We market exhibition stands in conferences, source for conference sponsors and ensure that all proceedings are accounted for. We have an extensive data base of professionals from different medical subspecialities and have the capacity to manage successful Medical product launches and training sessions where we source for competent facilitators. 10 To provide event management services to ASOK 2017, this would involve planning, coordination and ensuring efficient hosting of the said event. CORE SERVICES Event Management Medics Management Services will be assigned to the event. They will be your main point of contact, and also be on-site for the duration of the conference. The MMS team will be available for meetings with the organising committee. MMS will provide advice and recommendations to the committee on all aspects of the event. Conference Management Medics Management Services will provide: Venue management: o Initial suggestion of suitable venues, based on client requirements (access, location, car parking, room layout, budget, etc) o Arrange quotes and site inspections of up to three (3) suitable venues o Confirm selected venue and arrange & sign contract o Management of space required & room assignments 10

11 o Arrange and ensure all Meeting rooms (for plenary and break-out sessions) are arranged and ready for the Meetings as required (as per specified meetings schedule); o Ensure all required audiovisual equipment is available in all the rooms as required; o Final confirmation of space required and venue brief o Management of audio visual set-up and requirements o Management of catering requirements (including dietary requirements) o On-site Signage Participant Management o Identifying lists of participants in consultation with the organizing committee o Organizing the venue and logistical arrangements for participants o Send out Invitations to ALL participants, including meeting chair(s), speakers, facilitators, etc; o Follow up on invitations via telephone and o Administer registration through website(where applicable) and compile confirmed registration list of participants, speakers, support staff, event management team, ushers, etc; o Identify and secure accommodation block booking for self paying participants at alternate hotels and manage travel bookings/reservations for speakers; o Send out Information Note to all participants (arrival details, hotels, visa requirements, general city info; etc.); 11

12 Social program management of up to three (3) functions/activities o Includes sourcing venues/suppliers, confirming menus, entertainment, transportation o Arrange travel requirements, including flights, accommodation, transfers and reimbursements, if required. o Arrange procurement of speaker s gifts, as per instruction from committee o Planning and organization of all the meals, cocktails and other social events during the Conference Electronic promotion: o Promotional s sent out as required by committee, MMS o Conference database formed from contacts provided by the committee and subscriptions received through website(where applicable) mailing list form Merchandising management: o Work with the committee for the procurement of conference merchandise (bags, pens, speaker s gifts, etc.) o Work with merchandise supplier to create proofs of merchandising requirements, including arranging samples and organising delivery o Ensure the suppliers deliver the goods and services consistent with the Term of Reference prepared in coordination with the organizing committee Reception Management throughout the event: o Registration of participants o Distribution of materials to participants o Supervision of Secretariat booth to handle queries/concerns of delegates 12

13 o Crisis management, as need arises Budgeting and Finance Medics Management Services will: o Create and manage a conference budget in agreement with the committee o Invoice all sponsors and exhibitors as required o Ensure that all contacts and actions taken with suppliers are noted and communicated to committee for approval; o Negotiate terms and conditions and appoint sub-contractors( If required) o Monitor budget vs. disbursements; o Identifying and liaise with potential sponsors. o Manage the reimbursement of any keynote speaker associated costs. Registration Services Negotiate rates for a range of accommodation options for delegates. Delegates are able to book their accommodation as part of the registration process. As part of our Registration Services we manage: o creation of online registration site(this will depend on the online Platform chosen) o custom development of registration fields o receipting of payments o sending of tax invoices(where applicable) o processing refunds o liaising with delegates regarding any issues o and creating name badges (additional cost for name badge materials if not sponsored) Other general logistical arrangements and event management 13

14 a) Accommodation arrangements for ALL participants - Compile rooming list for all participants and liaise directly with the hotel - Allocate rooms (including VIP) - Confirm accuracy of arrival/departure information b) Cocktail/Official Dinner - Organise/arrange the official diner/cocktail c) Ushers - arrange and supervise ushers Fee The fee can be obtained from MMS upon request.
