1 UTM Web-based Timesheet Tool: Supervisor Training

2 Enter your unique user name and password into the required fields, then click on Log In.

3 Select My Team > Time Management to take you to your employee s timesheets.

4 If there are requests to approve or decline, a message indicator notice will populate upon entering the Time Management page within UltiPro. From the Message window in your Inbox, click on the request, then Approve/Decline link to access the Scheduler-Request-Detail screen for approving/ declining Time Off Requests. Note: If you have set up in UltiPro, the same notification will be ed to you.

5 To search for Time Off Requests without your Inbox message, navigate to Scheduler > Requests. Utilize the sub-tabs and filters.

6 The Detail tab is where the actual approval for the Time Off Request occurs. The filters can assist you with sorting out previously approved requests, finding requests only for your applicable date range and viewing details of the actual request. On the Detail tab, you can approve or decline requests one of three ways

7 Option 1 Go the Scheduler > Requests > Detail Select the appropriate check boxes. Click the Approve Selected button to approve. *REMEMBER TO SAVE YOUR APPROVAL!

8 Option 2 Go the Scheduler > Requests > Detail Select the Approve All button. *REMEMBER TO SAVE YOUR APPROVAL!

9 Option 3 Go the Scheduler > Requests > Detail Click on the blue Pending link to see the notes. Use the dropdown menu to approve the time off request. *REMEMBER TO SAVE YOUR APPROVAL!

10 Once the Approvals have been saved, the system will populate the dates/hours on the timesheet as requested.

11 Once logged into UTM, the initial page opens to the Summary tab of the Attendance category, where you can quickly see the status of your employees timesheets, their summarized hours, and any attendance exceptions. A timesheet has 1 of 3 different Timesheet Statuses: OPEN: Employee has not submitted their time for approval. SUBMIT: Employee has completed their time and submitted it for Supervisor approval. MGR APRVD: Supervisor/Manager has reviewed the timesheet and approved it.

12 The Summary tab also includes Filters for quick sorting. The column headers serve as interactive buttons that will sort the data in the column alphabetically or numerically. To view a certain employee s timesheet, either click on the Timesheets tab or click on the employee s name. Filters Column Headers

13 From the Attendance > Timesheet tab, you can see your selected Employee s detailed timesheet, or toggle to other employees from the list on the left hand side. Note: The detailed view is used to review the timesheet details, make corrections, and approve the timesheet.

14 To approve this timesheet, click the Approve button. The Timesheet Status changes to MGR APRVD.

15 If an employee s Work Hours need editing, you will perform the edit from the Attendance > Timesheet tab. In the applicable field, enter the date, pay code and time to add a new punch if necessary, or simply correct an inaccurate or missing clock punch by clicking in the box. The Insert/Repost button allows you to enter multiple days of punches at one time. Select your date from the drop down, enter the times and then click OK.

16 1. To add or edit Non-Worked Time, click the next available empty Date field and select the date from the drop-down list. 2. Click the PayCode field and select the pay code from the drop down list. 3. At the Reg field, enter the number of hours. 4. Click Save to apply the changes.

17 Once timesheet edits have been completed, you can finish approving timesheets in three different ways. 1. You can approve timesheets via the Approve button on the timesheet. (Timesheet tab) 2. You can approve timesheets from the drop down menu on the Summary tab. 3. You can select Approve This Page on the Summary tab.

18 Should you be out of the office, and need to Delegate your employees to another Supervisor, you can perform that task from the Preferences > Delegation tab. 1. Select Who you want to delegate to in the drop down menu. 2. Select the Dates you choose to delegate. 3. Select Supervisor Delegation from the Web Access box. 4. Click Save. Your Delegate can now see your employee s for the date range you specified. Prior to saving, you can click in the Message box and send a message to your delegate.

19 From the Properties tab, click the down arrows next to a criterion to change the default setting. Change as many criteria as needed to create your optimal report. Select the Preview tab to run the report. The report runs and provides options to publish the report. *NOTE: Change Output Format from PDF to Excel to see your report in a spreadsheet format.
