1 HRDirect How-To This document provides instructions and guidelines for entering time and updating the Current Timesheet in Time Management (UTM). *For instructions on how to access HRDirect remotely, see the Login Home or Mobile How To Guide. If you are accessing the Time Management pages within HRDirect from a mobile device or ipad, you must allow popups. Go to Settings > Safari > and turn Block Pop-ups to OFF. ACCESSING TIME MANAGEMENT (UTM) 1. Open your Internet browser to One.lfg.com. o For the best results, use the most current LFG approved version of Internet Explorer or Google Chrome. 2. Under the Quick Links menu, hover over Human Resources and click HRDirect. 3. From the HRDirect landing page, click Menu in the top left corner. 4. Under the Myself menu, select Time Management.

2 5. The Time Management page will open. o If it does not open, click on the Ultipro Home Page link and repeat Steps 2 through 5. NOTE: Under the Attendance menu, there are two tabs: Timesheets and History. 6. Ultipro Time Management automatically loads to the Timesheets tab. ADJUST PROCESSED TIMESHEET 1. To make an update to an already processed Timesheet, click the Date Selection drop-down arrow and select User Defined Pay Period. o Allow time for the new page to load. This may take some time. V

3 2. Click on the Calendar Icon between the two dates to select the processed date you wish to update. 3. Use the left and right arrows and/or the month and year drop-down arrows to locate the date. 4. Click the appropriate date within the calendar 5. The selected date will appear in red font in the left date box. V

4 6. Click the Search button. 7. The page will reload, reflecting the appropriate pay period's start and end date. 8. Click on the Layout drop-down arrow and select Detail. 9. Layout will readjust to show Detail. o Allow time for the new page to load. This may take some time. 10. The Status will read "PAYROLL," indicating that the Timesheet has been processed by the Payroll Department and is closed. 11. If you attempt to make an update in the Timesheet table, the fields will not activate. To make an update, click the arrow beside Adjustment Timesheet. Example: The selected Timesheet has no processed entries in the Timesheet table. If processed entries are in the Timesheet table, see ADJUST PROCESSED TIMESHEET WITH PROCESSED ENTRIES. 12. The Adjustment Timesheet will open. V

5 13. Hover over the white block inside the Adjustment Timesheet table o The Adjustment Timesheet table automatically defaults to three rows. 14. While in the Adjustment Timesheet Table for the User Defined Pay Period, enter updates by clicking within the appropriate row and selecting/entering the appropriate information. Example 1: Assuming a 40-hour work week (8 hours per day, 5 days per week schedule), select PayCode 5[PAID TIME OFF] and enter 8 in the Reg column for a full workday of approved Paid Time Off (PTO). Example 2: Assuming a 40-hour work week (8 hours per day, 5 days per week schedule), select PayCode 23[NO PAY] and enter 4 in the Reg column for a half day of No Pay (perhaps for a personal appointment). 15. After all updates have been entered, click the Save button. NOTE: Further updates can be made in the Adjustment Timesheet, either as new entries or updates to previous entries that have not yet been processed by the Payroll Department. V

6 16. To indicate that the Timesheet is saving, the word Processing will appear. 17. Once saved, the Timesheet will automatically reallocate the hours from Reg to the OTS, OT, DT, or Daily Hours columns as appropriate NOTE: The completed fields will alternate between shaded and unshaded. ADJUST PROCESSED TIMESHEET WITH PROCESSED ENTRIES 1. To make an update to an already processed Timesheet with processed entries, search for the appropriate date/pay period under User Defined Pay Period and change the Layout to Detail. 2. The Status will read "PAYROLL", indicating that the Timesheet has been processed by the Payroll Department and is closed. Example: The selected Timesheet displays processed entries in the Timesheet table. V

7 3. If you attempt to make an update directly to any of the entries within Timesheet table, the fields will not activate. To make an update, click the arrow beside Adjustment Timesheet. (Note: Once the time card is approved, any time entered after the Approval Date will have to be entered in the adjustment timesheet; also, the approver is not your manager. It is an employee from HR Operations.) The Adjustment Timesheet table will open. IMPORTANT: The combined hours post adjustment should not exceed the total regular hours allotted for that day. i.e. Assuming a 40-hour work week (8 hours per day, 5 days per week schedule), the net hours for all entries within the Timesheet table and Adjustment Timesheet table should NOT exceed 8 hours in one day. 8 5. While in the Adjustment Timesheet Table for the User Defined Pay Period, enter updates by clicking within the appropriate row and select/enter the appropriate information. Example 1: Assuming a 40-hour work week (8 hours per day, 5 days per week schedule), for Tuesday 07/21/2015, the Timesheet table displays 4 processed hours of Paid Time Off, but the employee took a full workday of Paid Time Off (8 hours). In the Adjustment Timesheet, for Tuesday 07/21/2015, select PayCode 5[PAID TIME OFF] and enter 4 in the Reg column. Tuesday 07/21/2015 now reflects a full workday of approved Paid Time Off (PTO): 4 processed + 4 adjusted = 8 total hours of Paid Time Off (PTO). Example 2: Assuming a 40-hour work week (8 hours per day, 5 days per week schedule), for Wednesday 07/23/2015, the Timesheet table displays 2 processed hours of Overtime, but the employee actually worked one hour of overtime. In the Adjustment Timesheet, for Wednesday 07/23/2015, select PayCode 11[OVERTIME] and enter "-1" in the Reg column to offset the 2 processed hours. Wednesday 07/23/2015 now reflects one hour of overtime: 2 processed + (-1) adjusted = 1 total hour of Overtime. NOTE: When removing hours that have been processed, use a Negative (-) amount. 6. After all updates have been entered, click Save. NOTE: Further updates can be made in the Adjustment Timesheet, either as new entries or updates to previous entries that have not yet been processed by the Payroll Department. V
