1 FusionEnterprise for IBM FileNet P8 Specifically designed to manage engineering documentation in the context of a construction project or operating plant or facility Organizations wanting to meet the content management requirements of their engineers have in the past had two choices - implementing a specialist application, or to pay for extensive customization and extensions to a general-purpose ECM platform; the latter being risky and expensive. With many organizations now looking to standardize on an enterprise wide content management platform, the challenge has just got more complex. To address these challenges Sword s engineering and technical content management application, FusionEnterprise leverages the core IBM ECM FileNet capabilities such as workflow and business process management, document and records management, image capture and content federation. FusionEnterprise complements the benefits of the robust ECM infrastructure by adding specialist engineering functions including Project, CAD management, document numbering and intuitive searching. The result is a low risk, proven, best of breed value proposition with an extremely low Fusion for IBM FileNet P8 Key Features: CAD integration provides access to the P8 repository from within the AutoCAD or MicroStation CAD integration supports reference file management and automatic title block attribute import / export Transmittal Management Project that includes Vendors and Contractors Engineering Based Searching using criteria such as Project Number, Due Dates or Equipment Type. 2 total cost of ownership. FusionEnterprise Products FusionEnterprise Web Client - FusionEnterprise is a Content Enabled Vertical Application (CEVA) that enables organizations to automate everyday document control operations and document-centric business processes using a standard web browser. It provides a secure, easy-to-navigate web application that uses common information search/retrieval metaphors found in popular web sites today. This allows organizations to quickly deploy document control to automate business process and enforce compliance standards. FusionEnterprise enables any authorised user within an entire organization or supply chain to quickly perform the tasks needed to accelerate change management. Preview - Content can be previewed without downloading the document to their machine using the integrated web based viewing tool functionality. Application Launch - s can be launched into a local application at the users workstation and printed to a local or networked printer. Forms - The attributes (metadata) of a document can be displayed in a configurable HTML form in a format and style familiar to the end user. Quick Info - Displays metadata for the currently selected document. FusionEnterprise can be configured to display specific fields. More Info - Once a specific document is selected, FusionEnterprise can quickly display other related information, including mark-ups, audit history, or the previous revisions of a document (by default, users view the latest revision of a document). FusionEnterprise has an intuitive document searching tool for novice users, and advanced search capabilities for power users: Benefits: Less time needed to perform each document control transaction increasing efficiency and reducing resource demands Vendor documents and project issues reduces risk of project delay and errors Faster assembly of Bid / RFP packages requiring less clerical work Reduced litigation risk and improved corporate compliance engineering change with full transparency and auditing Faster completion of project milestones and Improved client satisfaction Quick Search - A simple method to find information based upon entering a search expression. The context of what is to be searched is derived from the Browse tree. Folder Search - A simple drill-down through the browse tree to find information. Power Search - An advanced search form based on the category of information in the browse tree. Users can enter Query by Example (QBE) search expressions in any number of fields to locate information. 3 Content Search - Search for documents by entering a word or phrase that is contained within the body of a document (full text retrieval) Using the FusionEnterprise pathwalk and reference capability, relationships between documents can be constructed with minimal user effort, making it easy to trace relationships between design, vendor and maintenance documents. In addition to standard document files, FusionEnterprise supports two special document types: logical and complex documents. A complex document consists of a number of files attached to a single database record. Optionally, one file can be marked as primary so that when the complex document is launched, the primary file is the one that is opened. A logical document is similar to a table of contents and holds a hierarchical structure with links to standard or complex documents. FusionEnterprise supports complex document numbering for revisions and versions. The document numbering scheme is highly flexible and configurable so that existing company standards can be followed. For example, placeholder documents can be created to reserve document numbers, and different categories of document can have different numbering schemes, e.g., Requests For Information can be numbered differently from main project documents. FusionEnterprise provides a number of features for creating information: Electronic Forms - Authorised users access electronic HTML forms to add documents to the system. Electronic forms provide data lookups & validation to ensure accuracy. Indexing (inserting a new document) - A single file or a collection of files can be indexed into the system. Templates and Macros can be used to automate data entry. Related Information - Relationships can be created between content thus providing authorised users with easy access to all information associated with a document. Attaching - A file or collection of files can be attached to an existing record. References - References can be added between documents to, for example, group related information together. FusionEnterprise CAD Connector provides users with view, checkout, save, index drawing, importing title blocks and referencing functionality within their native AutoCAD or MicroStation CAD application. FusionEnterprise Microsoft Project Connector - When setting up a new project, a Microsoft project plan can be used to automatically populate the FusionEnterprise file structure. FusionEnterprise can also automatically synchronize dates for document or folders and the associated tasks in a MS Project Plan. The project plan can be automatically updated based on the percentage of completed documents within a folder. FusionEnterprise Collaboration Space provides a simple and secure environment where employees, contractors and business partners from any location can participate in review and approval processes of project documents - all based on Microsoft SharePoint. FusionEnterprise Transmittal Manager - provides electronic transmittal processing for incoming and outgoing project documents. It is integrated with Microsoft Outlook tasks and calendar. Its features include: Transmittal Creation - Information can be sent to other users including partners, vendors and contractors, requesting they perform a certain action and then receive their responses. Easy Action Generation - Creating the distribution list for transmittals is often repetitive with the same document types being distributed to the same users for the same action type. To simplify this, FusionEnterprise enables users to create distribution groups and distribution matrixes which automatically generate the required distribution lists. External Access - External suppliers or business partners do not need access to the FusionEnterprise system enabling you to send and receive information to the recipients and senders of transmittals. Transmittal Monitoring - Effective monitoring and reporting allows users to track progress of distributed information. Transmittal In Tray - Users are provided with immediate notification of transmittal actions that require their attention. The In Tray has a project hierarchy that can parallel the current ongoing projects. FusionEnterprise automatically distributes incoming documents for action Note Templates - Transmittal notes (e.g. acknowledgement notes) can be generated dynamically based on the content of the transmittal by using pre-defined templates, which can also be used to consolidate user comments into a single transmittal comment note.
