1 What is Optus Business Reports? An online reporting application that allows you to perform detailed reporting of your Optus bill. What are its benefits? Access to all your telecommunication usage online Ability to view historical usage across multiple invoices. Report on usage trends and spend patterns. Manage spend through budget allocation. Setup multiple company structures to assign Services and monitor spend. How can it help me and my business? Get clarity and control all your telecommunications spend with Optus in one location, available anytime from anywhere. The application comes with in-built reports that assist in viewing your telecommunications spend with simplicity. It empowers you to move away from time consuming operational bill handling and audit activities. How difficult is it to use? Optus Business Reports has an easy to use online interface. The Help section provides intuitive training material to guide you through the application. Am I going to be charged to use or access Optus Business Reports? Optus Business Reports is a free service. Why can t I see all my accounts? During the initial phases not all accounts will appear in the tool. 1

2 Is this different to My Account? The key differences between Optus Business Reports and My Account are: My Account allows payments and adding and modifying Service and basic customer information. Optus Business Reports is purely an online application, which allows you to perform reporting against your current and historical billed data. Will it help me control costs? Optus Business Reports is a tool that will assist in understanding your telecommunication costs and usage patterns. Who do I contact to question what I am seeing? What do I do when I get locked out or my password expires? Where can I find out information about my contract end dates and cancellation fees? Can I group the data based on device type? Please contact your company s Optus Business Reports Administrator to discuss all support matters. Administrative Users may contact Optus through business as usual channels. Only an Optus Business Report Administrator can unlock Users. If you are an Administrator and you cannot access the system, contact your Optus Business representative to have the account re-activated. Please contact your Optus Business representative for more information. A Business Hierarchy can be created to provide this distinction. You will be required to know the Service and Device type association. 2

3 How does it relate to my bills? The content is generated from the same source as your billing invoice. Can I view my bill? Optus Business Reports is not to be used a replacement for your existing bill. The details viewed online are sourced from your invoice/s, For specific invoice related information, please refer to your invoice. Is it my bill? Optus Business Reports is not your actual bill. It is an online reporting tool and does not replace your invoice. Can I see all my Accounts and transactions? During the initial phases not all Accounts will appear in the tool. Are the charges correct? The individual records are sourced from the same data extract as your invoice. The charges should reflect those on your invoice. What happens to my paper bill? No changes will be made to how you receive your paper bill or invoice. Are you going to start charging me for a paper bill? If I don t pay my bill will I still have access to Optus Business Reports? Optus Business Reports will not change existing charging of Paper Bills. You will continue to have access to Optus Business Reports even if you have not paid your monthly bill. This service will advise you when your next bill is due. How current is the data? The billing data for your account/s will be refresh in alignment with your current bill-run period/s. 3

4 Will it show all my bolt-ons and additional charges? My bill data is not showing correctly? Anything that appears on your invoice should also appear in Optus Business Reports. This may be a result of a hierarchy or restriction being applied. Please check the Current View window on the left of your screen to see which level of hierarchy has been applied. Can I see the GST values? GST is separated on each statement and is included in the reports. What credits have been applied? All credits appearing on your invoice are included. Why can t I change my Billing Hierarchy? Billing Hierarchy refers to how the account is structured in the Optus billing system. To change the Billing Hierarchy please contact your Optus Business representative to discuss these requirements. What is a Billing Hierarchy? Billing Hierarchy refers to how the account is structured in the Optus billing system. Does it show me how much I owe? Payment information is sourced from the invoices as they become available and generated. Can I align my bill cycles? Please contact your Optus Business representative to discuss these requirements Can I still receive paper bills? Optus Business Reports is not changing how you currently receive your paper invoices. 4

5 Will I still receive my Datafeed or disk? No changes are being made to other existing methods of receiving billing information. How far back does my data go? Optus Business Reports will build 13 months of historical data, from the initial registration. Why can t I see my Evolve services? This product type is not yet included in the trial period. 5

6 Can I make payments? Payments are unable to be made via the Optus Business Reports tool. Please refer to your invoice for more information on how to pay your bill. What can it do (other transactions)? Optus Business Reports is a reporting tool and allows you to view, restructure and download your call records. Using the Contacts features (Company and Personal) you can have numbers replaced by People s names on your reports. Using the Split Billing feature you can identify which phone calls are work related. What can I do with it? View Billing Account level summary Search and track individual Services usage Define budget reports Split billing reports Customise and share own reports Build charts and inspect trends Define flexible and complex access rules View billing and create custom hierarchies Check detailed online help Categorise calls as business or personal Can I create a hierarchy that aligns to my business? Yes, Optus Business Reports has 2 types of Hierarchies: Billing and Business Hierarchies. A Billing Hierarchy is a reflection of the how the Services align in according to the invoice. You can create multiple Business Hierarchies that reflect how your business is structured. 6

7 Can I input budget information? Yes, the Budget Management function allows you to set values per Service and then report on Actual vs Forecast figures. Is the information downloadable? All your reports are downloadable in a variety of formats. What formats can I download my information Can I make changes to my plans here? Can I suspend Services through Optus Business Reports? Can I get notified if my plan thresholds are going to be busted ever over-run my Plan inclusions? How can I add access to Optus Business Reports for other people? What types of reports can I generate? CSV (Comma Separated Values), PDF (Acrobat Reader) and XML (Extensible Markup Language) formats are used throughout the tool for importing and downloading data. This functionality is offered through My Account. Optus Business Reports does not have this feature. Optus Business Reports does not allow suspension, barring or removal of any Services or Billing Accounts. Optus Business Reports will not provide threshold alerting. Please look under the My Account -> Company -> users HELP menu for Administrator. Only Users with Administrator and/or Manager access can create other Users and assign Account and Services respectively. The complete list of reports could be found under the Reporting section. 7

8 What types of call data can I find? All available usage types can be viewed on a per Service basis. How can I change my company profile (details) on the system? Optus Business Reports does not allow you to make any changes to your profile. Company profiles are generated from the invoice information. To update this information, please contact your Optus Business representative. How do I reset a password? Reset password functionality is available from the My Account -> Personal -> User Access tab. Can I use Optus Business Reports on my tablet? Can I group the data based on plan types? Can I separate Personal calls vs Business calls? Why should I use a hierarchy? Most reporting functionality works on the Tablets (Apple ios and Android). The Total Cost by Plan Report (in the Reporting tab) shows this information. Yes, a feature of Optus Business Reports allows a User to mark calls as Personal or Business. Service number usage can be viewed using Personal vs Business split. A hierarchy allows you to view the same data in multiple different ways. Some examples of how a hierarchy could be used are: Lines of business: Sales, Service, Administration etc Geographic: ACT, NSW, QLD etc 8

9 Security and Access How secure is it? Optus Business Reports meets Optus s data protection standards in accordance with Optus s Privacy Policy. Can I let other people view the data? The Administrator User can allow other people to view your data. Can I restrict what people see? Yes, your Optus Business Report s company Administrator has the ability to restrict what information is seen by each User. Manager and Subscriber levels of access can be granted by the Administrator. Where can I access it from? As a web based tool, Optus Business Reports is viewable from anywhere you have internet access. You can also access it from your smartphone or tablet device. Who can use it? The Optus Business Reports Administrator can grant access to anyone within your company. What are the minimal system specifications? Optus Business Reports is viewable from a computer with a recent versioned web browser connected to the internet. Why can t I see all the information? Your Optus Business Reports administrator may restrict what individual users are able to see. Check with your company s Optus Business Reports administrator. 9

10 Security and Access Can I share the data with my accountant? I forgot my secret answer and question? Yes, your company s Optus Business Reports Administrator can allow other people to view your data at their discretion. The access is to be managed by the Optus Business Report s Administrator. Please contact your company s Optus Business Reports Administrator to have your account refreshed. Can I view this info offline? Optus Business Reports is only available online. 10
