1 Steelcase Workplace Advisor Dashboard User Guide IM#: Intuitive Dashboard With the Workplace Advisor dashboard, timelines, charts and tables make it easy to see when spaces were or were not used, and for how long. Organizations can track the changes over different days and different rooms. Trends and patterns emerge, unique to each company. All the information in the dashboard is searchable, all of it can be sorted, and all of it is available from anywhere, anytime.

2 Landing Page When you first log in to the Steelcase Workplace Advisor dashboard, you ll see the default view below. There are two tabs at the top of the page: Workplace Advisor: enables facility managers to review occupancy data by space. Device Manager: gives IT administrators the ability to monitor and manage installed hardware from anywhere. Tabs for Workplace Advisor and Device Manager High-level overview of all monitored spaces within the company Customize view/data shown by clicking drop-down arrow Tip: To examine a previous week or month of space utilization, use the date selector. This gives you a high-level overview of how your spaces are performing and identifies spaces that need more analysis. 2

3 Customized View Customize your view of the data by selecting a specific location or room, date range and/or time frame. Filters can be adjusted to help you find the specific data you need. Select a preset or custom date range For custom date ranges, select start and end dates Click the arrow to close the selection panel and view the data for the selected parameters Scroll down the list or use the search box to find and select a location or room Search here to view a specific time frame 3

4 Location-Level Reporting Location-level data displays the occupancy for all spaces within the selected location across time, giving you an at-a-glance view of usage trends. Key Metrics are displayed at the top of the page, followed by the occupancy data specific to that location. Average time occupied Number of spaces monitored in a location When spaces were in highest demand for selected time frame Number of unique instances when spaces were occupied during selected time frame Average amount of time rooms were occupied per instance of usage Overview Tab displays a list of all the rooms within a location. It shows attributes and utilization associated with each room over a specific time range. You can sort by the type, capacity and bookable fields. Sorting the list by utilization will show you which spaces are the most and least used, helping you make informed improvements to boost utilization. Search by room, room type or amenities Tip: Click on the search feature in the upper right-hand corner to search by a specific room, room type or amenities with the room (e.g., rooms with telepresence). 4

5 Timeline Tab graphically displays the occupancy of each room over time so you can see how frequently a room was in use, and for how long each time. Tip: When using the timeline view, you can see when rooms were in use or vacant at the same time. This can lead to insights on reorganizing these spaces. 5

6 Room-Level Reporting Room-level data allows you to home in on specific spaces and is available in several different views, including occupancy percentage, occupancy timeline and event duration. Click on a room name to look more closely at its usage to help you determine whether the room is being used for its intended design and to see what is driving its utilization. Key Metrics are displayed at the top of the page, followed by the occupancy data specific to that room. Average time occupied How the room s usage ranks in comparison with other rooms in that location Average amount of time the room was used each day during selected time frame Number of unique instances when spaces were occupied during selected time frame Average amount of time rooms were occupied per instance of usage Occupancy Percentage illustrates usage trends over a selected period of time. Search patterns over the course of a day or over a number of months to discover peak usage times. Tip: Hover over the graphs to see more details about the data. 6

7 Occupancy Timeline displays the actual times when the room was occupied and for how long it was used. Short durations might indicate impromptu meetings, while a longer duration might reflect focused, head-down work or team collaboration. Depending on the purpose of the room, this information can help you understand whether the room is being used as designed. Event Duration groups events according to how long they last. It shows the number of events that fall within each duration noted in the color key. This information can be used to understand whether a space meets its design intent. Tip: Hover over the graphs to see more details about the data. 7

8 Room-Level Detail Space attributes can be assigned to each room, which helps better connect the characteristics of a space with its data. Room-level detail can help answer questions about usage and explain unexpected or unusual trends. Attributes include space type, capacity and reservability along with a list of room amenities. You can document anecdotal feedback in the notes section to capture additional insights that might impact utilization. 9 Device Manager Device Manager is specifically designed for IT admins to monitor and manage installed sensors and gateways. All company devices are listed, with sensors grouped underneath their associated gateway. Each device displays its status, current occupancy (for sensors) and space assignment (room name for sensors and physical location in notes for gateways).
