3 Océ COSMOS The workflow management system for your input and output processes Both print service providers and corporate print and data processing centers are creating a large number of different print jobs every day. Invoices, personalized mailings, TransPromo documents, technical documentation no order looks like the other. However there is one common denominator: A complete and perfect execution requires different processes pre-defined processes that need to be executed manually, step by step. The workflow management system Océ COSMOS takes over the control of these processes platform-independent, automatically, flexible and reliable. It doesn t matter whether you have one, two or 20 different process steps: all necessary programs to process a print order are monitored and under control of Océ COSMOS. For this Océ COSMOS uses all available resources in an optimal way and has always a clear view on the requirements of the individual jobs and the entire order situation. 4 Starting into new worlds The challenge: automation of established processes Even if print jobs are coming from various sources and different customers certain patterns appear again and again. For example when producing invoices, the incoming data stream must be processed and converted. Or there is a requirement for inserting a company-logo. Every single document needs formatting. Later in the process, the data has to be sorted for optimal distribution, the suitable printer must be chosen and controlled correctly. All these tasks are usually executed by different programs and in most cases have to be started manually by the operator. This is done mostly in a fixed sequence, even if this is not needed for processing the job for example, sorting can be done anytime before printing. However, it makes sense to have a specified sequence, because this is the only way to plan the workload of the whole system and maximize the security. But sequential processing generates a lot of idle time, because the jobs can only be processed one by one and not parallel. Besides that, the error analysis is difficult if individual programs are executed sequentially. In case of an error at the end of the whole process all log files for all programs must be analyzed individually. This costs time, and this is usually the least available resource. In short: if you want to have a structured production process you will require both time and other resources and you will have to accept expensive idle time. Océ COSMOS: one product for many applications The workflow management software Océ COSMOS controls all production requests for complex processes in a fully automated, flexible and reliable way and with minimal resources. Because Océ COSMOS always keeps the overview. It launches the required programs in a flexible way and automatically uses the required software- and hardware-resources on different locations. With this software for example, a connection between a print service provider and the ERP-system of his customer can be realized very easily. Ordering and accounting will be executed automatically. Basically, the user can assign Océ COSMOS with the automation of all processes in the context of document production. Alternatively at certain points, even before any new process step, he may include a stop to confirm the continuation of the program manually. Océ COSMOS shares the orders for the processing in predefined product classes. For example, invoices are auto matically recognized as such and are sent to the corresponding process chain. Then the preprocessing runs all the steps which are defind in the program for the invoice process. Océ COSMOS executes the individual processes in such a way that software- and hardware-resources will be optimally used. For example, while processing a job for postage optimization, the next job can already be formatted. Networked and therefore independent In all of this Océ COSMOS is also scalable. As long as a direct network connection exists, it is irrelevant what the location is of an application for order processing, or where the printing system for the production is situated. So in larger companies Océ COSMOS can use all resources, regardless of the location and the platform on which they are installed. This will avoid bottlenecks and the existing systems can be used optimally. At the same time in case of disruptions the production can be shifted quickly. If this requires the conversion of data into another printer language Océ COSMOS will do this automatically. This makes Océ COSMOS also capable to process multiple jobs in parallel. If there is a job marked as urgent Océ COSMOS stops the processing of a less urgent job to the benefit of the time-critical jobs and resumes the interrupted work later. 5

The administration of the overall package is very customer and user friendly: To make a change in a single process step, for example installing a new program or a new printing system, it is sufficient to adapt the corresponding module. This leaves the entire system operational at any time. The integration of new or modified modules will be done with a few mouse clicks. Maintenance and expansion of Océ COSMOS can be carried out by Océ. Alternatively or in addition to that, Océ can train the customer in the administration or the creation of new workflows with Océ COSMOS as well as in the log file analysis.
