1 NSPE Membership Business Model Update Issue 4 TECHNICAL INTERFACE EDITION As we work to implement the new membership model, NSPE continues to enhance and leverage national s installed membership administration technology. A key focus of these efforts is ensuring that every state society participating through integrated affiliation can continue and even improve its ease of information access, quality of interactions, and ability to deliver direct, personal service to members in its state. Just because national is doing the actual billing administration does NOT mean our database needs to come between your state society and its member. In fact, quite the opposite. National is committed, and has the technology and systems in place, to provide every integrated state society a level of dues administration and database support that is absolutely transparent to the member, and to do so regardless of the level of association management system (if any) the state society maintains. For a specific description of how and where your state society membership operations and systems can interface today with national s membership billing and administration system, and the timeline for introducing new features and enhancements, follow the description below that best describes your state society: STATE ADMIN PORTAL NSPE plans to enhance the current NSPE State Admin Portal found online under My Account. TODAY: Authorized state administrators already have direct access to this NSPE State Admin Portal. It allows them to see reports, export data, generate rosters, download/print open invoices, produce financials, etc., for all members in their states. That information is always 100% up-to-date, 24/7, 365 days a year. For example, if a member from your state logs in to the NSPE website, renews their membership or updates their address or other information at 2:34 a.m. on a Sunday, and calls their state society at 2:35 a.m., the information you would see through the State Admin Portal would reflect those changes and/or transactions (assuming, of course, you answered your phone at 2:35 on a Sunday morning!)

2 COMING 1 st Quarter 2018: NSPE realizes that your state society s ability to be the member s first point of contact and create a positive member experience are crucial. That s why upgrades are being implemented to make it easier for you provide even better customer service. Scheduled enhancements to the NSPE State Admin Portal will give authorized state administrators real-time access to member records and allow them to make certain modifications.

3 NOTE State societies that rely on NSPE staff for membership data administration and wish to continue to do so which is the majority of the societies there will be NO CHANGE to the work NSPE staff will preform on your behalf. State societies will not be required to use the portal and take on additional work loads. This is simply an enhancement designed for state societies who wish to be more hands on with the data or will be turning over invoicing to NSPE. This enhancement will allow authorized users to: 1) Find and export individuals in their state society (and their state society only) (simple seach on ID, Name, Chapter, City, ) ) (advanced search includes: Member Type, Member Status, Member Join Date, Member Expire Date, Licensed, EI, Fellow, Life, Retired, Company, Interest Groups, Expertise, Enterprise company) 2) View the member s information, such as contact info

4 3) Edit contact information (name, address, phone, ) and certain demographics 4) Ability to change member s local chapter 5) Pull a report on member changes (Name, Address, Phone, , Company, Changed field) 6) Ability to reset a member s password

5 7) Ability to apply payments for joins, rejoins, and renewals. States that are currently self-billing have requested this consideration. The NSPE tech team is developing a capacity for state society staff to take payments over the phone and apply them through the portal. This does create some issues with financial compliance regulations and needs to be determined if unknown financial practices of state societies would place NSPE at risk, but this could be remedied with increased education of state society staff taking payments. This functionality will give frontline member services staff the ability to directly handle and satisfy member requests, as if the membership database were physically housed on your state society computers. COST TO STATE SOCIETY: NONE National will bear the cost of all implementation work to enhance the access of authorized state administrators.

6 INTEGRATION & CHAPTER PORTAL In response to state leader requests, NSPE state and national staff are working with our technology platform vendors to implement a first of its kind database-to-database integration. This portal will allow national s association management system (Abila) to interact directly with Your Membership, the AMS most commonly used by our state societies. (Both the Abila and Your Membership products are now part of one company, Community Brands.) Our implementation partners are developing use cases to determine how the databases will integrate, using the NSPE database as the source record. Responsibility for collecting money, joining, account creation and information lies with national and is managed through the national website. This option is for states already using Your Membership and is most important for those states (and their members) that are currently used to self-billing. Currently, these databases are not synched nor is the data reconciled, so there are various discrepancies that lead to frustration for members and staff at all levels. National State The Abila system has the technical capability to automatically push information down to the state society databases and synch that data without the interaction of state society staff.

7 State National Unfortunately, the YourMembership system was not designed with push capability. This obstacle will be overcome with the advanced ability of the Abila system to pull information from the state databases. Again, to provide uniformity and accountability, the national database is the source of record for all NSPE member data. Join and renewal transactions will be a redirect from the state to national for the transaction, and data will be pushed to the state once complete. Use Case 1: Join from State (Redirect) When an individual visits a State Public Site and wishes to join, they will need to be redirected to the NSPE website to join using the nf join process. Otherwise they will join using the YM join process. Use Case 2: Update Contact Info from State When an NSPE Member visits their State Public Site, they are first redirected to the NSPE website to login via SSO. They can then update their contact info on the State Public Site. On a regularly scheduled basis nf will make a call to YM to get any changes to Profiles since the last call for changes.

8 Use Case 3: Renew from State (Redirect) When an NSPE Member visits their State Public Site to renew they are redirected to the NSPE website to login and renew their membership. Once the renewal is complete the NSPE Member will be redirect back to the State Public Site. Use Case 4: Register for State Event When an NSPE Member visits their State Public Site to register for a State Event they will first be redirected to the NSPE Website to Login via SSO before they can register through the YM registration process. Use Case 5: Change Chapter from State (Staff) When an NSPE Member wishes to change their Local Chapter they will need to contact State Staff who can login to the NSPE State Portal and change the Member s Local Chapter.

9 State-Specific Data The Abila system will not pull all information from the state databases. Examples of data that will not be pulled: grandfathered state-only memberships, state events, products, and services.
