Clarity: Task Actual Cost is incorrectly calculated CLRT The purpose of the Task Actual Cost value is designed to provide the project manager with the ability to get a quick snapshot of actual costs of costs incurred at the time the timesheet entry is posted to the project. It appears that the Task Actual Cost is derived from information in the Rate Matrix NBI_PROJ_RES_RATES_AND_COSTS table and is not derived from the actual data coming from each timesheet entry. The Task Actual Cost should reflect the actual values in the attributes on the timesheet entry and compared to the selected 'Cost Source' Rate Matrix defined on the project at the time the timesheet is posted. The timesheet entry allows the end-user the ability to enter values for Input Type Code and Charge Code. The selected values for these attributes may be different than the values that appear in the Rate Matrix table for the Project, Resource and Task combination. Two use-cases were tested and in both scenarios, the wrong cost is incorrectly calculated. Ctrl-Click to go to the following Use-Cases: Use Case #1: Calculating Costs from a Matrix with Input Type Codes Use Case #2: Calculating Costs from a Matrix with Charge Codes

Use Case #1: Calculating Costs from a Matrix with Input Type Codes 1. Login as a Clarity administrator 2. Admin Tool > Manage Matrix > Create a new Matrix for Input Type Codes Set up a Labor Resource1 with a specific Input Type Code that is NOT present in the Matrix 5. Set up a Labor Resource2 with a specific Input Type Code that is present in the Matrix (Input Type Code = inputtype01 ) 6. Main Application > Create a new project > Select a Financial Department OBS Unit 7. Project > Financial Properties page > select the matrix created above for the Rate Source and Cost Source Matrix for Labor Resources Project > Team > Add both Labor Resources to the project team 10. Project > Tasks > Add 3 tasks > Assign Resource1 to all 3 tasks 11. Project > Tasks > Add 3 more tasks > Assign Resource2 to all 3 tasks

Execute the Rate Matrix Extraction Job Create a timesheet for Resource Create a timesheet for Resource2

Submit and Approve both timesheets. After 5 minutes, execute the Post Timesheets job Navigate to the Project > Tasks > Assignments page 22. Click on the name of one task (Task1) > Configure the Assignments List to show the Actual Cost attribute a. [--Actions--] > Configure > Layout b. Move Actual Cost attribute to Select list of attributes c. Click Save and Exit button 23. View each Task and note the outcome of the Actual Cost 24. Resource1 (Input Type from Resource Properties = Billable1 is not in the Matrix) a. Task1 Actual Cost = Expected 1.00 based on InputType1 in Matrix b. Task2 Actual Cost = Expected 2.00 based on InputType2 in Matrix c. Task3 Actual Cost = Expected 3.00 based on InputType3 in Matrix 25. Resource2 (Input Type from Resource Properties = InputType1) a. Task4 Actual Cost = 1.00 Expected 4.00 based on InputType4 in Matrix b. Task5 Actual Cost = 1.00 Expected 5.00 based on InputType5 in Matrix c. Task6 Actual Cost = 1.00 Expected based on Non-Billable1 (*) in Matrix

Use Case #2: Calculating Costs from a Matrix with Charge Codes 1. Login as a Clarity Administrator 2. Admin Tool > Manage Matrix > Create a new Matrix for Charge Codes Main Application > Create a new project > Select a Financial Department OBS Unit 5. On the Project > Schedule page, set the Project Charge code = CC Project > Financial Properties page > select the matrix created above for the Rate Source and Cost Source Matrix for Labor Transaction Rates Add a Team Member to the Project and add tasks some with task level charge codes and some without (so that it picks up the project charge code)

Execute the Rate Matrix Extraction Job Create, Submit, Approve and Post a Timesheet for the Resource assigned to the tasks. Select different Charge Codes than what is shown when the timesheet is initially populated. 14. When the Timesheet is initially populated, if a task properties does not have a charge code, it will use the charge code defined at the project level If you look at the NBI_PROJ_RES_RATES_AND_COSTS table, you will see that the Charge Codes are the same for this Project, Resource, Task combination

Enter the following values for each entry in the timesheet 19. a. Task0 = blank Charge code Expect b. Task1 = CC4 Expect 4.00 c. Task2 = CC5 Expect 5.00 d. Task3 = CC6 Expect 6.00 e. Task4 = CC1 Expect 1.00 f. Task5 = CC2 Expect 2.00 g. Task6 = CC3 Expect Submit and Approve the timesheet. After 5 minutes, execute the Post Timesheets job. 21. Navigate to the Project > Tasks > Assignments page 22. Click on the name of one task (Task1) > Configure the Assignments List to show the Actual Cost attribute a. [--Actions--] > Configure > Layout b. Move Actual Cost attribute to Select list of attributes c. Click Save and Exit button 23. View each Task and note the outcome of the Actual Cost (incorrect) a. Task0 Actual Cost = 8.00 b. Task1 Actual Cost = 8.00 c. Task2 Actual Cost = 8.00

d. Task3 Actual Cost = 8.00 e. Task4 Actual Cost = 8.00 f. Task5 Actual Cost = 8.00 g. Task6 Actual Cost = 8.00
