1 2017 UMKC Koi Show Vendor Packet All vendors will need to complete Vendor Form A Welcome to the 2017 Upper Midwest Koi Club Show. In this packet you will find all that is necessary to be a vendor in our show. Koi keeping is a new and growing market in the United States. This show is your opportunity to market to a target audience of koi and pond lovers. The typical mix of vendors will be suppliers of koi, koi food, pond equipment and consultative services. Additional vendors could include mixed media art reflecting koi and pond motifs (sketches, paintings, ceramics), decorative items for pondscapes, koi motif clothing, koi and/or pondscape motif stationary. Due to the location of our show, Bachman s Garden Center, plant vendors are not allowed. The show is open to the public and admission is free. Each year we have many individuals attend who do not keep koi or have ponds. 2 VENDOR SPACES General: We have twenty (20) booths, 10 x 10. Both Dry and Wet vendors can be accommodated. Booth location assignments will be based upon: Past participation in our annual koi show Stated location preference on vendor registration form Date paid registration fee is received (register early to have a better chance of being assigned your preferred location) Electricity: Power is available but must be requested on the vendor registration form. Vendors will need to supply their own extension cords. Tables: One (1) table is provided at no charge. Please indicate on the vendor registration form if one is required. Additional tables are available for $15.00/each. Chairs are not provided. Wet Vendors: Bio security will be strictly enforced for the safety of all exhibitor koi and all vendor koi on site. Included in your booth registration is ONE hard sided 6 tank. Additional tanks may be requested at a cost of $30.00 each. Water quality is the exclusive responsibility of each individual vendor. Water is provided through the venue but vendors will need to bring their own hoses to prevent contamination. Vendor is responsible for providing any extension cords, pumps, air pumps, nets, bowls, dechlorinator, covers, bags and anything else necessary to sustain livestock and promote sales. Wet vendor show tanks are available for customer purchased koi size 3 and under, Vendor show tanks cost $25 per tank. Food and Beverage: Bachman s has an on site café. The UMKC will provide a self-serve lunch for vendors and show volunteers on Saturday and Sunday (included in booth registration fee). Please indicate on the vendor registration form, the number of booth personnel you will have on site for these two days. Insurance: Vendors are required to have insurance to cover both your employees and owners during the show and agree to hold harmless and indemnify both Bachman s and the Upper Midwest Koi Club for any injury that may occur. Restrictions: Due to the venue location (Bachman s Nursery) and the fundamental mission of the Upper Midwest Koi Club, ALL PLANT VENDORS are excluded Loss Prevention: Our show is free and open to the public. Our traffic over the last few years has exceeded 750 visitors. The Upper Midwest Koi Club assumes no responsibility for lost or stolen products. Loss prevention is the exclusive responsibility of the vendor. Refunds: If a vendor wishes to cancel, a refund of 80% of your registration fee will be allowed if notice is received by June 30, No refund of vendor registration fees after July 1, 2017.

4 Vendor Parking and Unloading Upon arrival, follow the heavy drawn line to the rear of the large Greenhouse (#3). Due to the limited space available, vendors will need to unload and then move their vehicles to the larger North parking lot. Vendors are not allowed to park vehicles near the greenhouse except to unload. Please remember that Bachman s continues to operate their business during the show and requires access to the roads in the unloading location. Thank you in advance for your cooperation. Award Sponsorship use Form B Thank you for supporting and participating in our annual koi show. The koi show is a venue that allows us to introduce koi keeping to the general public and educate individuals who are interested in pursuing this hobby. Award sponsorship is a great opportunity to introduce your business to the Upper Midwest koi market. Please consider sponsoring an award. Award Sponsorship form is due by July 15, Advertiser Submission use Form C The UMKC publishes a Show Program and Resource Guide for distribution during the show. This resource guide is uploaded to our website and additional copies are distributed at various member events throughout the year. If you would like to submit a half or full page ad, please complete the Resource Guide Submission form. Submission deadline is July 1, NOTE: Vendor registration / vendor participation is NOT required to advertise in our show program/resource guide or to sponsor an award.

Sponsorship is first come-first choice. If the award you select has already been sponsored, UMKC will select another award in the same category. You may also designate that your sponsorship can be designated to fill awards as necessary. Advertising in the Resource Guide provides an opportunity for any vendor to receive year-long exposure to our members and koi keeping market. The Resource Guide is distributed to all show visitors, is posted to the UMKC website and continues to be distributed at membership events throughout the year.
