1 SAP USER GROUP AIRPORTS SUG AIRPORTS STATUTE FOR SUG AIRPORTS Preamble SUG AIRPORTS is a user group of SAP users. SAP will guarantee adequate representation at all SUG AIRPORTS meetings. This incorporates the industry know how as well as management attention. The target of SUG AIRPORTS is to collect, specify and initiate airport-specific requirements of the SAP systems and to bring them into the standard package; either as an enhancement to the kernel, as a part of an airport industry solution or as a customer specific development. Furthermore, through meetings, a platform for experience swapping and information about SUG AIRPORTS member companies with regard to SAP systems and their development trends should be achieved. SUG AIRPORTS is a forum for representation of interests, opinions and requirements towards SAP AG. 1 Members SUG AIRPORTS membership is open to companies in the airport industry belonging to the following branche Airport operators Who use or have licensed to use SAP systems. If one of these companies sources their SAP Business out, they may be represented by their service provider. 2 Participation Each company taking part is represented in SUG AIRPORTS by a maximum of 3 representatives. Occasionally, additional representatives can be present for special subjects. Guests are welcome (i. e. SAP prospects, consultants for specific questions, etc.); the chairperson and the organizing committee (host of the upcoming meeting) will approve attendance. For SAP prospects, the number of attendees is limited to two persons. 1
2 3 Organization SUG AIRPORTS is not established as a legal body. This implies that SUG AIRPORTS cannot act as a contractual partner to SAP but rather coordinates and consults. SUG AIRPORTS just has one body: the user community present at the meeting chaired by the chairperson. SUG AIRPORTS publishes minutes for every meeting. Meetings are held on an informal rotation basis at members` or SAP`s sites. Frequency and sites are adaptable to the needs, but at least 1 meeting per year should be held. They normally last two days. The participation at the meetings and the task forces is free of charge or kept on a minimum (e.g ). The chairperson will be in charge of general administration of the SUG AIRPORTS Group and supports the hosting company with the preperations of the upcoming meeting. The meetings (and the general organization) will be financed by SAP, a sponsor or the hosting company. All other costs (travel expenses etc.) are paid by the members. A vote for a chairperson is decided by a two-thirds majority. The chairperson will serve a term of two years; re-election is possible. Decision making related to any concerns/problems will be determined by simple majority. 4 Projects Projects of interest to SUG AIRPORTS will fall into three types: Standard SAP Development of the kernel package Standard SAP Development of an airport industry solution or airport xapps Specific Customer(s) Developments 4.1 Standard SAP Development (SAP kernel) This type of project will normally be undertaken by SAP (or partners) on their own system as part of the development of their standard product. The project is based on a development plan by SAP, funding by SAP. As such, SAP will provide an update to SUG AIRPORTS as to the project`s progress. 4.2 Standard SAP Development (airport industry solution or xapps) This type of project will normally be undertaken by SAP (or partners) as part of the development of an airport industry solution or an airport specific xapp. The project is based on a development plan by SAP, funding by SAP. As these projects are very important for the SUG AIRPORTS members, SAP will keep them up to date on the project`s progress (although in between the meetings). If the development is based on the results of a SUG AIRPORTS task force, there will be special reviews by SUG AIRPORTS. 2
3 4.3 Specific Customer(s) Development This type of project is initiated by SUG AIRPORTS or a customer of SAP, the functionality offered is of interest to the airport industry, but at this time it will be no standard development. These projects will be realized according to the customers implementation schedule and paid by the customer(s). Reviews will be done by the customer(s). Special agreements between SAP and the customer(s) will be made, if this development becomes a standard either in the kernel or the branch solution later. Progress updates will be made regularly at SUG AIRPORTS. 4.4 Task Forces Task forces will be set-up by SUG AIRPORTS as needed, the decision will be made within the meetings. Task forces will be staffed by a maximum of 5-6 specialists of the member companies, including one task force leader, and has to be project driven. The task force will give a status report on each SUG AIRPORTS- Meeting. SAP commits to participate with the necessary capacity and know how in the task forces. At the end of the task force, SAP will give a final decision to what extent these functionalities will be realized, including time schedule and release planning. The role of the task force is to define the specific issue (what is included, what not) definite and document the requirements explore opportunities, problems and solutions participate in design reviews participate in testing Implementation projects will be initiated as required by SUG AIRPORTS, following the recommendation made by the task force. Major projects shall be organized as follows: Project Definition and Planning SUG AIRPORTS concentrates on the following points: functional requirements time frames cost estimates 3
4 member companies involved technical environment (release and modification status at customers` side) version SAP plans to base the application list of deliverables (code, training, documentation, upgrade support, etc.) resource and cost sharing SAP is responsible for project planning and control Contracting Since SUG AIRPORTS is not a legal body, the member companies have to set up their contracts themselves. Project Performance Project Management by SAP including monitoring of costs, schedule and quality of the deliverables with regular reporting to the contracting partners, who form a review board and SUG AIRPORTS as the initiating body. SUG AIRPORTS acts as a backbone for consultation The deliverables shall be demonstrated to SUG AIRPORTS 5 Focus of Activities SUG AIRPORTS deals with all functionalities and processes that are of specific interest to the airport industry, no matter which activities are affected. Both R/3 and mysap ERP are addressed. 6 Expectations SAP customers: SUG AIRPORTS is the forum of the airport industry in all matters towards SAP SUG AIRPORTS is a platform for information exchange Identify common interests in necessary enhancements to the SAP Software and setting of priorities Influence SAP focus of software development Provide SAP with the industry-specific know-how Understand mutual requirements and put them into a general industry nonspecific way to allow SAP to put solutions into their standard software Identify possibilities for operation and maintenance cost reductions in existing systems 4
5 SAP: Wants to improve the contact to the customers Wants to improve their software as a standard package SUG AIRPORTS gives access to a powerful and new market for SAP Airport industry requirements (maintenance and materials for example) allow SAP to build products that will satisfy other industry`s needs as well All understand that these efforts are in mutual trust. 5
