KnowledgeSync News Leading the Way in Active Alerts November 2, 2004 Contents: 1) KnowledgeSync 2005 Pricing Announcement (Repeat from September) 2) KnowledgeSync V5.7 Now Available (Crystal V9/V10 & GMT/UTC Support) 3) SalesLogix / MAS500 Integration by Avante Solutions 4) Partner Spotlight: MAX ERP by Exact Software 5) Welcome New KnowledgeSync Clients 6) KnowledgeSync "Did You Know?" ************* KnowledgeSync 2005 Pricing ************* Vineyardsoft has released its pricing on KnowledgeSync for 2005; in addition to slight increases in the price for the existing one, two, three, and Unlimited connection license types, Vineyardsoft is also announcing a new optional way to license the product -- by KnowledgeSync "Module". (Note that "Modular" pricing is designed only for those clients who do not want (or need) the Crystal Reports integration or the ability to configure an event to execute any of the actions located in the "Actions" tab of an event.) "Modular" licensing gives Business Partners the ability to sell KnowledgeSync in three additional ways: 1) "Alerts Only". This license type does not include Crystal Reports, nor does it include the ability to trigger any "Actions" (such as VB Scripts) from the "Actions" tab of an event. The MSRP of this license type is $1,799 per connection (an Unlimited Connection License equals '4' connections). 2) "Alerts Plus Reports". This license type does include Crystal Reports, but does not include the ability to trigger any "Actions" (such as VB Scripts) from the "Actions" tab of an event. The MSRP of adding the "Reports" module to any "Alerts" license is $499. Note that the MSRP of the "Reports" module is always $499, regardless of the number of connections that a client has purchased. 3) "Alerts Plus Actions". This license type does not include Crystal Reports, but does include the ability to trigger any "Actions" (such as VB Scripts) from the "Actions" tab of an event.

The MSRP of adding the "Actions" module to any "Alerts" license is $999. Note that the MSRP of the "Actions" module is always $999, regardless of the number of connections that a client has purchased. Note also that the price of a 1, 2, 3, or Unlimited connection "Alerts" license, plus the cost of the "Crystal" module ($499), plus the cost of the "Actions" module ($999) is identical to the price of a standard one, two, three, or Unlimited Connection license. Here are three examples of "Modular" pricing: 1) A client wishes to monitor a single BusinessWorks database and trigger alerts. The client does not need the ability to generate and deliver Crystal Reports, nor do they need the ability to write information back into the BusinessWorks database or into any other database. License: KnowledgeSync "Alerts"; One Connection. MSRP: $1,799 2) A client wishes to monitor their MAS90 database and trigger alerts, including order confirmations and invoices in PDF format. To do this, the client does need the Crystal Reports integration, but they do not need the ability to write information back into a database. License: KnowledgeSync "Alerts" + "Reports"; One Connection. MSRP: $2,298 3) A client wishes to monitor a single GoldMine database and a single Great Plains database. They need the ability to trigger Crystal Reports, and the ability to configure events that write data back into either database. License: KnowledgeSync Two Connection; MSRP: $5,095 (Note that in this example the two connection license is identical (in functionality and in price) to a two-connection "Alerts" license($3,598), plus the "Reports" module ($499) and plus the "Actions" module ($999).) The 2005 pricing will be in effect starting on January 3, Any orders for 2004 that are received by end of business on Monday, January 3rd will be billed at the 2004 levels. Any order received on or after January 4, 2005 will be billed at the 2005 levels. There are no exceptions. Please notify any customers who are considering purchasing KnowledgeSync of this scheduled pricing change. This version includes support of Crystal Reports Version 9 and 10, support of Greenwich Mean Time (GMT; also referred to as "UTC"), and other enhancements and improvements. (See product release notes for full details.) Note that as of version 5.7, KnowledgeSync no longer can be run under Microsoft Windows 95 or Windows 98, due to the new version of Crystal Reports. If you are running KnowledgeSync under Windows 95/98, you must not upgrade to V5.7 or beyond. KnowledgeSync will continue to support earlier versions of Crystal Reports, so if you (or your clients) are running Crystal V8.5, V8, or previous versions, your reports will still function as designed in KnowledgeSync. (Please do be aware, however, that as of Crystal Version 10, Crystal Reports themselves have stopped supporting certain older functions within their reporting application. If you are using an older version (i.e., prior to V9) of Crystal Reports, it is suggested that you contact Crystal to receive a listing of those functions that are no longer support in V9 or V10.) In addition to supporting Crystal Reports created in V9 and V10, KnowledgeSync's integration with Crystal V10 will also enable KnowledgeSync to generate XML -- either as a result of a triggered event, or simply on a scheduled basis. This new functionality is provided through KnowledgeSync's integration with Crystal V10, as "XML" is now one of Crystal's supported output formats for its reports. Note that XML files that are created may be attached to an , may be FTP'd to a specific location, or it may be referenced in any of the "Actions" (such as in a program or VB Script) that a triggered event is able to execute. New and existing KnowledgeSync clients may download the Version 5.7 "KnowledgeSync Setup" file from the Vineyardsoft website and run this file from the server on which KnowledgeSync is to be installed. The Setup file may be downloaded from:

Existing KnowledgeSync clients must take the following steps to ensure that their current KnowledgeSync configuration is correctly upgraded to Version 5.7. Please be sure to backup your existing KnowledgeSync data files prior to upgrading. Note that as of Version 5.7 of KnowledgeSync, there is one installation file for both new installations and for upgrade clients. The steps for upgrading KnowledgeSync are as follows: 1) Go to the "Services" option on the "Administrative Tools" menu of the KnowledgeSync server. Stop the KnowledgeSync service. 2) (Still in the "Services" option) Display the "Properties" of the KnowledgeSync Service. Click on the "Log On" tab. Make a note of (write down) the values for the domain\username in the "This account" field. Exit from the Services option. 3) Locate (and make a note of) your current KnowledgeSync installation folder. Assuming you took the defaults when you initially installed KnowledgeSync, this location will be: C:\Program Files\Vineyardsoft\KnowledgeSync ) Backup all of the contents of this folder (and the contents of all of its sub-folders) to a safe and separate location. 5) Uninstall the KnowledgeSync application using the "Add/Remove Programs" option in the Control Panel. Remove any "KnowledgeSync Update" programs first, and then remove the "Vineyardsoft KnowledgeSync" program. (This process will leave your KnowledgeSync data files intact.) 6) Install (execute) the KnowledgeSync V5.7 setup file. Please note that when asked to specify where to install the V5.7 application, be sure to specify the same location (disk and folder name) as your previous KnowledgeSync installation. The default installation location for V5.7 is: C:\Program Files\Vineyardsoft\KnowledgeSync ) You may be prompted to re-start your computer after the installation completes. If so, please choose the option to restart immediately. 8) Go to your "Programs" group and to the "Vineyardsoft KnowledgeSync" branch. Select the option called: "Upgrade earlier version database to V5" This program will invisibly update your KnowledgeSync database structure to V5.7. When you are prompted to login to the the Event Manager, please make sure to do so, as this step completes the upgrade. 9) Visually verify your applications, queries, events, reports and scripts in the Event Manager. If any data appears to be missing, please locate your data folder from step #4 and replace the currently installed data folder with the contents of your data folder from your backup location and re-execute step #8. 10) Open the Services program from the Administrator tools menu and open the "Properties" of the "KnowledgeSync" service. Click on the "Log On" tab and

modify the domain\username in the "This account" field with the value you noted from step 2 and verify the password. Save this entry. 11) (Still in the "Services" option) Start the "KnowledgeSync" service. 12) Run the KnowledgeSync Event Monitor and verify the service and the individual KnowledgeSync servers have started successfully. The status for the servers will first show "Startup" and then, after several seconds, they will change to "Idle" (if there are no KnowledgeSync events to process) or to "Processing" (if there are events to process). 8 In every issue of "KnowledgeSync News", we'll focus on a single technical aspect of the application that you might not be aware of. This issue, the subject will be: "Multi-Query Events" The ability for a single event to use multiple queries is one of KnowledgeSync's most unique features, and yet many partners are not only unaware of this, but are unaware of the business scenarios where this might come in handy. 1) Why would you need to use a multi-query event? There are two typical reasons why you would use a multi-query event. The first is when you want a single event to identify if two related conditions have occurred. One example would be if you wanted to know about any clients who had purchased less than 'x' dollars worth of your company's products, but had also called into your Support Staff more than 'y' times. This event requires two queries; one to total up the client's purchases, and one to count the number of support calls. The second reason why you might want to use a multi-query event is if you needed a single event to check for one set of conditions in application 'A' and a related set of conditions in application 'B'. One example of this would be if you wanted to know about any client who was on credit hold in a financial application but had open sales opportunities in a CRM application. Like the first scenario, this event would require two queries; one to check the financial application, and a second to check the CRM application. 2) How do multiple queries know how to link a record from the first query to a record in the second query? To link multiple queries together, you need to identify one value that both queries have in common. In both of the preceding examples, this value would typically be something related to the client, such as their account number, name, address, social security number, or so on. 3) Where (and how) do you specify what this linking field is? Once you have looked at both queries and decided what value they have in common (and will therefore use for linking purposes), you need to follow these steps: -- Go into your first query and go to the "Columns" tab. -- In your list of selected columns, find the one that you will use for linking purposes (e.g., the client's address). -- Make a note of that column's Customized Name (e.g., "mail_address"). -- Exit from your first query. -- Go into your second query and go to the "Filters" tab. -- Select (as a filter) the "link to" field; i.e., the field that contains the same value as the linking field from query #1. -- Make sure that the operator for this filter is "equal to" -- Go to the "Compare Value" field for this filter, remove the '?', and manually enter the customized name of the linking field from query #1. sure that the customized name is enclosed within curly braces ("{mail_address}") and that the "Type" field is set to "Literal". Be

4) Since the preceding steps show that the "link field" value from the first query is passed into the second query, does that mean that the values from other fields can be passed as well? Yes it does; and here is an example of an event using one query from a CRM application and another query from a financial application. The initial query totals up all of a client's open opportunities in a CRM database. The second query not only links to the corresponding client's record in the financial application, it also takes the client's open opportunity total from the first query, adds it to the client's open receivables balance (retrieved by the second query), and tests to see if that new total exceeds the client's credit limit (also retrieved by the second query). 5) What else can you do with a multi-query event? The other great benefit of a multi-query event is that ALL of the fields from ALL of the event's queries may be used in the outgoing alert messages and in the "Actions" that the event executes. Thus, in the case of an event using multiple queries from multiple applications, you can design alert messages that contain database values from multiple applications, and you can execute workflow (application updates) that take information from one application and push that data into one or more other application databases.
