What to consider when investing in new MEP design technology When considering investment in new Mechanical, Electrical and Plumbing (MEP) design software, one of the most common considerations is to find a future-proof solution that covers comprehensively the company s MEP design and calculation needs. At the same time, the solution should enhance the company s operational capabilities through greater productivity, translating to a higher profit margin by enabling more billable hours with the same workforce. This white paper provides business managers with a practical cost/benefit assessment model when considering investment in MagiCAD. The model includes a calculation sheet for performing the assessment using company-specific variables and provides a logical, step-by-step tool for gathering and understanding the relevant factors in this type of investment. With the calculation sheet, the business manager will be able to calculate the expected return on investment (ROI) and payback period when adopting MagiCAD, and perform a reliable cost/benefit assessment for the investment over time. This white paper aims to provide business managers with a practical cost/benefit assessment model when considering investment in MagiCAD. As with any investment, the benefits of the new software must be weighed against the total cost of the investment, including the cost of the software and licenses, the training costs, as well as the more elusive cost of the initial learning period with new technology. The key questions are the following: how quickly the investment can be expected to pay itself back, what is the expected boost to the company s profitability after the payback period, and how much does the new technology enhance the company s operational capabilities. In addition to this, it is also important to consider the solution s capability to reduce project risk, for example by increasing the quality and accuracy of the delivered project and by controlling some of the factors contributing to schedule overruns. 03

Key questions the benefits of MagiCAD in detail This section presents some of the key questions to consider when making the decision to invest in productivity-enhancing MEP design technology. WHAT IS THE LEVEL OF THE PRODUCTIVITY BOOST ENABLED BY THE INVESTMENT? MagiCAD for Revit will enhance the productivity of day-to-day design work by 30% or more, shortening the total project run-through times. This is achieved on one hand through the automation of many time-consuming aspects in routine design and drawing operations, and on the other, through the increased quality and reliability of the delivered project. Automation also reduces the possibility for human error and enables easier and faster check-up procedures, decreasing the need for revisions in the later stages. Domestic MagiCAD MagiCAD cuts our design time by 50% as we only have to do the designs once. It integrates seamlessly with AutoCAD and Revit MEP, offering a single, unified design process which includes also calculations Managing Director Colin Taylor Sprinklers, United Kingdom has made our MEP design 50 % faster on Revit MEP by enabling perfect coordination. Clash detection, easy change management, automatic provisions for voids all of these tools are very helpful in everyday work with the model. Also access to MagiCAD s vast product libraries is a huge facilitation of project workflow Section Manager Marek Piotrowicz TB Poland, Poland Over the years, we have found that using MagiCAD saves us a lot of time and enhances also overall project productivity. We have estimated that MagiCAD s time-saving functions, such as easy riser diagram features and faster revisions, can save up to 30 per cent of total project time. General Manager Gürkan Görgün Eko Tasarim, Turkey 06
HOW IS THE PRODUCTIVITY BOOST ACHIEVED IN PRACTICE? MagiCAD for Revit automates many of Revit s frequently needed and otherwise time-consuming operations and workflows, making these procedures percent faster, depending on the procedure. These tools and functions included in MagiCAD are commonly referred to as productivity tools, including for example: Automated tools for drawing crossings and elevation changes (click here for video) Easy and fast duct connections, bends and joints (click here for video) Angle-to-horizontal connections (click here for video) Highly automated duct and pipe routing Check or edit selected objects and systems by using the 3D section tool Find & Replace function with automatically re-established connections Create Builder s Work (Provisions for Voids) drawings automatically Split ducts into commercial lengths The linked video demonstrations above examine some of the most frequently needed and often very time-consuming routine operations in ventilation design, demonstrating the time saved during each of these operations compared to the steps needed for accomplishing the task using out-of-the-box Revit. For example, one of the more commonly occurring, relatively complex and time-consuming tasks in ventilation design is designing duct crossings in places where the duct would otherwise intersect and clash with other installations. With MagiCAD, the total time saving per duct crossing is approximately 65 %. As a reference, in the example demonstration video, the operation takes 37 seconds with MagiCAD and 90 seconds with Revit MEP. The other two examples include 50% time saved per operation when making any of the various standard duct connections, as well as the angle-to-horizontal duct connections which are 60-80% faster with MagiCAD. 65 % approximate total time saving per duct crossing 50 % time saved per operation when making standard duct connections faster angle-to-horizontal duct connections % 07
HOW DOES THE INVESTMENT IN MAGICAD ENHANCE MY COMPANY S OFFERING TO THE CUSTOMER? MagiCAD provides a comprehensive BIM solution for Mechanical, Electrical and Plumbing design needs on Autodesk s Revit technology. At the same time, MagiCAD includes full capability for thorough, built-in ventilation, plumbing and sprinkler calculations. When designing with MagiCAD, the user will be able to utilise the world s largest library of manufacturerverified, data-rich RFA families for MEP design, including over 1,000,000 real MEP products from manufacturers internationally. In addition to offering a comprehensive building services design toolkit, MagiCAD for Revit also enables the design of suspension and hanger systems for ducts, pipes and cable trays using the MagiCAD Supports & Hangers software module. Future-proof solution for all BIM needs within the MEP design sector Moreover, as MagiCAD offers these capabilities on Revit technology, the international de facto standard for interdisciplinary collaboration in Building Information Modelling projects, MagiCAD can truly be considered a future-proof solution for all BIM needs within the MEP design sector. WHAT IS THE EXPECTED PAYBACK PERIOD OF MAGICAD FOR MY COMPANY? MagiCAD s high level of automation supports the user during the adoption process, avoiding many unnecessary pitfalls and complexities which the learner would otherwise face. With MagiCAD s highly automated workflows, the required learning period after the initial training will be optimal in relation to the user s background and previous experience with design technologies. This is relevant also when starting to learn Revit-based design for the first time, since many of the procedures offered by out-of-the-box Revit are made easier and faster by the enhancements provided by MagiCAD. When the user has previous experience with Revit, productivity-enhancing benefits are expected to begin to gradually show already in the days following the initial MagiCAD training, with the final break-even point expected to be reached through saved man-hours alone in approximately 6 months, taking into account the cost of total investment in the licenses, initial training and potential time loss during the learning period. Productivity-enhancing benefits are expected to begin to gradually show already in the days following the initial MagiCAD training When the user does not have previous experience with Revit, MagiCAD will make the adoption process faster by making many of Revit s workflows easier and more automated. When starting the learning process directly using MagiCAD, the learner can avoid many unnecessary pitfalls and complexities which consume time. For calculating the payback period and expected monetary benefits for your company, see section Calculating total cost on page
DOES MAGICAD COVER MY COMPANY S MEP DESIGN NEEDS? MagiCAD for Revit offers a comprehensive solution for all building information modelling, design and calculation needs for ventilation, heating, cooling, plumbing, sprinkler and electrical design. This means that the investment is likely to provide your company with the opportunity to perform additional cost optimisation through fewer vendors, as design, installation coordination, system balancing, verification and calculations can all be performed using MagiCAD. This is likely to mean that your company needs fewer third-party software in the course of the design process, increasing reliability as well as minimising systems administration and reducing compatibility issues. Furthermore, with the world s largest database of manufacturer-verified MEP BIM objects at your disposal, there is no need to buy BIM objects separately, spend time finding suitable Revit families online one at a time, or to manage and update your own database. 10 How to calculate the total cost and payback period for your company When calculating the total ramp-up costs for MagiCAD adoption, one must take into account the cost of the software, the cost of initial training as well as the cost of the learning period in day-to-day design work. As a specialist design solution for the building services disciplines, MagiCAD always requires an initial training, typically ranging between 2-4 days. CALCULATING TOTAL COST There are many variables to take into account when making the cost/benefit assessment. The starting point for the calculation has been calibrated based on the most commonly encountered ways that the adoption process goes forward when the engineers have previous experience in performing MEP design with Revit. Since each company and adoption process is different, this section will aim to provide a reference point for each company to adjust the numbers to reflect their particular situation. To make the cost/benefit calculation reliable and comparable regardless of the company and its particular circumstances, the calculation model analyses return on investment strictly from the perspective of saved man hours, and leaves out any additional positive variables such as the increased profit from being able to accomplish more billable projects with the existing resources. Perform the calculation for your company using the calculation sheet in appendix 1 Request for the calculation table in Excel format at magicad.com/en/ contact With MagiCAD, the out-of-pocket investment consists of the price of MagiCAD licenses and initial training. However, as with any investment, also the cost of the initial learning period with temporarily lower productivity should always be taken into account. 10
Ramp-up process +5 % + After the initial learning period of 1 month, productivity increases by 5 % per month Full productivity enhancement reached in approx. 6 months after the initial learning period Despite the fact that in most cases the engineers will be able to begin working effectively with MagiCAD immediately after the initial training and begin benefiting from some of MagiCAD s productivity-enhancing features already in the days immediately following the training, an initial learning period with a temporary -25 % decrease in productivity for 1 month is included in the calculation. This conservative estimate is to balance the calculation in a way that takes into account individual variance to an extent that we can expect it to cover even the more demanding implementations. For the purposes of the calculation, the period of gradual learning before the customer reaches the full productivity enhancement is taken to be approximately 6 months after the initial learning period based on previous cases of MagiCAD adoption. In other words, in cases where the engineers have previous Revit background, the average time for reaching better productivity in Revit-based MEP design with MagiCAD is 6 months. This is an average which should cover most companies regardless of the starting point, but depending on the case, months may be added to this expectation to adjust the calculations to reflect a longer adoption process. After the initial learning period, the productivity is calculated to increase during the first month by a modest +5 % compared to the original productivity before MagiCAD adoption. During the second month the increase is calculated to be +10 %, with gradual increase of +5 % per month until the full productivity increase of + is reached during the sixth month. In most cases, the standard start-up training package offered for MagiCAD provides new customer companies all that is needed for integrating MagiCAD effectively to their daily working processes and to quickly begin materialising also some of the business-enhancing benefits. The initial training consists of one day focusing on MagiCAD s productivity-enhancing features for Revit and one day for more specialised, discipline-specific features. MagiCAD integrates well with the Revit logic and it is for this reason relatively easy for engineers with background in Revitbased MEP design to integrate MagiCAD into their daily working processes in a productive manner after the initial training. MagiCAD automates many conventionally time-consuming procedures, and as such, the productivity-enhancing effects are expected to begin to show quite quickly after the training. Revit background is not a prerequisite for MagiCAD adoption. To facilitate a smooth adoption process, multi-day trainings can be tailored to cover all the necessary aspects of the MagiCAD software and the Revit platform. If the customer has experience in using MagiCAD for AutoCAD, the MagiCAD logic can often act as bridge which facilitates the transition from the AutoCAD technology to Revit, making the process easier and more efficient. When the learner has previous Revit experience, the adoption of MagiCAD will make the design process more efficient quite quickly because MagiCAD features generally make native Revit s design workflows easier, faster and more automated. 11
AN EXAMPLE CALCULATION To illustrate the costs and the time scale involved, below is an example calculation for a company with 4 engineers who are all considered to be proficient in Revit. After the training, they are expected to be able to integrate MagiCAD into their daily working processes immediately, while also being able to begin benefiting from some of MagiCAD s features which replace some of Revit s more time-consuming workflows. In this way, the benefits begin to materialise instantly, with the full level of benefits expected to be reached during the first 6 months after the initial learning period. Calculating total cost of investment Engineer fully loaded cost 5000 per month per year MagiCAD licence cost 1700 one time per licence 460 per licence per year MagiCAD training cost 1000 per user Initial efficiency loss 25 % in the first month 1250 per engineer Competence ramp-up period 6 months 6 Efficiency improvement Business case calculation No. of engineers 4 No. of licences needed 4 Benefit at full efficiency Monthly benefit Yearly benefit Investment Licence cost 8640 Training cost 4000 Out-of-pocket total Efficiency loss cost 5000 Total investment Total cost per employee for the company varies a great deal from country to country, depending among other things on the salary level and additional labor costs due to the applicable labour legislation. For the purposes of this example case, we will set the total cost of one engineer to 5000 per month, adding up to 60,000 per year. You can easily modify this and other key values when performing the calculation for your company using the APPENDIX 1: Calculation table for total cost, profit and payback period on page 17. Based on the values above, we will be able to calculate both the expected payback period for the investment and the approximate return on investment in the first 12 and 24 months. In this example case, the total investment will be completely paid back already during the first six months after the initial learning period as a result of the gradually increasing man-hour savings, with the full efficiency boost reached during the sixth month. 12

With these figures, the return on investment during the first 12 months is approximately 33,360 or 189 %, and 103,520 or 587 % during the first two years. During the second year, the only cost resulting from the software is the license renewal price, which is 1,840 in the current example. Further, the productivity boost can also be translated to additional 1,2 man-years, resulting in 5,2 effective man-years with 4 engineers. This enables more billable projects and may also be considered from the perspective of higher profit margin per man-hour, resulting from the shorter average project run-through times. 14 MagiCAD adoption process CASE: DERRY LTD, UNITED KINGDOM Based in Newark-on-Trent in Nottinghamshire, Derry Ltd carry out Mechanical and Electrical Services engineering nationwide, from inception to providing full coordinated installation information for the construction team. The team consists of 26 employees, 8 of whom are designers. In recent years, Derry have made significant investments to implement 3D design technology and to support industry requirements for BIM. Today they offer a true multidisciplinary approach to design development and coordination. When making the transition to the new design technology, Derry moved from designing with 2D tools directly to simultaneous adoption of both Revit MEP and MagiCAD for Revit. Derry s MagiCAD adoption began with an initial training session at the company s premises, with one day dedicated to MagiCAD s general productivity-enhancing features on Revit and the other to MagiCAD s discipline-specific features for ventilation and piping design. Participating in the training session were three engineers with Revit backgrounds, as well as two engineers not engaged in the projects on a daily basis who did not have previous Revit experience. If we specifically look at MagiCAD s modelling, coordinating and documenting functions, MagiCAD may save up to of manhours compared to performing the same tasks with outof-the-box Revit, Mark Silcock, BIM Manager, Derry Ltd 10 % Even at a modest estimate of 10 % saved manhours, our investment in MagiCAD paid for itself during the first 12 months. Mark Silcock, BIM Manager, Derry Ltd The two-day workshop was enough to cover the design tools. Our three engineers with Revit previous background were able benefit from using MagiCAD directly after the training. The two engineers who did not have previous experience have taken longer to get up to speed, but this has been more due to the fact that they do not work in the projects day to day. To support their adoption, we have found it useful to organise reoccurring internal workshops which enable learning from the more experienced designers, comments BIM Manager Mark Silcock from Derry Ltd. For us, the biggest immediate benefits after the training were MagiCAD s standard connection tools which made design instantly faster, shortening modelling time considerably. For example, the sewer pipe connection tool was a big timesaver when dealing with sloped drainage pipework, Mark continues. We are very happy with the productivity enhancement that we have achieved through MagiCAD adoption. Even at a modest estimate of 10 % saved man-hours with 3 engineers, our investment in MagiCAD paid for itself during the first 12 months. If we specifically look at MagiCAD s modelling, coordinating and documenting functions, MagiCAD may save up to of manhours compared to performing the same tasks with out-of-thebox Revit, Mark concludes. 14
Conclusion This white paper provides business managers with a practical cost/benefit assessment model when considering investment in MagiCAD. Using the resulting calculation sheet, it is possible to calculate the expected return on investment and payback period when adopting MagiCAD, and perform a reliable cost/benefit assessment for the investment over time. As an easily quantifiable benefit, MagiCAD provides a productivity boost. This benefit can be translated to more billable projects with the same resources in the same period of time and to a higher profit margin per man-hour with shorter average project run-through times. When performing the cost/ benefit assessment, the shorter project run-though time enabled by MagiCAD is weighed in the calculation model against the total cost of the investment. The total cost includes not only the out-ofpocket investment resulting from the price of the software and the initial training sessions, but also the more elusive cost of the initial learning period with new technology. boost in productivity Payback time approximately 6 months To make the cost/benefit calculation reliable and comparable regardless of the company and its particular circumstances, the calculation model analyses return on investment strictly from the perspective of saved man hours, and leaves out any additional positive variables such as increased profit from being able to accomplish more billable projects with the existing resources. In the example calculation that is analysed in the section How to calculate the total cost and payback period for your company on page 10, the calculation is performed for a company that has four engineers and set the total average personnel expense for one engineer to 5,000. The total expense of one employee varies a great deal from country to country based on the salary level and the additional labour costs on top of the salary. You can easily modify this and other key values when performing the calculation for your company. 15
With the figures in the example calculation, the return on investment enabled by the full productivity increase will be 1,500 per engineer per month, meaning a total saving of 6,000 per month with four engineers. With this saving alone, the return on investment during the first 12 months is approximately 33,360 or 189 %, and during the first two years 103,520 or 587 %. During the second and consequent years, the only cost resulting from MagiCAD is the license renewal price, which in the present example is 1,840 annually. In the example case, the total investment would be completely paid back already during the first six months after the initial learning period as a result of the gradually increasing man-hour savings, with the full efficiency boost of reached during the sixth month. This would mean in the present example a 189 % return on investment during the first year and 587 % during the second year, which are significant benefits especially when the calculation leaves out all other profit-enhancing effects besides the man-hour savings. Moreover, the productivity boost can also be translated to additional 1,2 man-years, resulting in 5,2 effective manyears with 4 engineers. This enables more billable projects and may also be considered from the perspective of higher profit margin per man-hour, resulting from the shorter average project run-through times. One-year ROI up to 189 % Perform the calculation for your company using the calculation sheet in appendix 1 In conclusion, the direct monetary and business-enhancing benefits from the productivity boost enabled by MagiCAD are significant. However, MagiCAD also enables smoother and easier day-to-day workflows for engineers, exceptional BIM collaboration capabilities, as well as MEP design and calculations based on BIM objects with real, manufacturerverified product data. For a quick recap of MagiCAD s business-enhancing benefits across different levels of the organisation, please see page 5.
