3 Certification Test Prerequisites You will perform the exercises in your installed copy of Acumatica with the Template DATA that is provided with the Acumatica installation package version 5.10 and also have performed the Employee Management: Basic Certification Exam (P130). Prior to start the Hands- on Guide, make sure to activate all the features of the Application using the Common Settings: 1. 5 Project Scenario: T&M Project Summary of the Project Scenario Your client has a consulting firm and wants to track his consulting projects. He already has Acumatica Financials, Distribution and CRM implemented and wish to add the Project Management module. He wants to track a budget for his project and have the project billed automatically from his employees timesheet. His project are strictly Time and Materials projects but once in a while he will be using subcontractor services to execute some of the project tasks. When he does need subcontractor help, he uses the services of the firm KRK Consulting Service which cost him $150 per hour. Rarely but possibly he could also be selling servers to his client. When he does so, he always put a 20% markup on the equipment he is selling. As far as employee goes, he has Cameron Tucker that is paid $100,000 per year, which is his Senior Consultant and also has Claire Dunphy paid at $40 per hour as a junior consultant. If traveling is required, travel expenses are re- invoice with no mark up to the customer. His 1 st project has budgeting resources for the following tasks: Task Hourly Price Budget Hours Database Administrator Tasks $180 / hr 4 hours Senior Consultant Tasks $140 / hr 8 hours Junior Consultant Tasks $100 / hr 20 hours Server (1) Cost + 20% Since you currently don t have a database administrator as an employee, you will be using the services of KRK Consulting Service to execute this task. IMPORTANT: Since Claire Dunphy just got hired and is very new at her position, we are planning for her to execute 15 hours of the Junior Consultant task and Cameron will be helping her and execute the other 5 hours remaining. 6 Verify the Employee Management Configuration At this point, you have already executed the Employee Management Certification, which is a prerequisite to this certification training. All your employees should be configured. Per the Project scenario, verify that all your employees have the correct labor class and cost associated for this example, that you create all necessary stock item and reason code in order to be able to issue some stock on your project and have gone through the Project Management configuration checklist. The Expected Results of the T&M Project Certification Exercise The goal of this exercise is to make sure you create all the configuration steps necessary as well as all the project and project tasks configuration to arrive at a certain invoice amount according to the Project scenario. Your last step should be to release your invoice for your T&M project. Since the certification assessment will ask you for GL Balances, we ask you to use the same GL accounts used during the course exercises. Project Scenario Update: T&M Project Summary of the Project Scenario Update You have been informed that Claire s cell phone bill of $70 was invoiced to the customer. Please execute all the necessary steps to remove Claire s cell phone bill from the client s invoice. Since you already release the invoice, removing this expense will create a credit memo for your customer. Release your document. Page 6 of 10

7 Project Scenario: WIP Project Summary of the Project Scenario At this point, you have already executed some of the configuration checklist steps during the configuration of your T&M Project. In order to create a new Project structure for your WIP Projects, we will give you a realistic scenario where you will have to accomplish the necessary configuration to have a functional WIP project in the application: The client you have help with the configuration of his T&M projects also has some projects for which he wants to track the work in progress. He already has Acumatica Financials, Distribution and CRM implemented and wish to add the WIP Project functionality to his Project Management module that has been previously configure for T&M projects only. He wants to track a budget for his project and have the project billed automatically from his employee s timecards. His WIP projects carry a 10% burden (burden rate can be different by project burden rate is kept as a project attribute), which he wants to add to the total cost of his projects. Just like his T&M projects, rarely but possibly he could also be selling servers to his client. When he does so, he always put a 20% markup on the equipment he is selling. As far as employee goes, he has Cameron Tucker that is paid $100,000 per year, which is his Senior Consultant and also has Claire Dunphy paid at $40 per hour as a junior consultant. Jay Pritchett will also participate on this project as a project manager and his cost is $80 per hour. If traveling is required, travel expenses are re- invoice with no mark up to the customer. His WIP projects are always billed based on the resource labor category. It does not matter what type of task they execute on the project, the consulting sales price of his resources is based on the labor category they have assigned. Everyone consider you a subject matter expert. You are now ready to tackle some more complex scenarios. We will give you a realistic scenario, but complex scenario, where you will have to accomplish the necessary configuration to have a functional Fixed Price project in the application: Your client s business as expanded and he also need some projects where he will do Fixed Price project where revenue recognition is done immediately during the allocation process. He already has Acumatica Financials, Distribution and CRM implemented and wish to have a new set of configuration done in his project management module to meet his fixed projects requirements. He also wants to track a budget for his project. As far as employee goes, he has Cameron Tucker that is paid $100,000 per year, which is his Senior Consultant and also has Claire Dunphy paid at $50 per hour on this project as a junior consultant. If traveling is required, travel expenses are re- invoice with no mark up to the customer. His current Fixed Price project has budgeted revenue and resources allocated as follows: Budgeted Item Budgeted Revenue Budget Hours Revenue $2, Senior Consultant 5 hours Junior Consultant 8 hours Here is a list of the Actual hours: Resources Senior Consultant Junior Consultant Cameron Tucker 5 hours Claire Dunphy 8 hours The project will be complete as scheduled and all budgeted revenue should be recognized. Since the certification assessment will ask you for GL Balances, we ask you to use the same GL accounts used during the course exercises. Now that you have completed the Certification Exam exercises, please proceed to the course assessment section of this course on the Acumatica University (P200) and also complete the course assessment section of course P210 Project Allocation Basics and Billing Configuration on the Acumatica University.
