1 User Guide Timesheet/Earnings Report

2 Brief Document Description Overview Timesheets are created by Continuing & Fixed Term staff members claiming for Ad hoc claims as well as the Hourly Casual staff members. Supervisors and School Administration Officers are able to run reports to extract timesheet data. About this Business Process There are two report options: Employee Report returns timesheet data per individual staff members. Payment report returns data paid to individual staff members. 2 P age

3 Steps Step 1 Step 2 Step 3 Step 4 Step 5 Step 6 Login in to Griffith Staff Portal Navigate to Timesheet Report Find an Existing Report or Add a new Report Enter Selection Criteria Run the Report Review Report Data Step 1 - Login in to Griffith Staff Portal Open the Griffith Home Page. Click on Staff Portal in the top right hand corner of the screen. Log into the Staff Portal using your Griffith ID and Password. 3 P age

4 The Staff Portal Page displays. My Staff Page can be accessed in two locations within the Staff Portal. The first location is by clicking on My Staff Page under Key Services. Alternatively you can select Employment from the left hand side navigation menu, and click My Staff Page under Human Resource Management. 4 P age

5 Step 2 - Navigate to Timesheet Report A series of tiles will appear on your Home Page once you have logged in to My Staff Page. Click on the Reports and System Access tile. The layout of the Time and Absence dashboard page has changed. The new page is divided into two sections. Left hand menu - lists all the menu items under each main heading. The right hand screen - provides functionalities of the menu item chosen on the left hand screen. On the Reports home page, click on Timesheet Report menu and select Timesheet Reports submenu item. 5 P age

6 Step 3 - Find an Existing Report or Add a New Report Find an Existing Report The Timesheet Reports, Find an Existing Value tab displays. Find an existing schedule by Run Control ID NOTE: Run Control ID s are your unique Report ID names. To find an existing report: Enter your report ID name in Run Control ID begins with box. OR Select the button which will return a list of existing Reports (Run Control ID s). Click on the report ID from the list that you wish to use. If the search returns no matching values, (i.e. not set up reports previously) then you will have to create a new one. 6 P age

7 Add a New Report To create a new Report select the tab. Enter a new Report name in the Run Control ID begins with box. Hint: It s best to label your report with something you will remember. Include your initials! Ensure there are no spaces. Click the button and proceed to the next Step. 7 P age

8 Step 4 - Enter Selection criteria The Report Selection Criteria page will display. (School Administrator access only) Supervisor can run reports with the option of Direct Reports Only Supervisor can run reports without the Direct Reports Only by unticking the box. Untick and run on any associated supervisors reporting to them in order to see all data. 8 P age

9 Select which report you require. Report Type Employee Report Payment Report Description Returns timesheet data as per individual Casual staff Returns fortnightly payment data as per Hourly Casual Employee Enter Start and End date using the drop down list this will only report on the previous 12 months. User Role is locked down to your position and department. School Administrator can only run the report on the Department that is attached to your record. Supervisor can only run the report for direct and indirect reports. The Additional selection parameter fields display. Taking off the Direct Reports Only button will open up the fields. This will enable the supervisor to run on any associated supervisors reporting to them in order to see all data. You must enter in the supervisor that you require data from. 9 P age

10 Each report can be filtered by Element, Campus, Supervisor ID, and/or Employee. 10 P age

11 Step 5 - Run the Report Once all filters you need have been entered the report is ready to be run. Click the button. The Process Scheduler Request displays. Click the button to run the report. Take note of the Process Instance and Proceed to the next Step. 11 P age

12 Step 6 - Review Report Data To view the report click on the Report Manager tab. NOTE: The report may take a while to run. The view reports for page displays. Select the report by the date and time it was run. The report page displays. To view the details easily, select the Employee_Report_ csv format. 12 P age
