Academic Technologies CIO: Degreeworks Summary: This initiative is directly in support of Enrollment Services' proposal to eliminate the use of CAPPS and implement DegreeWorks as the new planning and degree audit option for students. This program allows students to serve themselves by providing a tool, accessible from any device that can access mylane, to accurately and effectively formulate and audit their academic plans. Description The enrollment services department is currently investing a significant amount of staff time and resources to qualify progression and completion. The tools they are using to get there are outdated and inefficient. They have invested time and money into our current tool (CAPP) which will never have the same or even similar capabilities of DegreeWorks. The most important piece of this tool that will have a direct impact on progression and completion is the student s ability to self serve for planning and degree audit. The planning tool allows students to propose a schedule and compare that to their degree requirements and determine if this will help them in accomplishing their goals. This can happen at any time or place where they can access MyLane. This is valuable as their other option is to come to campus and wait in line to see an advisor to accomplish this. This tool creates a light at the end of the tunnel for the student toward completion. That light, coupled with shifts in advising and orientation creates more clarity for our students to follow. Implementing this system at Lane will reap benefits for the students, helping them to "Achieve the Dream" of completion. Questions and Answers How is the initiative linked to the Unit Plans most recently submitted? 1. How does it continue the achievement of those goals? 2. If this is a continuation of an initiative started last year, make sure that relationship is clear. How is this initiative linked to the efficiencies and productivities plans you had last year? 1. How does it continue the achievement of these plans? 2. If this is a continuation of an efficiency or productivity plan started last year, make sure that relationship is clear. This initiative links directly to current ASA initiatives for progression and completion and achieving the dream. This program would support Lane's students directly by helping them be informed of their progression, and allowing them to achieve completion in as short a time as possible. Describe the resources needed: RedHat Linux server & storage (CH): $20, RedHat Linux Enterprise 5 (2 socket premium) (SW): $1,949.00

Degreeworks (1 time license fee) (SW): $25, Argos Enterprise application (SW): $45, Argos Advanced features for Data Warehouse (OLAP Cubes) (SW): $14, Oracle license (standard edition) for Degreeworks (SW): $9, RedHat Server maintenance contract (LIC): $2, Software Maintenance Degreeworks (LIC): $3, Evisions Argos Annual Support (LIC): $9, Evisions Advanced Features support (LIC): $2, Oracle license support (LIC): $1, Implementation/Consulting Sungard HE 1 week support and install for Argos (INS): $8, to 9 months of implementation services for Degreeworks (INS): $60, Lane IT support/administration 1/4 FTE including OPE (STF): $28, Request: Technology Fee (CH, SW, LIC, INS & STF): $232, Request: Carl Perkins (CH, SW, LIC, INS & STF): $232, What specific measurable program outcomes do you expect to achieve with this initiative? The outcomes should be specific enough to be measurable. Also, outline the method that will be used to determine the results. Degreeworks will provide a self-service planning and degree audit system for students which will directly improve each students ability to progress and complete their education. In addition to the points John Hamblin has made in his proposal, degreeworks implementation necessitates a thorough cleansing of student data and data entry processes. This part of the project alone could be worth the cost because it will affect all of our future reporting at the college. The tool is highly strategic as it focuses on student progression and completion. This tool is one step toward the larger goal of business intelligence reporting at Lane. Success of this product implementation can be measured both in duty changes/advising workloads as well as through student surveys. Department Priority: 11 Unit Resources: Staff time to cleanse the existing data and then to setup and support the Degreeworks software and associated systems. John Hamblin proposes offsetting future costs by implementing a degree audit fee or addition to the first time registration fee to help pay annual recurring maintenance and staff fees. Funding Request: Carl Perkins

Is this a Career & Technical Education program approved by the state and offered through Lane for credit? No If not a Career & Technical Education program, does your request provide considerable support for students enrolled in these programs? Yes Do you have an advisory committee that meets 2-3 times per year? No If request is for personnel, will funds be used to replace an existing position? No How will funding this initiative increase or sustain the academic achievement and technical skills attainment (GPA of 2.0 or better) of Career and Technical Education students? By providing students will access to a tool to plan and audit their degree/certification progress. How will funding this initiative increase or sustain the number of CTE students that graduate or receive a one year certificate from Lane and help prepare the students for employment? Informed decision making increases a students ability to complete their degree or certificate more quickly, allowing them to see the quickest path toward completion. EQUIPMENT $ MATERIALS & SUPPLIES $ CURRICULUM DEVELOPMENT (Hours) PART-TIME FACULTY $ TIMESHEET STAFF $ TRAVEL $ Can this initiative be partially funded?

Yes EQUIPMENT $ (E) Explanation of effect of partial funding: (CH) Explanation of effect of partial funding: (CS) Explanation of effect of partial funding: This would eliminate the Argos software and data warehousing tools. This would lower initial costs significantly but would also eliminate our ability to fully use the system for business intelligence reporting in IT, IRAP, and all educational departments. MATERIALS & SUPPLIES $ (MS) Explanation of effect of partial funding: This would eliminate the Argos software and data warehousing tools. This would lower initial costs significantly but would also eliminate our ability to fully use the system for business intelligence reporting in IT, IRAP, and all educational departments. Provides students with the ability to plan and audit progress toward completion of their educational goals from anywhere that they can access mylane. It eliminates the need to wait in line and meet with an advisor to accomplish the same goal. Ultimately, this provides a way for students to serve themselves and be proactively involved in their progress toward their degree(s)

STAFFING $ INSTALLATION $ LICENSING $ Can this initiative be partially funded? Yes (CH) Explanation of effect of partial funding: (CS) Explanation of effect of partial funding: This would eliminate the Argos software and data warehousing tools. This would lower initial costs significantly but would also eliminate our ability to fully use the system for business intelligence reporting in IT, IRAP, and all educational departments. STAFFING $ (S) Explanation of effect of partial funding: INSTALLATION $ (I) Explanation of effect of partial funding: Elimination of the Argos installation costs. Again, this limits our ability to utilize the information from degreeworks for data warehousing and business intelligence reporting. LICENSING $ 7769 (L) Explanation of effect of partial funding:

If the Argos package were eliminated as mentioned above, then that would eliminate the ongoing licensing for it, as reflected here. Again, this limits our ability to utilize the information from degreeworks for data warehousing and business intelligence reporting.
