3 The Client: VaultMR Vault Medical Records VaultMR was founded as a solution to improve current healthcare technology that impedes progress in the delivery of patient care. VaultMR is providing the rehabilitation health care centers in the USA with the software for recording, and keeping the patient records, such as diagnosis, prescriptions, different analysis, cure history, further steps, and more. The product meets HIPAA audit standards, uses a HIPAA-compliant storage, and interacts with other interfaces through HL7. VaultMR founders continue to strive for a true Electronic Health Platform, that s why they team up with clinical leaders and technologists to create a powerful, user friendly, and interoperable system. The VaultMR EMR system is currently implemented in two hospitals, in the after-care units, and is targeted to be released to two more hospitals care units in July and December

4 The Initial Challenge VaultMR worked with our parent company TEAM International Services, Inc. to build a disruptive, web-based, SaaS enabled Electronic Health Records platform to be used by inpatient and outpatient rehabilitation health care facilities in the U.S. The platform is used by therapists, nurses, and other doctors for consolidated storage of patient-related information such as diagnosis, prescriptions, detailed analysis, cure history, etc. HIPAA certified storage and HIPAA compliance were an essential part of the product development. The project scope included project management, business analysis, software development, user management console development, QA & testing, configuration management, application deployment, and ongoing user support. Agile Method of Software Delivery The core of the VaultMR software was quickly developed, delivered and deployed in production. Up to this day, TEAM International continues to develop the product, constantly adding new features and utilizing new approaches to deliver the perfect solution to its end-users. Therapists, nurses, case managers and clinicians are successfully using VaultMR day-to-day in attempts to deliver better care to their patients. The Next Stage VaultMR engaged one of Care Analytics competitors to help them manage the increasing infrastructure, and to support the ongoing demands of a growing platform. After experiencing numerous technical issues, VaultMR began searching for a Managed Services Provider that was more than simply a provider of computing services and IT resources. VaultMR was looking for a partner that had a full understanding of the complex healthcare industry; a partner that could satisfy their needs for a 3

5 scalable environment that would fully meet the increasing compute resources and storage demands of a continuously growing platform, and step up to the challenges created by an ever-changing regulatory environment. They had a clear vision of the sophisticated product they were trying to create, and the understanding of what type of company could fit the profile as their partner and solutions provider. Care Analytics was chosen in January 2017 as VaultMR s Managed Services Provider to help achieve this vision. Cost-Effective Migration VaultMR was eager to migrate their HIPAA-compliant EHR system from an existing compute resources provider that, due to customer service issues and lack of effective response, had caused interruptions and unnecessary delays to system availability in It was a high-priority mission with a necessity for a speedy migration. The initial project was to produce a mirror of the existing infrastructure configuration that consisted of ten compute instances in a HIPAA-compliant Virtual Private Network. The required infrastructure components were: 1 Bastion Server 2 Web Servers & Load Balancer 2 Application Servers 1 External Monitor Server 1 Integration Server 3 Cassandra Database Servers 4

6 There were multiple Vendor packages to be installed: MySQL and Galera Cluster Zookeeper Mirth Connect Solr Zabbix Sense Of Urgency VaultMR requested Care Analytics to create an accelerated implementation plan that could produce a first glance infrastructure, and allow VaultMR s technical team to start data migration, and application migration within 4 weeks. Why The Project Was A Success Care Analytics delivered the initial infrastructure according to plan within four weeks, and completed the full system implementation on time and on budget, within eight weeks. Both teams adopted agile methodology with four 2-week sprints. Ultimately, the project was a success because of the combined efforts of the Care Analytics and VaultMR technical teams. They were committed to working well together, and to make sure the project was a success. There was joint ownership of the plan and all tasks, which were regularly discussed and adjusted during bi-weekly scheduled meetings. The following SOP support goals were set, and fulfilled, for Service Desk support ticket resolution: Average Time to first response = Within 2 Hours Average Time to resolution = Within 4 Hours Time to close = Within 24 Hours 5

7 Expansion Into Continuous Operations Given the initial success of the Migration project, VaultMR has requested additional scope of work from the Care Analytics team: Application Integration solution relying on HL7 DevOps Engineering with multiple environments creation and automation 24/7 Technical Support Customer Testimonials At VaultMR, we believe in humanizing the charting experience for clinicians and our relationship with Team International has allowed us to maintain that intimacy with our clients. TEAM continues to astound us with their knowledge, adaptability, and cooperation without compromising quality. As a growing product, we are able to continuously improve our agility and development through TEAM and Care Analytics resources.
