2 Project manager leads, and project team perform actions to perform the work defined in the Project Management Plan to achieve the Project s objectives Key Benefit: Overall management of the project work. This makes up the majority of the activities in the EXECUTING phase of the Project, and uses up most of the Project Budget. For example: Staff, train, manage team members; implement planned methods, standards; manage communication channels, issue change requests, manage risks, manage sellers, quality etc. 3 The PM & PM Team direct the planned activities, and create deliverables to meet the project objectives Deliverables are produced as outputs from the execution of planned activities. 3 Work Authorization System Authorize or Sanction the start of work packages and activities at the right time and in the proper sequence Primarily a Written authorization to begin work On smaller projects, it is okay to have a verbal authorization system Also a method to ensure that more work is not done than what was initially required 5 Review changes, and Implementation of Approved Changes Preventive Action Anything that reduces the probability of potential consequences of the project risk events (e.g. hiring a skilled resource who you think will be needed in later stages of the project) An intentional activity that ensures the future performance of the project work is aligned with the project management plan 6 Vinai Prakash, PMCHAMP.COM 3

4 Corrective Action Anything done to bring expected future project performance in line with the project plan This involves using a workaround to solve a potential problem A workaround is a remedy used to tackle unexpected problems If you don t have a realistic performance measurement baseline, how would you know if corrective action is needed? An intentional activity that realigns the performance of the project work with the project management plan. 7 Defect Repair Means Rework. Required when a required component does not meet specification or does not work as desired. Any defect repair that changes the baselines or any of the management plans must be approved through a formal change control process or request. 5 9 Inputs: Project Management Plan (all subsidiary plans) Approved Change Requests (from change control board) May be preventive or corrective action, or defect repair. Implement. May make changes to policies, PM plan, procedures, costs, budget and may revise schedules. 6 Inputs: Organizational Process Assets Historical issue and defect management database Communication requirements record retention, security requirements Issue and defect management procedures Process measurement database Project files from prior processes 11 Tools & Techniques: Expert Judgment Technical and management details Internal to organization, or external (consultants, stakeholders, subject matter experts / associations Project Management Information System Access to scheduling tool, work authorization system, configuration management system, information collection and distribution system, interfaces to other automated systems, gathering and reporting KPIs. 7 Outputs: Deliverables (typically tangible) Unique & verifiable product/service/result/capability Work Performance Data Actual cost, number of defects, KPIs, work completed, start/finish dates of scheduled activities, actual duration etc. Change Requests Formal proposal to modify any document, deliverable, or baseline. Can also include corrective and preventive actions, defect repair, updates to project documents Project Management Plan Updates Project Document Updates (logs issue, assumptions, registers - risk, stakeholder, requirements documentation) 13 If a problem arises in your project Evaluate and Assess the problem - how is the problem going to impact the project? Discuss with team members about the best way to handle the problem and check for alternatives (crash or fast track?) Also, try to determine what would be the implication of the problem change in triple constraints balance? Try to refer to the planned remedies, if not, have a workaround If the problem cannot be solved, discuss with the management, sponsor and other stakeholders If it still cannot be solved, Inform the customer about the implication of the problem Based on customer s feedback, adjust triple constraints 14 Vinai Prakash, PMCHAMP.COM 7
