1 ************************************************************************ * * * Defense Property Accountability System * * * * Web Release April 10, 2012 * * Release Notes * ************************************************************************ Web Release for the Defense Property Accountability System (DPAS) effort was released on 10 April 2012 There is no action required by the user to receive the update. System Change Request (SCR) in this release: DPAS UII Generation. This change modifies the values used in the formation of the UII that DPAS generates. DPAS will concatenate the Assigning DODAAC and a sequential Serial Number. Prior to this change, DPAS concatenated the Assigning DODAAC and the Asset Id of the asset. This methodology caused occasional conflicts when the user changes the Asset Id of an asset that DPAS has generated an UII for, then decides to assign the Asset Id to another asset, then wants to generate an UII for that asset. UIIs must be unique, which in this scenario would not have been, thus an UII could not be generated for the second asset. Remedy Tickets and were also addressed. Generate UII WPSAB30 Generate UII. DPAS Authorizations/Cost Center. This modification provides added capabilities to support additional cost centers that may be required when managing assets to Authorizations for Army users. Improvement Add/Update/Delete - WPACN02 Process was modified to add the Owning Cost Center, changed the Cost Center to Funding Cost Center and incorporated the Cost Center Browse for all users. Real Property Add/Update/Delete WPACN11 Process was modified to add the Owning Cost Center, rename Cost Center to Funding Cost Center and implement the Cost Center Browse for all users. CIP Project Add/Update/Delete WPACN15 Process was modified to add the Owning Cost Center, changed the Cost Center to Funding Cost Center and incorporated the Cost Center Browse for all users. Cost Center Add/Update/Delete WPAUN17 Added a new process for the user to create and manage Cost Centers that will now be table driven rather than a text entry field. Cost Centers can now have a maximum length of thirty (30) characters (up from eleven (11)), except when accounting system requirement requires something other than this. 1

2 DPAS will provide support for the following three types of Cost Centers: 1. Owning (Owng) The organization currently responsible for the asset. 2. Funding (Fndng) The organization that funded the purchase of the asset. 3. Depreciation (Deprn) The organization that is to be charged for the Depreciation Expense of the asset. Cost Centers can be established with a Beginning Date, Expiration Date and can be temporarily frozen should the need arise. Asset Receiving/Asset Receiving Background WPHRN11/WPSAB13 Process was modified to add the Owning Cost Center, changed the Cost Center to Funding Cost Center and incorporated the Cost Center Browse for all users. Asset Disposition WPHRN29 Process was changed to add the Owning Cost Center and LIN/TAMCN to the results display grid. Asset Update/Asset Update Background State WPHRN51/WPSAB17 Process was modified to add the Owning Cost Center, changed Cost Center to Funding Cost Center and to add browses for the two Cost Centers. Asset Transfer/Asset Transfer Background State WPHRN52/WPSAB15 Process was modified to add the Owning Cost Center, changed Cost Center to Funding Cost Center and to add browses for the two Cost Centers. Disposition Reversal Background State WPSAB21 If the Cost Center for Re-Activated Asset is no longer active, Re-Activate Cost Center upon restore of the asset. Auto Create Soft Improvements Batch WPSAB46 Process was modified to include the Owning Cost Center as part of the Improvement creation. Cost Center Browse WCGLM51 Cost Center Browse was modified to support the Owning Cost Center and to provide support of all accounting system interfaces. Cost Center Inquiry WPHRQ38 New inquiry to support viewing of Cost Centers. User Preference Update WPSEN06 Change Cost Center to Fnding Cost Center on the screen. DPAS Maintenance and Utilization. 2

3 Maintenance Asset Profile Add/Update/Delete WPMAN10 The process was modified to add Dispatch Sub-Category, Dispatch Unavailable Code and modified the list of Dispatch Types by adding No Dispatch. The modifications were made in preparation for the Dispatch module to be delivered in Release Dispatch Category Add/Update/Delete WPMAN32 New process that provides the user with the capability to manage User Defined Dispatch Categories and Sub Categories. Maintenance Asset Inquiry WPMAQ10 Modified Asset Profile Inquiry to show the new fields that were added in support of the Dispatch Module. Dispatch Category Inquiry WPMAQ23 New Dispatch Category Inquiry. The inquiry displays the fields: MAINT ACTIVITY/OWNING UIC, DISPATCH CTGRY, DISPATCH CTGRY DESC, DISPATCH CTGRY LONG DESC, SUB CTGRY and ASSET CNT. Work Order Legacy History Inquiry WPMAQ25 New Work Order Legacy History Inquiry. It will be used to warehouse the Closed Work Orders that will be transistioned from GUI DPAS later this year. Equipment Utilization Form Request / Equipment Utilization Form WPMAR09 / WPMAR10 New process that provides the user with the capability to request and print a Blank Utilization Form, Utilization Form with Asset Information, Utilization Form with Asset Information and the Inspection List or the Inspection List. DPAS SB700. This SCR provides support for the Army s SB Agency specific Catalog data. The DPAS user can determine if they wish to use this data or forgo using this data. The decision is based at the Catalog Name level. Stock Number Add/Update/Delete / Stock Number Browse WPCTN01 / WCGLM12 Added a new tab to manage Agency Catalog fields that are being added in this release. For those sites that have selected to receive Agency Catalog data, the process will automatically read the Agency Catalog table on the Add action. When a matching Stock Number is found, it will retrieve the Agency values and disable the fields from update. As part of the Add action, the process will also automatically insert the corresponding LIN/TAMCN into the LIN/TAMCN table when it does not exist for the selected Stock Number. The Stock Number Browse was modified to allow the users who have selected the option of accepting an Agency Catalog feed to search/select Stock Number from their Agency s Catalog. LIN/TAMCN Add/Update/Delete WPCTN11 The process was modified to allow retrieval of LIN/TAMCN and associated description supplied by the User Agency Catalog. Stock Number Inquiry WPCTQ01 The process was modified to show the new Agency data fields. 3

4 Stock Number History Inquiry WPCTQ02 The process was modified to show the new Agency data fields. Agency Catalog Inquiry WPCTQ05 New inquiry that will permit the user to query their Agency Catalog Information when their Agency provides a master feed of Agency Specific Catalog Data. Initially the Agency Catalog Inquiry will be used to view SB Catalog data. Stock Number Mass Update Batch WPSAB18 Modified to support the additional Agency data fields that were added in this release. SB Agency Catalog Import WPSAB28 New process that will read the inbound data and post it to the Agency Catalog Inbound table. Note: This background process will be transparent to the user. SB Agency Catalog Stock Number Import WPSAB39 New process that will compare the newly supplied Agency Catalog Data to the previously supplied Agency Catalog data. Differences will be posted to the Agency Stock Numbers Table and will be used to update the User s Catalog when the user has requested their Catalog be updated using Agency Catalog data. SB Agency Catalog LIN/TAMCN Import WPSAB55 New process that will compare the newly supplied LIN/TAMCN Agency Catalog Data to the previously supplied Agency Catalog data. New LIN/TAMCN will be inserted into the Agency LIN/TAMCN Table and description changes will be applied to the Agency LIN/TAMCN Table and will be used to update the User s Catalog when the user has requested their Catalog be updated using Agency Catalog data. LIN/TAMCN Browse WCGLM47 Modified LIN/TAMCN Browse to query the Agency LIN/TAMCN table. The ability to query the Agency LIN/TAMCN table will only be available to those users who have requested their Catalog Utilize the Catalog data supplied by their Agency. DPAS This SCR provides the capability to display user roles for all DPAS applications. User Status Inquiry WPSEQ05 - Modified the process to display roles for all DPAS applications (Property Accountability, Supply Store and Maintenance and Utilization). Process was only displaying roles for the Property Accountability application prior to the change. This SCR also addressed Remedy Ticket and PTR

5 This release contains the following Program Trouble Reports (PTRs): Accounting Depreciation Update - WPACN10 Corrected the Prior Depreciation process to adjust the accumulated depreciation properly for an asset. Process was modified to incorporate the Cost Center Browse for all accounting systems. Cost Center Edits will be based upon the Accounting System the Depreciation Expense is being reported to. Remedy Ticket applies. PTR 9878 applies. Cross Level Expenditure Data with Assets WPSAB47 Corrected the method of updating CIP Project Acquisition Total Cost when Project Type is Average Cost, Single Asset. Acquisition Total Cost should be updated using the same formula that is being used to update CIP Project Acquisition Dollar Amount. PTR 9832 applies. Appropriation Browse WCGLM57 User reported that the functional requirements document states that the * wildcard can be used to search in all fields. User received an error when searching by wildcard in the Subhead and Program Year. Process was corrected to allow wildcard search in the Subhead and Program Year. Remedy Ticket applies. PTR 9786 applies. Asset Management CIP Asset/Improvement Add/Update/Delete WPACN16 User reported missing update and delete hyperlinks for CIP Asset. The grid index was corrected to increment properly to display the update/delete hyperlinks. Remedy Ticket applies. PTR 9810 applies. CIP Attestation Add/Delete WPACN22 User reported a problem with the Attestation Certification Date showing the wrong Fiscal Year. Process was corrected to display the correct Fiscal Year. Remedy Ticket applies. PTR 9694 applies. Inventory Management Plan Update WPHRN01/WPHRN05 User reported receiving Error 83 when updating the Inventory Management Plan. Process was corrected to process transactions properly. Remedy Ticket applies. PTRs 9730 and PTR 9739 apply. Asset Update WPHRN51 User reported receiving error object reference not set to an instance of an object while trying to process Location Update for Bulk Assets. The process was corrected to allow the location update for bulk assets. Remedy Ticket applies. PTR 9841 applies. Asset Disposition Background WPSAB29 User reported receiving an error when designating an asset for Turn-In. Process was corrected to handle the Turn-In correctly. Remedy Ticket applies. PTR 9890 applies. Real Property Real Property Add/Update/Delete WPACN11 User reported receiving Error 83, Unexpected Error during a transfer of Real Property. Corrected the process 5

6 to send the To UIC to the Cost Center Browse program. Remedy Ticket applies. PTR 9910 applies. Automated Information Technology Print AIT Labels/AIT Label Format Add/Update/Delete WPAIN06/WPUTN11/WPSRN05 User reported printing error after installing universal print drivers. User is utilizing IE9 web browser. Process was corrected to use alternate start/stop sequences in generating the Zebra and Intermec printers when the user s browser is IE9 or greater. Implemented a standard style sheet. Remedy Ticket applies. PTRs 9809, 9735 and 9736 apply. Maintenance and Utilization Equipment Pool Add/Update/Delete WPMAN06 Validation Error was occurring when adding new addresses. Corrected the process by removing mandatory validation of State Code when a state code is entered for the condition State Code Not Applicable. PTR 9780 applies. Audit Viewer WPMAN21 Redesigned the Audit process so that the initial return of data lists only one entry per transaction identification. Upon clicking the record listed, the next screen will show all records related to that transaction. PTR 9741 applies. Journal Viewer - WPMAN22 Corrected the process to allow the search values for the Transaction Journal to reflect the access assigned to the user and allow the inquiry to show all Agency access activities. Remedy Ticket applies. PTR 9675 applies. AIRRS Utilization Interface Import WPUTI01 The inbound file was failing to process. Corrected the process was by redefining the Type Designation data field in the database. PTR 9854 applies. Utilization Service Life Import Update WPUTI04 Process was corrected to verify that the New Service Life is at least as great as the Depreciation Utility Last Re-baseline Quantity. PTR 9747 applies. Asset Utilization Add/Update/Delete WPUTN30 Made font smaller, made the Fuel Cost field optional, moved the Meter field and reordered fields on the single and multi transaction screens. Remedy Ticket applies. PTR 9657 applies. Security Security Login Validation WPSEN01 User reported receiving an error message when a new user authenticates and logs in. Process was corrected to allow the user to authenticate and log in. Remedy Ticket applies. PTR 9783 applies. User Supply Add/Update/Delete WPSEN23 The user reported that they are unable to delete Supply Store Roles for Enterprise users. Process revised to treat Enterprise Users like any other user in Supply Store Application. Remedy Ticket applies. PTR 9655 applies. 6

7 Inactivated/Cancelled User Login Report WPSER01 User reported that the section of the Report showing sixty day deletions is not listing users who have been deleted after sixty days of not activation a new account. Process was corrected to list deleted users on the report. Remedy Ticket aplies. PTR 9826 applies. User Add/Update/Delete WPSEN24 - User reported that the Audit Reports do not show the Last Updated By information. Process corrected to display the user id in the Last Updated By field. Miscellaneous User UICS WCUSS37 User requested that the User UIC Report under Agency Pre-Defined reports be modified to filter off those users that have the Manager s Box set to Y.
