4 1 Business Flexibility Business flexibility enables administrators to adapt and extend the SAP solution as well as integrating it with external services. Company Branding and User Interface Adaptation You can customize your SAP solution to reflect your company's branding, and you can adapt the user interface to meet your company's needs. You can make the following changes from the Adapt menu: Add your company logo and change the Getting Started image. If using the Gold Reflection theme, you can adapt the background, colors, and logo in the title bar. Rename screen sections and fields, show and hide fields and sections, change the order of fields, and adapt the way in which tables are displayed. Create an extension field and add it to screens, form templates, analytical data sources and reports, extension scenarios, and enterprise search categories. See below for more information. Make mashups visible on a screen. See below for more information. For more information, see the Administrator Adaptation Quick Guide. Built-In Learning and Help You can upload your own learning and help content to supplement the built-in learning and help materials provided by SAP. For more information, see Company-Specific Help Content. Extension Fields You can create your own fields on the SAP solution user interface. Extension fields can be integrated into business processes, form templates, analytical reports, and many other usages. For more information, see the Extension Fields Quick Guide [page 14]. Enterprise Mashups You can enable the use of preconfigured third-party mashups to allow your users to access external data and services from directly in the SAP solution. 5 Tracking Administrator Changes The flexibility change log contains all changes that have been made by administrators in adaptation mode and in the Mashup Authoring view. This includes changes to screens, extension fields, and mashups. This view allows administrators and auditors to trace the way in which data is being accessed by users. For more information, see the Flexibility Change Log Quick Guide. 2.2 Tasks Adapting Company Settings As a key user you can adapt the look and feel of your SAP Business ByDesign solution to suit your company s need. Adding Your Getting Started Image You can add a new image to the Getting Started section of the Overview view in the Home work center. 1. From the Adapt menu, select Company Settings. 2. To upload a new image, under the Getting Started Image tab, click Browse and then Upload. The image file should be in.png format. The recommended size of the Getting Started image is 520 x 400 pixels. 3. Click Apply to make the new image visible to all users. 4. Save your changes. The changes will be visible to all users the next time they log on the system. Changing the Theme You can change the theme of your SAP Business ByDesign solution. You can choose between the Gold Reflection or Skyline theme. To change your theme, do as follow: 1. From the Adapt menu, select Company Settings. 2. In the Company Settings screen select the Theme tab 3. In the Theme field, select the required theme from the drop down list. 4. Save your changes. 8 Adapting Company Branding Images You can adapt the company logo and related settings in the title bar. You can also set a default background image for your SAP Business ByDesign solution. You can add your company logo under Company Branding Images in the Adapt menu. For more information, see here [page 8] Adapting Company Branding Images As an administrator, you can adapt the look and feel of your SAP solution to suit your company s need. You can adapt the company logo and related settings in the title bar. You can also set a default background image for your SAP solution. The changes will be visible to all users the next time they log on to the system. You cannot adapt the system watermark in the title bar, because the watermark indicates the nature of your system. For more information, see Watermark. Adapt Your Company Logo 1. From the Adapt menu, select Company Branding Images. 2. To upload a company logo, in the Logo tab, click Browse and choose an image file. The image file should be in.png or.jpg format. We recommend that the height of the image is 20 pixels. The size of the image cannot exceed 1MB. Note: You can also drag and drop an image file to the image area. 3. Choose the position of your company logo. By default, the logo is located at the center of the title bar. 4. To save your changes, click OK. Adapt Title Bar Color 1. From the Adapt menu, select Company Branding Images. 2. To upload an image, in the Title Bar tab, click Browse and choose an image file. The image file should be in.png or.jpg format. We recommend that the height of the image is 20 pixels. The size of the image cannot exceed 1MB. Note: You can also drag and drop an image file to the image area. 3. Choose the position of your title bar image. By default, the image is stretched across the title bar. 4. In the Color and Transparency field, open the color pane and choose a color as a layer on top of your title bar image. By default, the color is black and remains invisible. In the Select Color screen, you have the following options: In the color pane, click to select a starting color and move to select a color. Under the color pane, choose a recent used color. Adjust the HSB or RGB settings for the color. Enter a hexadecimal color code of the color. 9 5. Adjust the transparency of the color layer. By default, the color layer transparency is set to 0%. Tip: To fill the title bar area with a color, you should select a color as a color layer for your title bar image and set the transparency to 100% in the Color and Transparency field. The color you select is the color of your title bar. However, to activate the Color and Transparency field, you first have to upload a title bar image. 6. To save your changes, click OK. Adapt Default Background Image 1. From the Adapt menu, select Company Branding Images. 2. To upload a background image, in the Background tab, click Browse and choose an image file. The image file should be in.png or.jpg format. We recommend that the size of the image is the size of your screen resolution. The size of the image cannot exceed 1MB. You can also drag and drop an image file or a branding image file to the image area. 3. Choose the position of your background image. By default, the image fills the background screen. 4. In the Color and Transparency field, open the color pane and choose a color as a layer on top of your background image. By default, the color is black and remains invisible. In the Select Color screen, you have the following options: In the color pane, click to select a starting color and move to select a color. Under the color pane, choose a recently used color. Adjust the HSB or RGB settings for the color. Enter a hexadecimal color code of the color. For example, enter #FF0000FF for blue. 5. Adjust the transparency of the color layer. By default, the color layer transparency is set to 0%. 6. Adjust the transparency of the infobars. By default, the infobar transparency is set to 100%. 7. To save your changes, click OK. This background image is the default background image of your SAP solution. The default background image is visible to all users who have not personalized their background image settings. If you cannot see the default background image, please check whether you have personalized your background image settings in the Personalize menu. Remove your personalized background image and related settings to visualize the default background image. You can drag and drop one of more Branding image files to a SAP screen and use it as your company branding image. However, if you drag and drop images or image files to a SAP screen, the changes are made to your personalize settings and are not visible to all users. You can export your branding images and related settings as a branding image file. To do this, in the Company Branding Images screen, click More and then Export. 10 3 Company-Specific Learning and Help Content Quick Guide The SAP Business ByDesign solution provides you with abundant online help as well as access to the SAP Business ByDesign community. Guided learning content for typical user tasks within the solution is available in e-learning format in the Learning Center, and contextual help is available in the Help Center. Administrators can add content to the learning and help content that is delivered with the solution. Administrators can also use the Employee Readiness Check reports to monitor users' learning progress. Only administrators who are assigned to the Application and User Management work center can edit the content of the Learning Center and the Help Center. Business Background User-Specific Learning Content Each user can access the Learning Center through the Self-Services view of the Home work center, or through the Help Center on every screen. As an administrator, you can add company-specific content to the Learning Center. The content delivered in the Learning Center shows typical customer scenarios based on proven instructional design. You can add new links or new files to the Learning Center. All changes you make are immediately visible to all end users. Context-Sensitive Help Content You can access the Help Center from every screen in the system. Before you go live, you as an administrator should prepare the Help Center content so that it meets the requirements of your end users. You can add your own documents that will appear under Company-Specific Help, such as process descriptions, golden business rules, or demos. You can decide whether these company-specific documents should appear only on a particular screen or on all screens within SAP Business ByDesign. As an administrator, you can add company-specific help to the Help Center that is immediately visible and available to all end users. When you open the Help Center, in the You Can Also section, you can: Open the Learning Center Report an incident Show system information Add company-specific content Add company-specific content for all screens In the Help Center, under My Notes, you can add personal notes related to the respective work center. 11 Tasks Add Company-Specific Content to the Learning Center As an administrator, you can add company-specific content to the learning center, such as new links or new files. All changes you make are immediately visible to all end users. 1. In the Home work center, in the Self-Services view, open the Learning Center. 2. To edit the learning module, click the Edit symbol. The Company-Specific Help and Learning Content window opens. 3. To add a new file, click New and choose File. To add a new link, click New and choose Link. In the dialog window, enter the following details: In the URL field, enter the URL of the file or link. In the Name field, enter the name as it will appear in the learning module. In the Duration field, enter how many minutes this learning task should take. In the Description field, enter a description of this file or link. 4. Save your entries. Your content is added to the learning module and available for all users assigned. You can also remove the company-specific content you added. Add Company-Specific Help to the Help Center You as an administrator can add a file to the Help Center in any work center. The help file should provide additional context-related information on the screen in question. It is also possible to add a file to all screens within the system. 1. Navigate to the screen where you would like to upload a document. 2. To open the Help Center, click Help and then choose Help Center. 3. You can either add content to this screen or to all screens within the system. To add company-specific content to a particular screen, click Add Company- Specific Content under You Can Also. To add company-specific content to all screens, click Add Company-Specific Content for all Screens under You Can Also. The Company-Specific Help and Learning Content window opens. 4. 12 By default, the system supports the following file types: All Microsoft Office formats PDF By default, the following file types are not supported: HTML XML EXE For more information, see Configuration: Allowed Mime Types for Document Upload. The maximum file size is restricted to 500 MB. Due to performance reasons, we recommend not to upload files larger than 20 MB. To add a new link, click New and choose Link. 5. In the dialog window, enter the following details: In the URL field, enter the URL of the file or link. In the Name field, enter the name as it will appear in the Help Center. In the Description field, enter a description of this file or link. 6. Save your entries. Your content is added to the help center and available either for all users assigned to the respective work center or to all users. You can also remove the company-specific content you added. Check Employee Readiness The Employee Readiness Check reports show you the learning process of either your area, your direct reports, or your teams. These reports help to determine if users are sufficiently trained in the system to carry out their work. 1. Go to the Managing My Area work center and open the Reports List view to see a list of all reports available within this work center. 2. In the Show field, select All Reports, and in the Find field, enter Employee Readiness, then click Go. 3. The following reports are displayed: Employee Readiness Check My Area Displays the proportion of completed learning content of your area. Employee Readiness Check My Direct Reports Displays the proportion of completed learning content of your direct reports. Employee Readiness Check My Teams Displays the proportion of completed learning content of your teams. 4. Click the title of the report that you want to open. The selected report opens in a new window. The Employee Readiness Check reports show the learning progress of the assigned users. This helps you to decide how comfortable employees are with using the system to carry out their work SAP SE or an SAP affiliate company. All rights reserved. 13 If there are no assessments included in the learning modules, the user has to open all links in the module to complete the learning module. For the progress to be visible, the user has to accept tracking of the learning progress when opening the learning module for the first time. The default columns in the report are Total Number of Learning Modules, Number of Passed Learning Modules, Number of Learning Modules with Assessment, and Ratio of Passed Learning Modules. All users should have completed their learning module before they start their operational work. 14 4 Extension Fields 4.1 Extension Fields Quick Guide Extension fields are additional fields that administrators can add to a cloud solution from SAP. Administrators can create extension fields for a screen that has been enabled for extension fields. The field can then be added to other screens, form templates, analytical data sources and reports, and so on. To create extension fields you must be assigned to the Flexibility Change Log view in the Application and User Management work center. For more information, see the Flexibility Change Log Quick Guide. Business Background Business Contexts When you first create an extension field, you navigate to a screen on which you want it to appear and add it to a section of the screen. Each screen section is based on an underlying business context. The business context typically corresponds to part of a business document or other object, for example, the header data of a sales order. The business context is used to determine which other screens you can add the field to and, in addition, the form templates, analytical data sources and reports, enterprise search categories, and extension scenarios that the field can be added to. Extension Field Types The following table lists the different field types available and the settings you can make for each field type. For example, you can define a default value that is automatically entered in the field but which can be overwritten by the user. For some field types you can also define a calculation rule, for example, in order to combine data from two different fields into one field. 15 Field Type Default Value Calculated Field Other Settings List Yes No You must define a list of values that can later be selected from the dropdown list by users. If you have multiple system languages then you must enter a value for each language. For example code 101 corresponds to the first entry in the list. If you have multiple languages then you have to maintain an entry for this code in each language. Code 102 then corresponds with the second entry in the list, and so on. To add more entries click Add. You can also enter your own code for each entry, if required. Make an Existing Extension Field Visible on a Screen If you have already created an extension field then you can add it to other screens that are based on the same business context. For example, if you originally created an extension field on the New Sales Order screen in the Sales Order - business context, you can also add it to other screens in which the Sales Order - General business context is used. To add an existing extension field to a screen, do the following: 1. Navigate to a screen where you want to add the extension field. 2. From the Adapt menu, select Enter Adaptation Mode. 3. In adaptation mode, select Edit Screen from the Adapt menu. The side panel opens. 4. Click on the Extension Fields section of the side panel. A list of screen sections to which an extension field can be added is displayed. 5. Select a section from the list, or alternatively, click on a section that has been enabled for extension fields on the screen. A list of available extension fields is displayed. Extension fields that have not been made visible for the screen are listed but the Visible checkbox is not selected. Extension Fields P U B L I C 2017 SAP SE or an SAP affiliate company. 16 6. Select the Visible checkbox beside the field that you want to make visible on this screen. Note that if you want to make an extension field visible on a screen but want it to be read-only, for example, on a fact sheet or the review step of a guided activity, select the Display Only checkbox. 7. Save your changes and close the side panel. Make an Extension Field Display Only You can make an extension field that is otherwise editable read-only on selected screens. For example, you might want an extension field on a fact sheet or review step of a guided activity to be read-only whereas it should be possible to edit the field on other screens. 1. In the adaptation side panel, under Extension Fields, select the extension field from the list. 2. Select the Visible checkbox. 3. Under Properties, select the Display Only checkbox. Add an Extension Field to a Form Template You can add an extension field to form templates that are based on the same business context as the extension field. You then have to edit the template using Adobe LiveCycle Designer to make the field visible in the template. 1. In the adaptation side panel, select the extension field from the list and, under Field Properties, click the Further Usage link. 2. On the Form Templates tab of the Further Usage screen, you can view a list of all form templates to which you can add the field. This is determined by the business context in which you created the field. Note that if you created the field in a business context that corresponds to a business partner role (such as Account - or Contact - ) you will be able to choose in which role you want to add the field to the template. 3. To add a field to a template, select the template from the list and select the editor from the Add Field and Edit menu button. When you select an option from the menu, the system adds the new field to the form data structure on which the form template is based. You then edit the form template using Adobe LiveCycle Designer. Add an Extension Field to Data Sources and Reports You can add an extension field to a data source that is based on the same business context as the extension field. You can then add the extension field to any existing reports based on this data source, or create new reports containing the extension field. For more information, see Add an Extension Field to Data Sources and Reports [page 51]. Add an Extension Field to the Search You can add an extension field to the search. This allows users to search for values entered in the extension field using the worklist search in a work center view, and using the enterprise search. For more information, see Add an Extension Field to the Search [page 57]. Add an Extension Field to Additional Business Contexts If the business context in which you have created an extension field is closely related to another business context then you have the option of adding the extension field to this second business context. There is no flow of data between additional business contexts. 1. In the adaptation side panel, select the extension field from the list and, under Field Properties, click the Further Usage link SAP SE or an SAP affiliate company. All rights reserved. 17 2. On the Additional Business Contexts tab of the Further Usage screen, you can view any additional business contexts. 3. Select the business context and click Add Field. You can now make the extension field visible on screens, form templates, and so on, that are based on this business context. Add an Extension Field to a Microsoft Excel Template You can add an extension field to Microsoft Excel templates that are based on the same business context as the extension field. For more information, see Maintain Microsoft Excel Templates. Add an Extension Field to an Extension Scenario You can add an extension field to an extension scenario. For more information, see Add an Extension Field to an Extension Scenario [page 53]. Use an Extension Field in a Mashup You can use extension fields as a parameter in a mashup. For more information about how to create a mashup that uses an extension field, see Create a Mashup for an Extension Field. Delete an Extension Field 1. In the adaptation side panel, under Extension Fields, select the extension field from the list. Note that you cannot delete an extension field that is currently being used in the calculation rule of a calculated extension field. 2. Click Remove. The extension field is removed from all screens, form data structures, reports, data sources, extension scenarios, and Enterprise Search categories. Deactivate an Extension Field in Extension Scenarios You can deactivate an extension field in extension scenarios. For more information, see Deactivate an Extension Field in Extension Scenarios [page 56]. 4.2 Business Background Business Contexts Enabled for Extension Fields Overview The following business contexts have been enabled to support extension fields. Note that the table covers SAP Cloud solutions in general, and some of the business contexts listed may not be available in your solution. The system only allows you to add an extension field as a key figure to a data source and to corresponding reports when the aggregation of the key figure and data source match. The system thereby prevents incorrect results from being displayed in reports. Hypothetical Example The following example shows why the system does not allow you to add key figures to every report SAP SE or an SAP affiliate company. All rights reserved. 47 While in adaptation mode, you add the Freight Cost field to the sales order. Freight costs are due for the entire sales order and not for individual sales order items. For Analytics usage, this extension field is a key figure since it displays an amount with a currency. You now want to add the key figure to a report. The first table shows what would be the expected result (1100 EUR). The second table shows what would be the actual result (3300 EUR). The reason why the actual result would be 3300 EUR is because the aggregation of the key figure and that of the report are different. Since you added the key figure to the sales order, it is aggregated on header level. The report is aggregated on item level. If the system were to allow you to add the key figure to the report, the system would aggregate the results for the Freight Cost key figure on item level. The result is that the key figure would be aggregated incorrectly. Hypothetical example of incorrect aggregation Extension Scenarios Overview Extension scenarios enable you to create an extension field in one business context and then add that extension field to multiple other business contexts. The data stored in the extension field is then passed from one business context to the next as part of a business process. The following table contains a complete list of all extension scenarios. 50 Prerequisites The administrator has been assigned to the Flexibility Change Log view in the Application and User Management work center. This is required to use adaptation mode. The administrator must be authorized to access any screens, form templates, and reports to which the extension field should be added. Procedure 1. Navigate to a screen where you want to add the new field. 2. From the Adapt menu, select Enter Adaptation Mode. Adaptation mode allows you, as an administrator, to make changes to a screen and then try out your changes before publishing them and making them available to all users. 3. In adaptation mode, select Edit Screen from the Adapt menu. The adaptation panel opens on the right side of the screen. 4. Click on the Extension Fields pane of the adaptation panel. A list of screen sections to which extension fields can be added is displayed. 5. Select a section from the list, or alternatively, click directly on a section that has been enabled for extension fields on the screen. 6. Click Add. 7. In the Add New Field dialog box, the system displays the business context to which you have chosen to add the field. The business context is determined based on the screen section that you selected. If you have tried to create an extension field in a screen section that is based on two different business contexts then you can choose which one better suits your purpose. For example, you may have to choose between adding an extension field at header level of a business document or at item level. The business context is used to determine which other screens you can add the field to and, in addition, the form templates, analytical data sources and reports, enterprise search categories, and extension scenarios that the field can be added to. 8. Select a field type. For more information about the different field types available, see the Extension Fields Quick Guide [page 14]. 9. Enter a field label. If required, you can enter a translation for the field label which will be used when users log on using a different logon language. Click on the arrow to the right of the Field Label field and type the translations next to each language. 10. If required, enter a tooltip for the field. This will be displayed when users move the cursor over the field. You can also enter translations for your other logon languages. 11. If required, you can define a simple calculation rule for selected field types. To define a calculation rule, select the Calculated Field checkbox. Under Calculation Rule, either enter a constant value manually or select a value from the dropdown list. The values available to you from the dropdown list are proposed by the system based on the type of field you are creating and the business context of the field. 51 Note that when creating a calculation rule based on another field it is recommended that you check whether users that have access to this extension field are also authorized to view the data displayed as a result of the calculation rule. 12. Save your changes. 13. Select the Visible checkbox next to the extension field to make it visible on the current screen. Note that when the extension field is created it becomes available in the business context but does not automatically get added to all screens that are based on this business context. To make the extension field visible on each screen, you must navigate to each screen individually and using adaptation mode, make the field visible there. 14. Click Save. Result The field is saved but not published to other users. You can now do the following: Try out the field while still in adaptation mode and, if satisfied, publish your changes to all users. Add the new extension field to other screens, form templates, analytical data sources and reports, enterprise search categories, and extension scenarios. If an error occurs while an extension field is being created, the extension field is displayed in the list of extension fields but the field name is marked in red. To repair an extension field that contains errors, select the field from the list and click Repair. The system fixes any errors and the extension field name is shown in black Add an Extension Field to Data Sources and Reports Overview Administrators can add an extension field to a data source that is based on the same business context as the extension field. You can then add the field to any reports based on the data source. The following table shows whether an extension field can be used as a key figure or characteristic. 52 Extension Field Type Web Address Analytics Usage Characteristic Prerequisites You are an administrator and are assigned to the Business Analytics work center. You have created an extension field in the relevant business context. Since data in data sources might contain data from multiple business contexts, you may want to add the same extension field to screens in additional business contexts. For example, you have created an extension field as a characteristic in the Customer Return - business context and want to add this extension field to the Customer Returns data source. Since this data source contains data from sales orders, the Sales Order - business context is also available as an additional business context. To avoid reporting twice on the same business data, add the extension field as a characteristic in the relevant additional business context. If you were to create an another field with the same business logic in the Sales Order - business context, and also add this field to the data source, two separate fields as characteristics appear in the data source. Procedure 1. Navigate to a screen on which the extension field is available and select Enter Adaptation Mode from the Adapt menu. In adaptation mode, select Edit Screen from the Adapt menu. 2. In the adaptation panel, under Extension Fields, select the extension field from the list and, under Field Properties, click the Further Usage link. 3. On the Data Sources and Reports tab, you can view all data sources available for the business context in which you created the field. When you select a data source, all reports based on that data source are displayed in the lower table. Additional business contexts are listed on the Additional Business Context tab. 4. To add the field to a data source, select the data source and click Add Field. 5. You have the following options: To add the field to an existing report based on this data source, select the report from the lower table and click Add Field. The report opens in an administrator mode. In the Add Fields dialog box, select the Display in Report checkbox next to the extension field. Characteristics are added to the report under Not Currently Shown and key figures are available under Columns. Click OK and close the report without saving. The field will be available to all business users when they next access the report. Note that if you want to make further changes to the report, such as changing the layout, you need to create a new report view. For more information, see Working with Reports in a Web Browser. To create a new report based on the data source, navigate to the Business Analytics work center, Design Reports view and create a new report that uses this extension field. For more information, see the Design Reports Quick Guide. If an error occurs while adding the extension field to the data source, the Field Status column displays a red icon. This allows data stored in the extension field to be passed to other contexts as part of a business process. For a detailed step-by-step example of how to extend a business process spanning multiple extension scenarios, see Example: Adding an Extension Field to the Sales Process [page 54]. Under Extension Fields, select the extension field you created previously and scroll down until you can see the extension field details. 4. Click the Further Usage link. 5. On the Extension Scenarios tab of the Further Usage screen, you can see a list of all extension scenarios to which you can add this extension field. Click on the arrow icon next to the extension scenario name to view a list of data flows. Each data flow consists of a source and target business context. This reflects the direction in which data is passed from one business context to the next. An extension scenario can contain one or more data flows. 6. Select the extension scenarios that you want to extend and click Add Field. The extension field is made available in all business contexts involved in the selected extension scenarios. This means that you can now add the extension field to all screens, form templates, data sources and reports that are based on these business contexts. 7. To make the extension field visible on the screens that are part of each extension scenario, you must navigate to the screen, and select Enter Adaptation Mode from the Adapt menu. 8. 54 9. Under Extension Fields, select the screen section on which you want the extension field to be visible and then select the Visible checkbox beside the extension field name. 10. Save and publish your changes. You may have to repeat steps 7 to 9 multiple times depending on the complexity of the end-to-end process that you want to extend. For more information about adding the extension field to form templates, analytical data sources and reports, or search categories, see the Extension Fields section of the tasks list in the following document: Key User Adaptation Quick Guide Example: Adding an Extension Field to the Sales Process Overview The following example describes how to add an extension field with the field type Text to the business context Account - and then add the extension field to the end-to-end sales process flow. In this example, the extension field is added to the, or header level, of each business context. Procedure 1. Create the extension field In this step, you create an extension field in the Account - business context and make it visible in the Accounts view. 1. In the Account Management work center, Accounts view, enter adaptation mode by selecting Enter Adaptation Mode from the Adapt menu. 2. Select Edit Screen from the Adapt menu. The adaptation panel opens on the right side of the screen. 3. In the adaptation panel, click on the Extension Fields pane. Here you see three screen sections to which you can add an extension field. 4. Select the screen section Accounts and click Add. 5. In the Add New Field dialog box, the business context Account - is preselected. It is also possible to select the business context Contact - but this is not required for this example. 6. Select the field type Text and enter a field label. 7. Click Save. The extension field is created in the Account - business context but is not yet visible on any screens or in any form templates, reports, and so on. 8. To make the extension field visible on the Accounts view, Accounts screen section, select the Visible checkbox next to the extension field name in the adaptation panel. 9. Make the extension field visible on all account screens You now need to make sure that the extension field that you created in the previous step is visible on all of the screens that you require it on. For example, the following procedure shows how to make the new text field visible on the corporate account editor. Note that all steps are taken while still in adaptation mode. 1. In the Account Management work center, Accounts view, select Corporate Account from the New menu. 2. On the New Corporate Account screen, select Edit Screen from the Adapt menu. 3. In the adaptation panel, click on the Extension Fields pane. Here you see two sections to which you can add an extension field. They are both based on the Account - business context. The extension field that you created on the previous step is shown in the List of Fields. 4. Select the Visible checkbox next to the extension field. 5. Save and publish your changes and close the adaptation panel. Repeat these steps for all screens that you want to display the extension field on. You can also add the extension field to form templates, data sources, reports, and so on. For more information about these steps, see the following document: Key User Adaptation Quick Guide. 3. Add the extension field to the Account to Sales extension scenario You now need to extend the Account - to Sales - extension scenario so that the new extension field is available in the sales area. 1. In the Account Management work center, Accounts view, enter adaptation mode and open the Extension Fields pane in the adaptation panel. 2. Select the extension field that you created and click on the Further Usage link under Field Properties. 3. On the Further Usage screen, navigate to the Extension Scenarios tab. 4. Select the extension scenario Account - to Sales -. For detailed information about the data flows available in each extension scenario, click the arrow icon beside the extension scenario name. 5. Click Add Field. This activates the data flows between the account and the sales business contexts. The extension field now becomes available in all business contexts that are part of the extension scenario. You now have to make the extension field visible on any screens that you require in the sales area. This includes sales quotes, sales orders, and customer returns. For example, you could make the extension field visible on the Sales Order editor. 4. Extend all remaining extension scenarios To complete the end-to-end process, you must extend the Sales -, Sales Order - General to Invoice Requests -, and Invoice Requests - to Customer Invoice - extension scenarios and make the extension field visible on the necessary screens. 1. In the Sales Order work center, Sales Orders view, enter adaptation mode and open the Extension Fields pane in the adaptation panel. 2. 56 3. On the Further Usage screen, on the Extension Scenarios tab, select the Sales - extension scenario and click Add Field. This activates all data flows between business contexts in the sales area, for example between the sales quote and the sales order. You should already have made the field visible for these business contexts in the previous step. 4. Select the Sales Order - to Invoice Requests - extension scenario and click Add Field. 5. Navigate to the Customer Invoicing work center, Invoice Requests view. Here, you can make the extension field visible, as required. 6. In the Invoice Requests view, open the adaptation panel and under Extension Fields, select the extension field and click Further Usage. 7. On the Extension Scenarios tab of the Further Usage screen, select the Invoice Requests - General to Customer Invoice - extension scenario. This activates the data flow between the invoice request and the customer invoice. 8. Navigate to the Customer Invoicing work center, Invoices and Credit Memos view. Here, you can make the extension field visible, as required. Result The extension field is available on all screens for which you made it visible and, when you create follow-on documents based on the account, the extension field and the data entered in the field is available in all follow-on business documents Deactivate an Extension Field in Extension Scenarios Overview If you add extension fields to one or several extension scenarios, the data stored in these fields is used in the processes of the scenarios. There are cases where you later notice that the extension fields are not required in all processes or that you do not want them to appear on certain screens. If you delete the extension field completely, the data is lost in all processes. Instead, you can deactivate the extension field in the relevant extension scenario. You can reactivate it at any time. Prerequisites Your user has been assigned to the Flexibility Change Log view in the Application and User Management work center. This is required to use adaptation mode. You have added an extension field to one or several extension scenarios. For more information, see the Add an Extension Field to an Extension Scenario [page 53]. Procedure 1. Under Extension Fields, select the extension field you want to deactivate in one or several extension scenarios and scroll down until you can see the extension field details. 4. Click the Further Usage link. 5. On the Extension Scenarios tab in the second list, you can see the extension scenario(s) to which the extension field was added. Here, you have the following options: To deactivate an extension field in an extension scenario, select the scenario and click Deactivate. In the Additional column, the comment Scenario is deactivated is displayed. Data stored in the extension field will not be passed along the extension scenario anymore. To reactivate an extension field in an extension scenario, select the scenario and click Activate. In the Additional column, the comment Scenario is deactivated disappears. Data stored in the extension field will be passed along the extension scenario again. To deactivate or reactivate an extension field in several extension scenarios, repeat step 5 for each scenario. 6. Click Close and Publish Add an Extension Field to the Search Overview You, as an administrator, can make an extension field available in the basic and advanced worklist searches. Extension fields are automatically added to the basic and advanced enterprise search depending on the extension field type and the business context. To improve the usability of the advanced enterprise search, you can add the extension field to a search category. This allows users to search for the contents of an extension field within a particular category, such as sales orders. Procedure 1. Add an extension field to the basic and advanced enterprise search a. Navigate to a screen on which the extension field is available and open the Further Usage screen for the extension field. To do this, enter adaptation mode and edit the screen. In the adaptation side panel, under Extension Fields, select the extension field from the list and, under Field Properties, click the Further Usage link. b. On the Enterprise Search tab, you can view all enterprise search categories to which you can add the field. This is determined by the business context in which you created the field. c. To add a field to an enterprise search category, select it from the list and click Add Field. The enterprise search category determines in which category users will be able to search for the contents of this field using the basic enterprise search. They can then refine their search by clicking on Advanced and using the extension field as a search parameter. d. Close the further usage screen and publish your changes. 2. Make an extension field available in the basic worklist search To enable the basic worklist search you must have completed step 1. Add an extension field to the basic and advanced enterprise search. You then have to make the extension field visible in the worklist. a. Navigate to the work center view in which the worklist appears. For example, the Sales Order view in the Sales Order work center. b. From the Adapt menu, select Enter Adaptation Mode. In adaptation mode, select Edit Screen from the Adapt menu. c. In the adaptation panel under Extension Fields, select the section corresponding to the worklist table and select the Visible check box next to the extension field. d. Save and publish your changes. The extension field is added to the table as a column. Users will now be able to search for the content of the extension field using the basic worklist search. 3. Make an extension field available in the advanced worklist search To enable the advanced worklist search, you must have completed step 1. Add an extension field to the basic and advanced enterprise search. You then have to make the extension field visible on the advanced search find form. a. In adaptation mode, navigate to the advanced search find form by clicking the Advanced link at the top right of the table. b. Select a query from the Show dropdown list. Note that when you add an extension field to the advanced worklist search it will only be available for the selected query. If you want the extension field to be available for multiple queries, you must add it to each query individually. c. From the Adapt menu, select Edit Screen SAP SE or an SAP affiliate company. 59 d. In the adaptation panel under Extension Fields, select the section corresponding to the advanced search find form and select the Visible check box next to the extension field. e. Save and publish your changes. The extension field is added to the selected query. Users will now be able to search the content of the extension field using the advanced worklist search and the selected query Add an Extension Field to a Mobile Floorplan Overview You, as an administrator, can add an existing extension field to a mobile floorplan. Mobile floorplans are adapted versions of standard screens in the SAP solution that are used in applications for mobile devices. Prerequisites You have created an extension field in a business context that is also used in a mobile floorplan. Procedure 1. To add an extension field to a mobile floorplan, do the following: You must be assigned to the work center view on which the mobile floorplan is based. a. Log on to the SAP solution. b. Delete the Microsoft Silverlight cache on your local computer. For more information about how to delete the cache, see the Microsoft Silverlight product documentation. c. In the browser window, add the parameter &sapbyd-agent=mobile to the URL of your SAP solution and refresh the page. Note that you may be prompted to log on to the system again at this point. You can now see the mobile floorplans for your assigned work center views. d. Open the screen to which you want to add the extension field. e. Select Enter Adaptation Mode from the Adapt menu. f. Select Edit Screen from the Adapt menu. The adaptation side panel opens. g. In the side panel, click on Extension Fields. h. Select the Visible checkbox next to the field that you want to be visible on this screen. i. Save and publish your changes. 2. To add an extension field to a mobile floorplan in the Mobile Execution work center, do the following: You must be assigned to the Mobile Execution work center. a. Log on to the SAP solution. b. Save and publish your changes Use an Extension Field in a Web Service Overview You, as an administrator, can use an extension field in a web service to communicate with another system. This can, for example, be a web shop or an on-premise system. Prerequisites You are assigned the Flexibility Change Log work center view. You have created an extension field. For more information, see Create an Extension Field [page 49]. You know how to use a Web Services Description Language (WSDL) file. You are familiar with communication arrangements. Procedure 1. Navigate to the screen on which the extension field is available. 2. In the title bar, click Adapt and select Enter Adaptation Mode. 3. In the Adaptation Mode, click Adapt and select Edit Screen. 4. In the side panel that opens, select Extension Fields. 5. All the extension fields available for the screen are listed here. Select the extension field you want to use in a Web service. 6. Under the Field Properties of the extension field, click Further Usage. 7. In the Further Usage of Extension Field screen that opens, select the Services tab. 8. Select the service to which you want to add the extension field. The system displays the namespace of the extension field and tells you the steps you have to take after adding the field. 9.
