1 Process for making minor corrections to published translations of the GRI Sustainability Reporting Guidelines (G4) 1) Purpose 1. This paper outlines a process for making minor corrections to published translations of the GRI Sustainability Reporting Guidelines (G4). Updates to translations of the G4 Guidelines are undertaken with the sole aim of improving the quality, faithfulness and transparency of the translation. 2. The G4 Guidelines have been translated into several languages. To see which language translations are currently available, please check the GRI website. The process followed to translate the G4 Guidelines is likewise available on the GRI website. 2) Scope 3. The following minor corrections can be made to published translations of the G4 Guidelines: Unintentional errors: Typographical errors Grammar, spelling and punctuation errors Inconsistent use of terminology Inconsistencies between sections Ambiguous translations: A translation is ambiguous when it may lead to the incorrect interpretation or application of the G4 Guidelines contents 3) Process for correcting unintentional errors 4. Unintentional errors are collected by GRI and can be corrected without the need to involve the Standards Division and/or the Global Sustainability Standards Board (GSSB). GRI (2015)

2 5. The translation agency reviews the identified unintentional errors and proposes a solution. 6. The translation agency will be responsible for making the final decision on any changes to be implemented. 4) Process for correcting ambiguous translations 7. Ambiguous translations are collected by GRI. The person raising the issue is asked to indicate, in English, the perceived ambiguity. 8. The Standards Division will be consulted to clarify the original contents in the English version of the G4 Guidelines. The Standards Division may in turn consult the GSSB, if needed. 9. If the perceived ambiguity is legitimate, the translation agency reviews the text and proposes a solution, based on the clarification provided by the Standards Division. 10. At the discretion of the translation agency, the Peer Review Panel may be invited to provide feedback on the adequateness of the changes. 11. The translation agency will after considering the feedback from the Peer Review Panel, if applicable be responsible for making the final decision on any changes to be implemented. 5) General about the process 12. GRI decides on the frequency of updates. 13. The translation agency prepares an errata sheet in the respective language and fills it out accordingly (see template under Annex 1). In addition, the translation agency translates the information on correction notification (see template under Annex 2) and the publication edition (see template under Annex 3). 14. GRI assists with making amendments to the design files of the translation and with the design of the errata sheet. Amendments made to the design files of the translation do not need any special formatting. Page 2 of 6

3 Appendices Annex 1) Errata sheet template for inclusion in the revised translation Whenever a G4 translation is corrected, the following errata sheet shall be duly completed, translated into the respective language, and included in either Part 1 and/or Part 2 of the revised translation, depending on where text has been corrected, as follows: In Part 1, include the sheet in the inside back cover In Part 2, include the sheet on the page before the inside back cover Errata to the <language> version of the GRI G4 Guidelines <RPSD/IM> The <language> version of the GRI G4 Guidelines was first published in <insert month and year>. This errata outlines the corrections to the <language> version of the GRI G4 Guidelines <RPSD/IM> since then and which have been brought to the attention of GRI. The matters referred to GRI may concern terminological issues and/or textual ambiguities. The <language> Peer Review Panel has been consulted on the correct terminology, in specific cases where deemed appropriate by GRI. Therefore the present list contains the corrections on matters such as terminological, typographic and textual errors and ambiguities, and orthography.
