2 Introduction Microsoft SharePoint, one of the most widely used portal and collaboration platforms, will allow PrivatAir to become more connected, collaborative and structured in how work gets done. This guide has been created as a resource for you, to familiarize yourself with SharePoint, its main benefits, how to access and navigate throughout the platform and where to find additional resources. Please keep this guide for reference, and contact us with any questions or concerns (see last page for full contact information).

3 What is SharePoint? Who is it for? Microsoft SharePoint is a browser-based collaboration and document management platform. SharePoint is for everyone. It streamlines the access of company data, enhancing the management of projects and supporting team collaboration. It s a platform where you can find and contribute information. With SharePoint, we can create internal based websites which is then a secure place used to store, organize, share and access information, from any device, anywhere.

NOW AVAILABLE COMING SOON 1 Makes day-to-day business easier The most common business activities like signature approval, document review, and issue tracking can all be initiated, monitored, and reported. 2 SharePoint gives a consistent user experience 3 Speed up shared business processes Form-driven solutions can be used to collect critical business information from suppliers, customers and partners directly from a web browser. Accurate results can then be managed by SharePoint to avoid duplicate entry. 4 Satisfies regulatory requirements Sensitive business data can be managed through the correct use of settings in SharePoint which control security, storage, auditing, and expiration policies, all of which can be synchronized with compliance standards. 5 Securely share sensitive information Employees can access interactive Excel spreadsheets. Using a single, centralized version. 5 How can I access SharePoint? When will it be deployed? SharePoint access will be made available on the 1 st of March via a link on the page. SharePoint release Old Portal shut-down Workflow automation The first version of SharePoint will be released on the [date] This release will include the Safety & Quality site and the IT Department Shut-down of the old Portal and complete switchover to SharePoint is scheduled for December During the current year the contents of the old Portal will be progressively migrated to SharePoint. Team sites will be created upon request. The development of automation workflows will begin after the Employee Portal has been shutdown Once signed in, browse to the SharePoint icon via the top left hand button then click the Safety & Quality Portal on the screen.

6 How can I navigate SharePoint? In the top right hand corner, is the search bar. Allowing you to search through all files of your currently selected site. It will replace any kind of filter used previously on the PTIWorld Portal This search function allows you to search file names, including content within documents and PDF files, for specific phrases, for example. Contents of the current Department Portal Page Title - This is the title of the page you re currently viewing. Department Portal- This is the list of available Department Portals to you. The Portal you re currently on is in bold. Page body - This is the main body of the page. The contents here can vary depending on the page and it s contents. 7 OneDrive for Business OneDrive for Business is an application to sync data from your device to SharePoint and your colleagues Department Portals can be synchronized with OneDrive for Business, allowing quick and easy content management and sharing. OneDrive for Business will be available with the launch of SharePoint. More information can be found on a separate OneDrive for Business manual that will be shared in the upcoming days.
