3 1. Overview I. PROJECT MANAGEMENT TOOL The only reference management tool to be used by the participants is Project netboard, accessible through the Internet and which covers all the management requirements as fixed by the Grant Agreement, the Consortium Agreement and the Financial Guidelines of the and the European FCHJU. The aim is to ensure the follow-up of activities and the simultaneous management of the relevant costs. Actual achievements and costs are permanently compared to the data from the Grant Agreement concluded with the European FCHJU. The above mentioned 2 modules particularly allow entering the monthly time sheets and the production of the periodical reports and financial balance sheets. The advantages of using one single management tool are as follows: Automatic production and edition of all the required documents to design and steer the Project according to the FCHJU rules. Cooperative work Platform easing in a significant way the Coordinator's and the Partners' tasks. Only a web browser is required to get access to the data and the transparent management of the Project abolishing any geographical constraints in order to achieve fast interaction. Production of successive versions of the Grant Agreement according to any modification of content, partnership and budget during the Project life time. Immediate and permanent availability of the information concerning the advancement of scientific and technical activities and related Project financial status. Automatic updates of the required documents for internal or external audits. Transparent, automatic and free of charge versions updates. Online help and technical assistance. 2. Access Access to Project netboard is by direct connection to Whichever the access pathway, the Project netboard first window will require the user to enter his/her user name and password and click on ENTER. Access rights Access to Project netboard is individual and granted by a username and password. There are 3 main access levels for Project netboard: Coordinator, Partner s Responsible Person and Partner s Member. COORDINATOR means the Project Coordinator. He/she can modify all the Project data. The Coordinator creates accesses to Project netboard for all Public- D1.3 Website operational with Project identity set 3 / 8

4 Project Partners and can restrict their access rights to any part of Project netboard. The Coordinator can create other user accounts for Project netboard, with similar or restricted access rights. PARTNER S RESPONSIBLE PERSON means the person responsible for the data of a Project Partner. A Partner s Responsible Person can modify his/her data according to the access rights given by the Coordinator. A Partner s Responsible Person can create other user accounts for Project netboard, with similar or restricted access rights. PARTNER S MEMBER means Actors working in the context of the Project or just simple Users of Project netboard at the Partner institution. A Partner s Member can not create other user accounts with similar or restricted access rights. ACCESS RIGHTS SUMMARY: COORDINATOR: Views, creates, modifies all Project Partners data. PARTNER S RESPONSIBLE: Views, creates, modifies all own Partner s Members data and all partner Departments Members data. PARTNER S MEMBER: Views, creates, modifies own data. Each Partner s Responsible Person is in charge of the proper use of Project netboard by the actors of his/her institution. Project netboard is a protected software, service and design which shall not be copied by the users. Any infringement of the copyright or attempt to access the source code or access to the VITAMIB server other than through the given user name and password will definitely exclude the user from the Project netboard services. 3. Modules Project netboard has 3 Modules: Proposal construction, Grant negotiation and Management. The " MANAGEMENT" module enables the Coordinator and/or his/her representatives: to keep trace of the payments from the FCHJU to the Project and monitor the payments to the Partners, to facilitate all bank transfers and to adapt the payments to the justifications provided by the Partners. to keep Partners on track along time on a monthly basis, to validate all individual time sheets of the Project on a task per task basis, to collect all Project related events on a Partner to Partner basis, to trace the deliverables according to the Grant Agreement, to plan the Project meeting dates, agenda and later edit the corresponding minutes and actions to be taken. 5 To prepare and edit different parts of the periodic reports. All Partner s Responsible Persons and Members can access this module at any time: to enter their monthly time sheets, to contribute to the Project periodic reports using the interactive Gantt chart, to report any related events and, to provide feedback on any deviation from the workplan. to enter their expenses in the various managerial cost categories, to control their costs along time consistently with their time sheets, to prepare and edit their financial statements in agreement with the Coordinator and/or his/her representative, to keep trace of their financial history and accounting, to keep trace of their figures as foreseen in the Grant Agreement. 6 Archives are automatically updated on a daily basis and will be maintained for five (5) years after the end of the Project. All Partners have committed to using the Project netboard tool to satisfy the requested control duties and to get a permanent visibility of the integrated management techniques. For each meeting of the Project decision bodies a PowerPoint presentation can be generated by Project netboard to provide graphical views of the actual Project progress against the planned workplan, a financial status against the Project anticipated budget at both Project level and individual participant levels. These integrated and common views of the Project status are meant to accelerate and consolidate all managerial decisions. II. PROJECT GROUPWARE 1. Overview The Consortium makes use of the Home netboard GroupWare platform as the COPERNIC intranet web site. Home netboard is a non-proprietary collaborative work platform which can be customised with various secured access levels through the Internet or Extranet. Home netboard is a service providing generic tools to create and manage any web site without any particular knowledge in computer sciences and no specific server or software required. Only a web browser is needed on the user's side. Home netboard can be adapted to any existing or constituting entity in order to work efficiently waiving all geographical constraints. Home netboard abolishes language barriers as the platform, according to the Navigator used, is displayed according to the two default languages available, English and French, bearing in mind that it is possible to the Administrator to enter the vocabulary of any third language, if so needed. The COPERNIC intranet web Site allows files exchange and sharing, news, organiser, discussion forum, enabling data, foreground and resources sharing and management in real time according to the authorised access rights granted. 2. Document platform Project Actors Any COPERNIC Project Partner created by the Administrator as a User can obviously consult the Intranet Web Site, and the sections for which he/she will have been granted access. Such authorised User will have to enter a User Name and a Password which is automatically forwarded by as the user account is created. 8 4. Content This Project Groupware contents all the needed templates and quality support using identity set of the COPERNIC project (ie logo).
