3 1. Executive Overview The release of the SAP Business One 9.x version is an important milestone for SAP s ERP solution for Small Businesses and Midsize Companies. The extended core functions, the enhancements for easier implementation and improved integration capabilities will further strengthen SAP Business One s market position. The PDMX Suite for SAP Business One continues to complement and extend the SAP Business One 9.x core functions in critical operational areas in the field of logistics and production. The PDMX Suite: Extending & Complementing SAP Business One 9.x Core Functions The PDMX Suite for SAP Business One consists of 3 parts: Extensions of existing SAP Business One functions An administrative PDMX module offering office functions for defining e.g. the organizational structure of a company, definition of devices and equipment, the creation of reports, definition and planning of delivery routes, the creation of picklists, etc. Finally the PDMX Suite offers functions to support the shop floor operations. These functions are made available on the shop floor on mobile or fixed devices. This includes touchscreens, handheld terminals, through which the operators can execute the logistics, packing and production operations and transfer the required information transparently to SAP Business One. The following paragraphs list the various areas in which the PDMX Suite adds value to SAP Business One 9.x core functions. 4 / 24

5 2.1. PDMX Extensions for SAP Business One 9.x The PDMX Suite integrates a number of extensions within existing SAP Business One functions that are required for specific inventory, logistics, packing and production operations. In the Item Master Data e.g., the PDMX suite adds a number of characteristics that are required for specific treatment and processing of items. This includes settings such as whether an item has a best before date, its shelf life, a second batch number, its quality status at various stages, default quantities on logistic units, serial number tracking, its storage zone type, etc. Also in the SAP Business One user administration, sales order and production management, the PDMX suite has added a number of extensions in the field of authorizations, pick list generation, production release and receipt. These extensions allow to support industry-specific operations on the shop floor and the transparent integration of their outcome in SAP Business One. 5 / 24

6 2.2. PDMX Administration Module for SAP Business One 9.x The PDMX Suite consists of an administration module that is seamlessly integrated in the SAP Business One 9.x environment. The Produmex Tab in the SAP Business One menu contains the core functions of the PDMX Suite. These include: The PDMX Organizational Structure the engine of the PDMX suite where the warehouse structure and all operating parameters for the logistics, packing and production operations are defined Sales covering the outbound logistics operations, including picklists and container management Purchasing covering the inbound logistics operations, including container management Routes covering the delivery options by routes Inventory covering internal logistics inventory operations Production providing an administrative dashboard on packaging and production operations at the shopfloor Cycle counting allowing to initiate and process cycle counts Reports access to specific operational reports, including traceability, audit trail and inventory. Interfacing the EDI module of the PDMX Suite. In the following paragraphs we will point out how these functions relate to the new features in SAP Business One 9.x. 6 / 24

7 Organizational Structure Warehouse Structure & Location Management SAP Business One V9.0 offers new bin location management functions that support inventory management at the administrative level. The SAP Business One bin locations are very useful for the operation of less complex warehouses where goods flows (inbound, internal, outbound) are managed in a manual and paper-based way. In that way companies can manage and track their inventory at bin level. For more complex warehouse operations, that require automated execution of warehouse operations and electronic integration between the warehouse and the administrative level, the PDMX bin locations can be used. PDMX bin locations can be used in conjunction with SAP Business One bin locations, i.e. companies can manage their less complex warehouses with SAP Business One bin locations, whereas they can manage their complex warehouse operations through PDMX bin locations. If need be, the SAP Business One bin locations can be migrated by way of a standard tool to PDMX bin locations. 7 / 24

8 Definition of Equipment and Devices The PDMX Organization Structure also allows to define all relevant equipment and devices that are physically available in the warehouse. This includes printers, scanners, picking carts, packing stations, production lines, silos, etc. Through the PDMX Organization Structure managers and supervisors have control over the way the logistics, production and packaging operations are executed by the operators on the shop floor. 8 / 24

9 Streamlining Manufacturing & Logistics Operations The PDMX Organizational Structure also offers a wide range of configurable settings that allow to fine-tune manufacturing and logistics operations. These settings allow to define in detail how the various processes need to be executed on the shopfloor e.g. Receiving Printing of labels Put-away Cycle counting Generation of pick lists Automatic generation of batch numbers Automatic generation of serial numbers Automatic generation of best before dates Picking Replenishment Moving of goods Production Shipping Printing of documents 9 / 24

10 Quality Management with the PDMX Suite The PDMX Organizational Structure also provides specific Quality Status settings that apply to individual items and which determine how they need to be or how they can be handled. Based on the default quality status (as defined in the Item Master Data) which an item receives at a certain point in the process flow (reception, production, return, delivery) its processing options are defined. The quality status will define whether a product can be put on certain locactions, whether it can be picked, shipped, used for production, etc. 10 / 24

11 Also the possible transitions from a quality status to another and whether or not this has to be accounted for can be set. In the reasons tab of the Organizational Structure the system administrator can easily configure the standard reasons that can be used by the operators or supervisors to explain specific process transitions and exceptions so that all relevant changes are logged. If required it can be indicated that further explanations have to be entered. These settings cannot be bypassed if the indicated status changes or exceptions occur. 11 / 24

12 Sales In the PDMX Sales tab a number of functions are grouped allowing to manage: Open sales orders Picklist proposals Picklists Outbound container management to group and optimize shipping of various sales orders Advance inventory locking prior to registering a sales order Purchasing The PDMX purchasing tab allows to manage inbound containers to group and optimize shipping of various purchase orders (Cfr. image above). 12 / 24

13 Routes The Routes tab in the Produmex menu groups a number of functions related to the planning and execution of delivery routes. This allows to define route templates, i.e. standard routes that are defined for a specific group of customers on specific days. The intuitive route planning tool allows to modify the actual route (add or remove picklist proposals/picklists) and release it for execution at the shop floor (picking and shipping by route) 13 / 24

14 Inventory The Inventory tab in the Produmex menu allows to initiate move orders to be executed on the shop floor. By identifying the product (batch, SSCC, quantity), indicating its source and destination location a warehouse supervisor can electronically transmit the move orders to the RF terminals of the warehouse operators. On the other hand it is also possible to register moves administratively. 14 / 24

15 Production Within SAP Business One Production Orders can be created, planned and released. However SAP Business One does not monitor the execution of these production orders on the shop floor. The PDMX Suite offers functions to manage production orders both on the administrative level as well as their execution on the shop floor. The Production tab in PDMX provides a dashboard on all production orders, with their status. From this dashboard a production supervisor can control the status of production orders and initiate their execution at the shop floor. Also the Goods Issue to production and the Goods Receipt from production can be controlled from here and transferred transparently to SAP Business One. 15 / 24

16 Cycle Count SAP Business One 9.x offers Inventory Counting functionality, that will trigger manual cycle counting and manual entry of the cycle counting results. However, the PDMX Suite allows to automate this process and ensures the electronic transfer of the results to the database. Cycle counts can be initiated by the system based on a number of criteria. The PDMX Suite also allows to execute direct cycle counting if required. Throughout the execution of the cycle counting on the operators RF terminal all information is captured, e.g. also reasons if required. At the end of the cycle counting process the information is transferred electronically to the SAP Business One inventory, thus eliminating transcription and input errors. 16 / 24

17 Reports The PDMX Suite offers specific reports related to actions that are initiated and controlled by the PDMX functions. Inventory Report If the standard location management in SAP Business One 9.x suffices, the inventory reports that are provided by SAP Business One will do. If however there are more advanced location management requirements that are addressed by the PDMX Organizational Structure, the PDMX Inventory Report can provide all information about where stock is located and its characteristics. The PDMX Inventory Report also supports actions such as quality status changes, changes of packaging, locking and unlocking of stock and issuing move orders to be executed at the shop floor. 17 / 24

18 Open Documents Report The Open Documents Report provides an overview of all PDMX documents that have not been completed yet. In this way supervisors have a view on the workload and can control it, e.g. decide to keep pick list proposals on hold, or close pick lists. The Open Documents Report applies to Routes, Pick lists, Picklist proposals, Move orders, PMX Sales shippings (intermediate shipping documents that can be batch processed to SAP Business One). 18 / 24

19 PDMX Traceability Report The PDMX Suite registers all product movements, transitions and status changes and stores these in specific PDMX tables in the SAP Business One database. By way of the PDMX traceability report users have all information at hand to track and trace all product movements and transitions that have occurred. In this way they can easily provide documented evidence to regulatory bodies or their supply chain partners to address any issue in this respect. The PDMX traceability reporting includes all inbound, internal and outbound product movements, as well as issues to and receipts from production, and the actual stock situation at item level. The PDMX traceability reporting also documents all quality status changes of specific batches, logistic units, best-before-dates of specific items and also captures the reasons for this to provide a complete quality record of the items that have been handled. In this way the PDMX Suite provides full-circle traceability functionality in-line with regulated industries requirements. 19 / 24

20 PDMX Audit Trail Apart from the Traceability Report, the PDMX Suite offers another important function for regulated industries: Audit Trail. Audit Trail registers all modifications to critical characteristics of data or processes. In this way it is possible to provide documented evidence of these changes: what was modified, which were the changes, by whom where they made and why. In the context of liabilities and accountability, the PDMX Audit Trail is a very performant and important function. 20 / 24

21 Interfacing The Interfacing tab of the Produmex menu, covers the EDI capabilities of the PDMX Suite. EDI transactions can be automated by scheduled tasks which, at defined times, will transfer the required information or files. Apart from that, the PDMX Suite also allows for manual execution of EDI transactions. Through the PDMX Interface monitor the responsible staff can check whether the transactions have succeeded. 21 / 24

PDMX Shop Floor Module for SAP Business One 9.x The PDMX Suite offers full integration between the administrative transactions in SAP Business One and their automated execution on the shop floor on RF Terminals or Touchscreens Integration of Logistics and Manufacturing Operations with SAP Business One. Based on the settings made in the various PDMX tabs, the actual logistics and manufacturing operations are executed on the shop floor. At all stages there is a transparent exchange of information between SAP Business One and the PDMX Suite, e.g. if a purchase order is added in SAP Business One, this is made available on the operator s terminal for reception. When operators execute the inbound logistics process, the information they have to enter and the result of it will be in accordance with the PDMX settings. When executing a goods receipt the operator will have to specify on his RF terminal where the goods are received, whether or not this is against a specific PO, which product it is and its quantity, upon which the PDMX system will determine based on the Item Master Data which additional information will have to be entered (batch number, serial number, best before date, ). Following the physical reception of the goods, the Goods Receipt will be registered automatically in SAP Business One listing all data that were captured or entered on the RF terminal. 22 / 24
