1 FAQs Introductory Q. What is Proteus MMX? Proteus MMX, a web-based Computerized Maintenance Management System, is a cost effective tool for Facility and Enterprise Asset Management. It reduces costs by capturing data, schedules, and expenses related to parts, assets, and labor. The data captured provide management information relating to lifecycle, reliability, replacement timing, and manpower requirements to keep your facility or factory running with occupant comfort and minimal downtime. The software provides a costeffective maintenance management solution for any size organization. Q. How do I contact Eagle Technology technical support? 2 Tech General Q. Is it available as a cloud solution or for installation on my own server? Proteus MMX is available as either a Cloud installation or On- Premise. For our Cloud installations, the database is hosted by Eagle Technology, with software updates and maintenance as well as daily backups. The second option, On-Premise, is to install the software at your location, on your servers and with updates and database administration handled by your staff. Q. What browsers are supported for Proteus MMX? Proteus MMX is supported with Internet Explorer 11, Microsoft Edge, and the most recent releases of Google Chrome, Safari, and Mozilla Firefox. For an optimal experience when accessing Proteus MMX, earlier releases of Internet Explorer prior to IE 11 should not be used. Q. Can we clone parts, hide inactive parts, and find parts transactions in a log? The parts page within Proteus MMX contains a dictionary or master list of parts. These entries can then be assigned as Stockroom Parts with quantities and cost recorded. The same part can be assigned to multiple stockrooms, so there is often no need to clone parts.

3 A move ticket log records when some quantity of a stockroom part is transferred from one stockroom to another, and a transaction log keeps track of when the part quantity in a stockroom is increased, decreased, or adjusted without being moved between stockrooms. Q. Is there a dynamic dashboard? Yes, a dashboard showing assigned work orders and key performance indicators (KPIs) such work order backlog and scheduled vs unscheduled work order count is available as a standard functional area and the default homepage of Proteus MMX. Q. I can t access Proteus MMX. What is the problem? As web-based software, Proteus MMX needs a high-quality internet connection to operate. Check that you are able to access other websites besides Proteus MMX. Clear your web browser cache and other web history, exit the browser, and then try to login to Proteus MMX again. If the problem persists and you are able to access other websites without issue, contact your IT staff (on premise) or Eagle Technology (cloud) for further assistance. Q. Can we adjust the session time out length? Yes. This is available to the Proteus MMX administrator in Settings > Display Options > What time before session timeout.

4 Q. What mobile devices are supported? Proteus MMX Mobile is available for both Android and ios devices. Q. How are the time zone for settings, for example the Business Hours settings in Settings > Service Requests > Notifications, determined? The time zone can be selected in Settings > Work Orders > Work Order Numbers. After changing the time zone, the Administrator should log out to ensure the change is activated. Q. I can t select a target for a Work Order or Service Request. Why? Make sure Internet Explorer is not displaying Proteus MMX in compatibility mode. Compatibility view settings are located in the tools menu in Internet Explorer:

5 Tech Cloud Q. How long is the data archived? Data in Proteus MMX is stored indefinitely until you purge or delete it. A purge feature is available for some types of data within Proteus MMX and access to this purge feature can be controlled. Your data will not be retained if your cloud hosting lapses or is cancelled, unless other arrangements are made with Eagle Technology. Q. Is it possible to see changes or deletions in Proteus MMX? Yes, with the optional Audit Trail module that can be added to your Proteus MMX order. Q. Can we store system manuals within the CMMS for online access? Are CAD drawings supported? Yes, most documents such as PDF, CAD files, or Word documents can be attached to an asset or work order within Proteus MMX for later reference. You will need appropriate software on your workstation or laptop to view the attachments. Many types of attachments can be viewed on mobile as well but the file formats viewable by your phone or tablet may be more limited than a computer.

6 Q. What other systems can we integrate with, such as reporting software, building automation systems, purchasing, and active directory? Additional modules allowing single-sign with Active Directory or equipment status with BacNET can be added to your Proteus MMX install. Eagle s PDI seamlessly interfaces with Delta Controls ORCAview Building Automation System (BAS) and the BACnet environment. See our list of Building Automation Partners for details. Integration with many purchasing and reporting systems is available by an XML-based web services Application Programming Interface (API) you may need professional services by Eagle Technologies to complete this integration depending on the exact system in use, contact us with the version and name of the system you would like to integrate with for details. Q. Is there a limit on the number of users or concurrent sessions? The Proteus MMX core functional areas are licensed per named user. There is no limit on how many of these users may be logged in concurrently. Q. How often are updates released? Are they automatic? We target a quarterly release schedule although the exact dates will vary. We will contact you prior to updating the version on your cloud Proteus MMX site.

7 Q. Is my data backed up securely? Yes, daily off-site backups are made for our cloud Proteus MMX customers. Q. What happens to our data if we cancel? Your data will not be retained if your cloud hosting lapses or is cancelled, unless other arrangements are made with Eagle Technology. Q. Can our current system data be converted to Proteus? How do we import our list of assets? Yes. We can provide an import template spreadsheet to populate your Proteus MMX install at go-live, or import data available in COBie format. Q. Is there a limit on the amount of data I can enter in the CMMS? There is no practical limit on the amount of data that can be stored and no limit on the number of records for assets or work orders. Cloud-based clients must use Proteus MMX as a CMMS or EAM system and not as a general file store for documents unrelated to facility management unless other arrangements have been made with Eagle Technology. Q. Can I receive an export of the database? Yes, but this requires professional services by Eagle Technology and an additional fee will usually apply.

8 Tech On Premise Q. Are there server software requirements? Yes, Proteus MMX requires: Microsoft SQL Server 2008 R2 or newer Internet Information Services (IIS) 7.0 or newer Window Server 2008 or newer. (Personal operating systems, such as Windows 10, should not be used for the server and will not work with future versions of Proteus MMX) Additionally, the following are required and included with the Proteus MMX installation package:.net v4 Crystal Report Viewer ASPAJAXEXT Q. Are there server hardware requirements? Yes, 2.0 GHz or higher, multi-core processor environment 4 gigabytes or better of available memory (32-Bit OS) 6 gigabytes or better of available memory (64-bit OS) For larger installations, SQL Server and Proteus MMX should be installed on separate servers, with a very good network connection between them.

9 Q. Are there requirements for the client systems? Workstations and laptops used to access Proteus MMX should have Windows 7 or newer, 6 gigabytes of available memory, 2.0 GHz or high multi-core processor, video card capable of rendering 1280x1024, and a supported web browser. Q. I am getting an error Your Product Key will expire in day(s) how do I fix this? Please contact us for a new product key. If we have sent you a new product key, you can apply it by pasting it into the Product Key field in the included Proteus MMX Configuration utility, then clicking Save Q. Can our current system data be converted to Proteus? How do we import our list of assets? The installation package for Proteus MMX includes an import utility which can import spreadsheets created with our import template in Excel, or COBie files, into the Proteus MMX database. Q. Should I run the configuration utility and import utility as administrator? Yes, these utilities read and store information in the registry and should be Run as Administrator as a result. They may not work properly otherwise.

10 Q. How are attachments stored? Attachments are placed in the directory specified in the File Locations tab in the Proteus MMX Configuration utility. Enter the Web Site Name and Application Name from IIS into the Configuration utility to retrieve or change this location. Training-User Question Q. How do we delay planned maintenance? Marking an asset as out of service will automatically prevent work order master schedules from triggering. To prevent the scheduled triggering of a work order master and the creation of the associated preventative maintenance work order, expand the the work order master from the work order master list and edit the schedule for the preventative maintenance. Click the preview tab to view the calendar, click the day you wish to skip the PM triggering, then press the skip or reschedule buttons. If a work order has already been created from a work order master, but the planned maintenance is not needed or applicable due to current circumstances, cancel the work order. Q. Can Proteus MMX send notifications to users when a work request is created? Yes, when a service request is accepted and a work request is generated as a result, Proteus MMX can notify the requester.

11 Q. Can work orders be displayed by employee? Yes. To view work orders with tasks assigned to a particular employee, select the employee name in the Employee look-up list at the top of the work orders page. To view work orders where the overall responsibility for the work order is given to the employee, but they are not necessarily assigned to specific tasks to be completed for the work order in Proteus MMX, enter their name in the Assigned to column in the filter bar. Q. Is it possible to change the work orders view? As with most pages within Proteus MMX, the Work Order columns and fields can be rearranged and renamed, whether looking at the work order list or individual work order details. Q. What happens if I cancel or close the wrong work order? Work orders cannot be reopened. Replace the work order with a new one. Q. How many different languages does the system support? Proteus MMX is available Albanian, Arabic, Chinese, Simplified Chinese Traditional, Dutch, English UK, English US, French, French Canadian, German, Greek, Hebrew, Hungarian, Indonesian, Italian, Japanese, Korean, Malay, Polish, Portuguese, Russian, Spanish, Swedish, Thai, Turkish, Vietnamese.

12 Q. How do we remove obsolete equipment and the preventive maintenance schedule for it? Delete all work orders associated with the asset, remove the association with any work order masters associated to the asset, then delete the asset. Q. How do I reset my password? Your Proteus MMX administrator can reset your password. For Cloud customers that have forgotten the administrator password, Eagle Technology can reset it. Password reset requests must be made in writing from the address associated to the account. An enhanced password reset is planned for the next version of Proteus MMX, Q. How do I change the currency default? The Proteus MMX administrator can set the default currency in Settings > Company > Currencies. Highlight the new base currency in the list and click on the set as base currency button in the toolbar. Q. Can I create a custom report? Customer reports can be created using Crystal Reports. You will need to contact your Proteus MMX administrator (for on-premise customers) or Eagle (cloud) to place the RPT file in the custom reports directory.

13 Q. Can I add photos or drawings to the work order? Yes, as long as your Proteus MMX administrator has granted you edit rights for work order attachments. With the work order open, click on the Attachments tab, and press the add button in the attachment toolbar. You can reuse a previous file from the attachment library (as of version 3.2.2), or upload a new picture. Q. Can I view the maintenance history of an asset? Yes. To do so, filter the closed work order report by the asset number. Additionally, you can view open work orders, cost history, in/out of service log, and scheduled service directly from the asset page by clicking the corresponding links. Q. What tasks should I set up? A detailed list of example tasks is available on request to our clients. Not all tasks will be applicable to all Proteus MMX users. For larger facilities, we suggest including a task for travel time that should be included with most work orders. Q Can I list the suggested tools for the maintenance or break/fix? Yes, tools can be associated to a Work Order master to be added automatically to Preventative Maintenance work order that it creates, or added directly to Demand Maintenance work orders.

14 Q. Can requesters check the status of their work requests and send notes to maintenance techs? Yes, but only if they have a login to Proteus MMX that allows them to view work orders and service requests. However, s can be sent to the requester on a work order status change even if the requester does not have a login. Q. Can we set triggers to send alerts when a work order is in queue and not assigned? Notifications can be sent to designated employees for a work order based on location, and escalation rules can be entered based on time elapsed since the work order start date, since issued, or time inactive. Q. Can we set triggers to send alerts when a work order is completed? Yes. Additionally, a survey can be sent to the requester when the work order is completed or closed to evaluate the work being done. Q. How do I print a Work Order? Highlight the work orders to print in the work orders list, then click the print button on the toolbar to retrieve a print-friendly formatted copy of the work order information. Directly selecting Print in your browser from the work order details will include the menus and other interface elements but omit information on other tabs.

15 Q. Can I print or export a report? Yes, reports can be exported as a spreadsheet, Crystal Report RPT file, or PDF. Q. Where can I see out of service history for an asset? From the Asset Details page, accessible by pressing Edit or View with an asset selected in the Assets List, click the Status Log link. Q. How do I track root causes for demand maintenance? Causes that you would like to track should be added to Proteus MMX in Settings > Work Orders > Causes. Then, the downtime or work order cause can be included on work orders before they are closed. Besides being available in the closed work order list, this field also feeds the Downtime by Cause report.
