1 RELEASE NOTES June 5, 2016 SUMMARY The new capabilities added in this release are: Integration with the online versions of QuickBooks Integrated parts estimating and ordering through TurboParts, which provides access to the following suppliers: o Advance o InPart o The Alliance* o Parts Authority o AutoZone o Parts Plus* o CARQUEST o Pep Boys (Pep Express o Factory Motor Parts Parts ) o Ford Motorcraft (ecounter) o Pronto* The advisor can complete the operations for the technician * Only some members of these groups work with TurboParts. Check with your local supplier. QUICKBOOKS INTEGRATION Selectline can be connected to your online QuickBooks to simplify your accounting. Selectline can be configured to automatically transfer the relevant job information to QuickBooks when you mark the job as paid, eliminating duplicate data entry. The customer information is synchronized the first time you create or access the customer in Selectline. Customer Synchronization The first time you create a customer in Selectline, it will attempt to find the customer in QuickBooks with the same name. If no customer is found, it will create a new one in QuickBooks. Otherwise, it will link to the customer found in QuickBooks. If you want to search QuickBooks by phone number instead of name, simply replace the name in the Search box with a phone number. 2 Customer Synchronization (continued) Note: If the customer already exists in QuickBooks when the connection is made between the customer in Selectline and QuickBooks, the customer information from Selectline (phone #, address, etc.) is not transferred to QuickBooks. Transfer of Job Data from Selectline to QuickBooks The Selectline invoice information is sent to QuickBooks when you complete the Mark Payment Complete screen and click Submit. This information includes the total parts, labor, sublets, shop supplies, and taxes as well as the totals by payment methods, such as cash, check, credit card, etc. Invoice info is transferred after pressing Submit button 2

3 Configuring the QuickBooks Connection It is necessary to configure Selectline so that it has the credentials to access your online QuickBooks account. It is also necessary to tell Selectline where to place the invoice amounts for your jobs in QuickBooks. This is a one-time configuration, accessible in Settings. We recommend that you have your accountant help you configure this integration. After you complete the configuration, it s important to validate the integration between QuickBooks and Selectline. After you create your first few jobs, compare the Selectline invoices to the information in your QuickBooks accounts to make sure they match. NOTE: If QuickBooks is not accessible from your settings, contact MOTOR Support at for assistance. The QuickBooks configuration can be accessed by selecting Settings from the user dropdown list, then selecting Shop Settings and selecting QuickBooks. When you select the Connect to QuickBooks button you will be prompted for your QuickBooks credentials. QuickBooks Settings Access to Settings Connect to QuickBooks button 3

4 Configuring the QuickBooks Connection (continued) The next step is to map the Selectline parts, labor, etc. to the appropriate Product/Service or Account you have set up in QuickBooks. These will be unique to your QuickBooks environment and will be presented in the dropdown list for your selection. In the example below, total Part Sales on the Selectline invoice will be mapped to the QuickBooks Product/Service that is named Part. Once all mappings are defined, select the Submit button. 5 Configuring the QuickBooks Connection (continued) The next step is to associate the Selectline payment methods with those you ve set up in QuickBooks. Again, the dropdown lists for QuickBooks payment methods and deposit accounts are pre-populated with those set up in your QuickBooks account. The final step is to activate QuickBooks in Selectline, which can be done after you select the Submit and then Next buttons. Selectline Method of Payment QuickBooks Payment Method. 6 AFTERMARKET PARTS ORDERING THROUGH TURBOPART Estimating and ordering parts from Turboparts suppliers (listed below) is now part of the integrated experience within Selectline, eliminating the extra steps required to use multiple systems: Advance Auto Parts The Alliance* AutoZone CARQUEST Factory Motor Parts Ford Motorcraft (ecounter) InPart Parts Authority Parts Plus* Pep Boys (Pep Express Parts ) Pronto* * Only some members of these groups work with TurboParts. Check with your local supplier. After the parts are added to the estimate, stock checks and ordering are done with the simple push of a button. A one-time configuration is required to provide Selectline with the appropriate credentials for accessing the suppliers. Selectline was integrated with NexPart suppliers several months ago and will continue to be integrated with additional suppliers and catalogs in future releases. Estimate Part Price After selecting the parts supplier from the dropdown list, select the part button to load the availability and pricing choices for that specific part into your supplier s online website. 7 Estimate Part Price (continued) Selectline eliminates the need to find and navigate to the part within your supplier s website. The supplier s website uses the part number from the Selectline estimate to find and display it automatically. After browsing the availability, cost and product details, select the green Add button for the desired manufacturer and warehouse and then select Review and Complete. 8 Estimate Part Price (continued) After the part selection is made, Selectline includes the part number and product description in the estimate and calculates the customer price, based on the cost parts markup matrix. 9 Stock Check The Parts List displays the parts included in the estimate from all suppliers, and allows you to order the parts. The part information can be expanded to display the location, quantity, and pricing details. A stock check must be done before ordering, to ensure the parts are still available at the same price quoted on the estimate. The system will notify you if pricing or availability has changed so that you can accept the changes or change the part order. If nothing has changed, the parts will be listed as ready and the Stock Check button will change to Order Parts. 10 Order Parts Once the Order Parts button is pressed, the user has the option to confirm or change the PO number and set an arrival time, as seen in the screenshot below. The PO number defaults to the Selectline job number. PO number Part Cost Set part arrival time Confirm or cancel order Once the order is confirmed, the system sets the part status to Ordered. The order confirmation information is automatically added to the Part Details, as shown below. NOTE: It is important to mark the status of all parts as Received in order to be able to close out the job. Part status = Ordered Order date, PO number, confirmation number & quantity 5

11 Configure Part Suppliers To access any of the TurboParts suppliers it is necessary to configure your preferred suppliers in Settings. Select the online provider name TurboParts for all TurboParts suppliers except Ford Motorcraft and Pep Boys. Access to these two suppliers will be available by selecting the ecounter and PepExpress provider names. It is also necessary to provide the shop s username and password for accessing each of the supplier s online catalogs through TurboParts. The suppliers should be placed in order based on frequency of use, since that represents the order they appear in the supplier dropdown list used for estimating. The top supplier in the list will be the default supplier. Access to part suppliers Arrows for prioritizing suppliers Local supplier name Online Provider Name Access credentials Access to shop settings Obtaining TurboParts Access Credentials for Your Supplier The access credentials you currently use to login to Pep Boys Pep Express Parts and Motorcraft ecounter are the same credentials you should use to configure these suppliers within Selectline. The access credentials for configuring any other supplier within Selectline are NOT the same as the credentials you currently use to login directly to the supplier s online ordering website. Please contact your local supplier and ask for credentials to access Turboparts, so that you can order parts directly through your estimating system. If you have any questions or issues with obtaining credentials, please contact MOTOR support at for assistance. 6

12 Configure Price Markup Matrix This matrix in shop settings is used to enable Selectline to automatically markup the part prices on the estimate, based on your cost from the supplier. Provide the markup for each cost range. Access to markup matrix Configure Parts Ordering Workflow The Parts Ordering Workflow in Shop Settings must be turned on to enable stock checks and parts ordering. This is done by selecting Settings from the user dropdown list, then selecting Shop Settings and then Estimate Workflow. From there, the Enable Parts Ordering Workflow setting can be turned on. 13 ADVISOR OPTION TO COMPLETE ALL OPERATIONS If the technician isn t available to mark all operations complete in Selectline, the advisor has the option to do this. Then the advisor can close out the job and accommodate the customer, using the Complete All Operations button. This can only be done if the job has moved to the In Bay status. A job will be set to In Bay when all operations are authorized by the customers and have technicians assigned, and all required parts are marked as Received and all sublets are marked complete. After selecting the Complete All Operations button the advisor will be prompted to enter the Ending Mileage for the vehicle. Complete All Operations button 8

14 KNOWN ISSUES This list includes the known issues from previous versions, as well as the new issues introduced in this version. Newly introduced known issues are indicated with an asterisk (*). Advisor Known Issues QuickBooks It s not possible to transfer multiple customers with the same name to QuickBooks. As a workaround, include a middle initial or some other unique identifier (Sr., Jr.) in the first or last name field within Selectline to make it unique.* Parts When viewing Details for a part that s been estimated or ordered through a Nexpart or TurboParts supplier, the List Price shown is incorrect. It displays the actual marked up price charged to the customer, instead of the List Price suggested by the vendor. Reports The Sales Summary in the Management Overview doesn t always calculate sales tax properly. 9
