3 Managing Staffing Assignments Staffing assignments play a key role in numerous areas within the application. Staffing assignments allow firms to track client records or tasks based upon the designated role. It allows staffing visibility on projects so firms can view the user responsible for certain roles for the project. The assignments allows firms to track hours, budget and actual, at the role level and ties into the tracking of the scheduling model. The assignments reduce the number of clicks within the application when the mapping has been programmed, pre-populating the move to whom field within the move task option. 1.0 Bulk Add/Edit Staffing Assignments The Manage Staffing Assignment utility allows firms to bulk update client active tasks as well as the client database in one spot. This utility should be used to mass update staffing changes and/or to replace blank fields for client active tasks or client records. Within the Manage Staffing Assignment utility firms have the option to search by the Client Database or by Active Tasks. Add necessary filters, such as find a person to replace, search for blanks in a specific responsible role or by client specific information. Within the search results you can choose the clients to be updated at the task level and/or client database level by selecting the client in the check box to the left. New options allow you to choose the replacement user, ignore the user and replace regardless of current name, update both client database and active tasks and choose the responsibility. NOTE: If you do NOT select the option to apply to BOTH the client database and active task your update will only change what you had chosen in the search criteria, either client database OR active task. 3

4 2.0 Add/Edit Staffing Assignments in Client Database Firms have the option to change the staffing assignments within the client database. Please note, this will only reflect in the client database and any future tasks created. Current active tasks will not be affected. Within the Manage Client utility, search for your client and click directly on the client name to access their personal information. On the right hand side of the client details, click Choose to change the staffing and apply. 4

6 3.0 Add/Edit Staffing Assignments in Tasks Firms have the option to change the staffing assignments within the active task. Please note, this will only reflect in the active task and any rollover tasks if set to pull from previous task. Completed tasks and the client database will not be affected. Within the routing sheet for the task, click C (choose) beside any role. 6

8 4.0 Staffing Reports XCM has numerous reports to show the staffing assignments for clients. The best option to review the staffing in the client database or the active tasks would be to use the Manage Staffing Assignments utilities. You can enter filters to narrow down your search. For a full listing at the client database level, select Find & Replace Client DataBase option, leave all other fields blank and search. For a full listing at the active task level, select Find & Replace Active Task option, leave all other fields blank and search. All results can be exported to multiple formats by clicking the report button. 8
