendor Portal. Then, click on Sales Reports. The Sears Sales (Alex) Reporting application login can be accessed via the Vendor Portal in the Sears Applications group. Click Sales (Alex) Reports to access. 6 Sears Sales (Alex) Reporting Overview Sears Sales Reporting Navigation Navigation to Templates There are several folders you must click through to reach the Sears Vendor Reporting templates: Click Alex3.0 > Shared Reports > BI Analytics > Vendor Reporting > Sears Vendor Reporting. Sears Vendor Gross Sales Summary Report; Sears Vendor Net Sales by Type Report; Sears Vendor Sales & Stock Report; Sears Vendor Sales and Inventory Report; and Sears Vendor Sales, Insight, Turnover Reports are displayed. Set Default Homepage To avoid clicking through so many folders to get to the report templates every time, you can update your preferences and set the reports template page as your default homepage. Once your preferences have been set, you will only need to click Alex3.0 Teradata to access the reports template page. 1. Navigate to the reports template page. 2. Click Preferences in the side menu bar. Note: You must be on the page you want to set as your home page BEFORE you click Preferences. October Sears Sales (Alex) Reporting

7 Sears Sales (Alex) Reporting Overview Set Default Homepage, con t 3. On the General tab, click the radio button next to Last folder: Sears Vendor Reporting in the Default Start Page field. 4. Click Apply at the bottom of the page. My Reports When a user creates and runs a report, they can save it as their own. It is then stored on the My Reports page of the user. Saving reports can save users time and prevents them from manually completing a new template every time they run a report. History List History List tracks reports that have been previously run as well as any that may be currently running. Users can navigate elsewhere once a report starts to run without impacting that report. Navigating to the History List page displays the current status of previously submitted reports. Be Aware! Reports will only remain in your History List for two weeks. My Subscriptions The My Subscriptions page allows the user to manage their list of subscribed reports. 8 Working with CSV Files Help Resources Vendor-specific documentation and introductory video for the Sales Reporting application can be found on the Vendor University tab of the Vendor Portal. Note: Help Documentation cannot be accessed from within the report templates. Return to the home page to access Help Documentation. Help Documentation is also available within the Sales Reporting application. Keep in mind this reporting platform is also used by internal associates and some of the features mentioned in the documentation may not be open to vendors, such as ad hoc reporting. 1. Click Help Documentation in the top right corner of the screen. Result: The help file will open in a new window. 2. Click Alex 3.0 in the left menu pane to open the content. 3. 9 Working with CSV Files Working with CSV Files Overview Users can upload search criteria (e.g. KSNs) by using an Excel CSV file to build a report. Sears Sales Reporting ONLY accepts.csv (Comma Delimited) file types. Standard Excel file types (e.g..xls,.xlsx, etc.) cannot be used. CSV files are useful to build reports for large amounts of data. They also make it easy to use existing data from another spreadsheet. Creating CSV Files Users can either begin with a blank Excel spreadsheet or use an existing Excel spreadsheet if the information is in a simple, one-column format. The information shown below is a simple list of KSN(s) that the user wants Sears Sales Reporting to utilize as search criteria. UPCs, Item #s, KSN(s), WebSKUs, and DUNS #s are examples of possible search criteria. Be Aware! Information must be in a single column for CSV files, or the data will not import into Sears Sales Reporting correctly. Also, keep in mind that CSV files can only save a single sheet of information. Remember, the most important part of creating the.csv file is the format in which the file is saved. Follow the below steps to save an Excel file as.csv: 1. Click File > Save As. 2. Enter a file name. 3. Select CSV (Comma delimited) as the file type. 4. Click Save. October Sears Sales (Alex) Reporting

10 Working with CSV Files Importing CSV Files Once search criteria have been saved into a CSV file, the file can be imported into Sears Sales Reporting. 1. In the right column under Selected, click Value. 2. Click Import File OR click the Import File icon located above Selected. Tip! At this step, it is easy to forget to click Import and just click OK. However, the data from the CSV file will not be imported and you will have to repeat the steps. Be sure to click Import! 3. Click Browse, locate and select the CSV file, and click OK. 4. Click Import. Result: The data from the selected CSV file displays in the text area. 5. Click OK. 11 Reporting Basics Saving Reports Once a report has been created and successfully run, it can be saved in the Sears Sales Reporting application. Saving the report allows the user to easily re-run the same report at a later date. 1. After a report has been run, click the save report icon. Result: The Save As window displays. 2. Enter a name for the report. 3. Select My Reports as the save location. 4. Click OK. Note: Reports must be saved to the My Reports folder. October Sears Sales (Alex) Reporting

12 Subscribing to Reports Sears Sales Reporting provides the ability to set up report subscriptions. Subscriptions can be set up to run daily or weekly. 1. After running a report, click the subscription icon on the Report Results page. When you hover over the icon, it displays, Schedule delivery to History list. 2. Update the subscription name, if desired. Note: To view reports that have run via the subscription schedule, view your History List. 3. Select the desired subscription schedule from the drop-down menu. 4. Select the box to receive an notification when a subscription is ready, if desired. 5. Click OK. Note: There are several options to choose from to schedule your report. Many options have an expiration date so that unnecessary reports do not run indefinitely. October Sears Sales (Alex) Reporting

13 Editing Report Results Sears Sales Reporting allows the editing of report results in order to modify a report or the results to meet specific needs. The position of a column can be changed on the results or a column can be added or deleted from the results. After editing the report results, it can be saved as a new report which will then permanently reflect the changes made. Reorder Columns Left-click a column heading and drag to a different location within the results to reorder the column content. Remove Columns Right click a column heading to display a drop-down menu. Selecting Remove from Grid eliminates the column from the current report results only and will not edit the report itself. October Sears Sales (Alex) Reporting

14 Export Report to Excel Once a report has finished running the results can be exported into an Excel spreadsheet. 1. Click the Export icon. Result: The Export Options page displays. 2. Adjust export settings, if required. Default settings are normally sufficient for most users. 3. Click Export. Result: The File Download window displays. 4. Click Open to view or click Save. Note: If this window does not display, the file has save directly to your Downloads folder. October Sears Sales (Alex) Reporting

15 Export Report to Excel, con t Example of report exported to Excel: Re-prompt Report Sears Sales Reports has a re-prompt feature that is useful for tweaking the returned fields after a report has been run. You may decide to include additional criteria or want to view additional columns. 1. Click Data from the menu above the report. 2. Click Re-prompt. Result: The template for the report displays, and selections for the report are remembered. October Sears Sales (Alex) Reporting

16 Vendor Sales Reporting Templates Overview Templates for the following reports are provided: Gross Sales Summary Report Net Sales by Type Report Sales & Stock Report Sales and Inventory Report Sales, Insight, Turnover Report Click the desired report to view the template options. There are 13 sections available to edit on templates. Sections 3, 5, 6, and 12 must be populated to run the report; the other sections are optional. Use the menu bar on the left to access each section. October Sears Sales (Alex) Reporting

17 Template Completion Instructions Sections 3, 5, 6, and 12 must be populated to run the report. 1. In section 3, add a Time Filter. 2. In section 5, add Product Merchandise Filters. 3. In section 6, update the Product Merchandise View, if desired. Sears Merchant is selected by default. 4. In section 12, update the View by Summary Metrics, if desired. Default fields are selected by default for some of the reports but can be changed. 5. Click Run Report. Criteria Section Details Section 1 Sears Vendor Hierarchy The Sears Vendor Hierarchy section is actually Duns selection. Selecting criteria restricts the report to only display data found on the selected Duns. You may only select one Duns option, or you may select several. Section 2 Sears Vendor Hierarchy View To view Duns information on the report, click Sears Vendor Reporting Duns Number and arrow this selection over to the selection box. If multiple Duns are selected in Section 1, this would be useful to include. Nothing is selected by default. October Sears Sales (Alex) Reporting

18 Criteria Section Details, con t Section 3 Sears Vendor Time Filter (Required) This prompt displays the time variables available to select or enter time. Selecting a time variable restricts the report to only include data based on time selected. Options available for selection differ between sales reports and inventory reports. Sales Reports (Gross Sales Summary and Net Sales by Type): Note: Nothing is selected by default. 19 Criteria Section Details, con t Section 4 Sears Vendor Time View To view time information on the report results, you must select the time metrics and arrow the metrics to the selection box. There will be no time information on the report if criteria are not selected to view. Nothing is selected by default. Options available for selection differ between sales reports and inventory reports. Sales Reports (Gross Sales Summary and Net Sales by Type): Inventory Reports (Sales & Stock; Sales & Inventory; and Sales, Insight, Turnover): Be Aware! This selection may take some time to load. Select the option to save the selected criteria to save time on future reports. Section 5 Sears Vendor Product Merchandise Filter (Required) You can choose to view performance results for Total Sears, or you can drill all the way down to the lowest level and view performance results at the Sears SKU level. Nothing is selected by default. Choose to multi-select at any level of the product hierarchy. For example: Choose a single Business + multiple Divisions in another Business. Choose multiple Category-Groups + Categories across Divisions. October Sears Sales (Alex) Reporting

20 Criteria Section Details, con t Section 6 Sears Vendor Product Merchandise View (Required) Specify the merchandise you want to see represented as rows of data on your report. Multiple selections are permitted. Merchandise View selections work hand-in-hand with your Merchandise Filter selections to enable you to easily review performance results at any level of your Merchandise hierarchy. Sears Merchant is selected by default and represents the highest level of the Sears Merchandise Hierarchy. Possible combinations of Merchandise Filter & Merchandise View selections include: Filter by Business View by Division Filter by Division View by Division and Category-Group Section 7 Sears Load Item or SKU from file This step enables you to type in or upload a group of Div-Item/SKUs. Be sure to type in the Sears Item or SKU numbers formatted with the Division-Item-SKU as listed below. Nothing is selected by default. 1. Select the Sears Item Import criteria and arrow this selection over to the selection box. 2. Load the CSV file as detailed on pgs October Sears Sales (Alex) Reporting

21 Criteria Section Details, con t Section 8 Sears-Only Vendor Geography Filter Specify the selling locations you want to report against. Leaving this blank will allow you to view performance results for Total Sears, or you can drill down all the way to the lowest level and view performance results at the selling location level. Nothing is selected by default. Options available for selection differ between sales reports and inventory reports. Sales Reports (Gross Sales Summary and Net Sales by Type): Inventory Reports (Sales & Stock; Sales & Inventory; and Sales, Insight, Turnover): Tip! The selling location numbers represent the official SHC location number. Reporting using original Sears store numbers is enabled, and is named Orig Facility Nbr. A list of stores can be loaded into the Geography Filter prompts by importing a.csv file. 1. Click on Locn Nb and arrow this selection over to the selection box. 2. 22 Criteria Section Details, con t Section 9 Sears-Only Vendor Geography View Specify the locations you want to see represented as rows of data on your report. Multiple selections are permitted. Nothing is selected by default. Geography View selections work hand-in-hand with your Geography Filter selections to enable you to easily review performance results at your desired level. Some possible combinations of Geography Filter and Geography View selections include: Filter by Store Format View by Region Filter by District View by Selling Location Options available for selection differ between sales reports and inventory reports. Sales Reports (Gross Sales Summary and Net Sales by Type): Inventory Reports (Sales & Stock; Sales & Inventory; and Sales, Insight, Turnover): Section 10 Sears Vendor Product Characteristics Filter Specify the Product Characteristic (Attribute) you want to report against, such as Brand, Color, or Season. Nothing is selected by default. Sears BR Brand vs. Sears Master Brand Sears Master Brand combines single brands into one selection. For instance: Kenmore: Combines Kenmore Pro, Kenmore Elite, and Kenmore product into one Kenmore Master Brand Craftsman: Combines Craftsman Professional and Craftsman product into one Craftsman Master Brand. Diehard: Combines Diehard and Diehard Gold into one Diehard Master Brand October Sears Sales (Alex) Reporting

23 Criteria Section Details, con t Sears SE Season Cd vs. Sears Master Season Sears SE Season Cd consists of a single season, such as Spring 2017, while Mater Season combines product from more than one season code. For instance: Combines all Spring and Summer coded seasonal product into one Spring/Summer Master Season Combines all Fall and Winter coded seasonal product into one Fall/Winter Master Season Combines all Basic/Continuous coded product into one Basic Master Season Sears Color Basic vs. Sears Color Descriptive Sears Color Basic is the color family, such as green. Sears Color Descriptive is the shade associated with the basic color. Below are some examples of green : Mallard Green Manor Green Maple Leaf, etc. Options available for selection differ between sales reports and inventory reports. 24 Criteria Section Details, con t Section 11 Sears Vendor Product Characteristics View Specify the product characteristics you want to see represented as rows of data on your report. Multiple selections are permitted. Nothing is selected by default. Product Characteristic View selections enable you to easily review performance results grouped into logical groupings outside of your regular merchandise hierarchy. Some often-used selections on this step include: View by Brand, Color, or Season Options available for selection differ between sales reports and inventory reports. 25 Criteria Section Details, con t Remember! Help Documentation cannot be accessed from within the report templates. Return to the home page to access Help Documentation. Section 12 View by Metrics (Required) Specify the sales-related metrics that you want to include on your report. Section 12 is defaulted for ALL templates EXCEPT the Sales & Stock report. However, you are able to change the criteria selections. All templates have different criteria to select. View specific template sections on the following pages for more details. For more details on each specific metric available: 1. Click Help Documentation in the top right corner of the screen. Result: The help file will open in a new window. 2. Click Alex 3.0 in the left menu pane top open the content. 3. Click Glossary Terms & Report Metrics. 4. Locate the desired topic. Section 13 Metric Restriction Specify the metric criteria you want to see represented as rows of data on your report. Use this step to filter the volume or content of the data that will be displayed on your report. Like section 12, all templates have different criteria to select. You can also use this step to create a report that will set the criteria to identify your top or bottom performing items or locations, and only those items or locations will be displayed on your report. For example: Select Highest and then type in 10 in the value box to review your top 10 items, stores, vendors, or brands. Select Total Sales Units Greater than 0 and Store Ending Inventory Greater than 0 to limit the number of rows that are returned to your report. Select Bottom 10 Sales Units and Sales Dollars Greater than 0 to review your bottom performers. October Sears Sales (Alex) Reporting

26 Sears Vendor Gross Sales Summary Report The Sears Vendor Gross Sales Summary Report displays gross sales information by time for gross sales data. The report enables views of Gross and Net Sales, Returns, and Post Sales Adjustments. 27 Net Sales by Type Report The Sears Vendor Net Sales by Type Report displays product information by time for net sales data. The report enables a view of the breakdown of Net Sales by Regular, Promotional, and Clearance Sales. 28 Sales and Stock Report The Sears Vendor Sales and Stock Report displays information by week for Sales and Markdowns, Inventory, Receipts, On Order, and Inventory Productivity. The report provides a view of Receipts, Inventory, Sales to Stock ratio, Checkout, and Turnover. Metrics types available in Section 12 include: Net Sales Markdowns Receipts FOW Inventory SS Ratio Check Out Turnover EOW On Hand Vendor Orders Sears to Sears Shipped Orders Sears to Sears Unshipped Orders Total On Order Total Insight Metrics are not defaulted in section 12 for the Sales and Stock Report template. 1. Select a category (Sales and Markdowns, Inventory, Receipts, On Order, or Inventory Productivity) to view individual metrics and add desired metrics to the filter. 2. 29 Sales and Inventory Report The Sears Vendor Sales and Inventory Report displays sales and inventory information for the last closed fiscal week. The report enables a view of the breakdown by Regular, Event, and Clearance Sales plus Inventory On Hand and On Order for Stores, Distribution Centers, and Total Chain. 30 Sales, Insight, Turnover Report The Sears Vendor Sales, Insight, Turnover Report displays information by week for Sales, Insight, and Turnover metrics. These include Gross Sales, Distribution Center Disbursements, Turnover, Inventory On Hand and On Order.
