3 Why are SOP s important? Standard Operating Procedures (SOPs) are essential to all organizations. They provide structure and a system to follow to achieve the goals of the organization. Today, the rapidly changing world of technology has given organizations the opportunity to enhance communication and transfer knowledge by new means that are often beyond our wildest dreams!

4 Why are SOP s important? These SOP s and Standardized Work Instructions (SWI) are designed to ensure that processes are consistent, timely and repeatable. The goal of these instructions are to: Give the customer a quality finished product. Provide consistency of the finished product. Providing a foundation for continual Improvement in your business.

7 In the beginning People have always had SOPs and work instructions. These instructions were stories, drawings and teachings by our elders. We learnt how to hunt, build, invent, cook and change how things were done. In time, we learnt a language and written code to share this information.

8 Craftsmen had skills they developed over time often trained consists by a craftsman before them as an apprentice. We took the manual tasks and changed them into automated tasks. These machines were moved into factories and we learned how to use them by other people before us with the start of written instructions. These instructions became written manuals, SOPs and Work instructions (SWI). Industrial shift

9 Traditional Methods Used Today Current traditional methods used include: Word, Excel, PowerPoint, Spreadsheets The disadvantages of using traditional methods: Timely and costly to update. Becomes out of date quickly. Mostly written content making it more tedious for the user to use and find what they need. Is often a set of disorganized documentation binders which takes time to find information required. Finding personnel to update the documentation Before audits I would receive up to 75 instructions for updating and approval

10 Our Challenges Current work instructions are cumbersome, difficult to manage, control and update stops innovation process Workers struggle with definition and clarity Engineering / Quality spend too much time managing the documents Current systems have no ability to track or record. (Timing, Inputs, Rev Control &Attributes) Multi-site viewing and updating Language barriers Older population lost knowledge Staff Turn-over issues If I had only known they were retiring!!! Indeed, mobile devices are ushering in the age of paperless documentation, cutting printing costs, and making documentation more accessible. Great software is available and often free or low cost, making it easy to use, affordable and gives the ability to create excellent documentation (Snagit, Snipit).
