5 1 VENDOR RETURN Material that was overstocked, damaged, or defective can be returned to vendors for credit. The VENDOR RETURN module is used to report those items that need to be returned, to generate vendor returns for those items, and to add items to existing vendor returns. The following table indicates the steps necessary to process vendor returns. The module(s) where each step occurs is noted. It lists items with surplus stock and suggested return quantities, based upon your specified vendor return parameters. 5

6 The Generate option is used to generate vendor returns. Vendor Return Generation allows you to return any stock or non-stock item to a specific vendor. When you generate a vendor return for a stock item and choose to return the item to stock, the system creates a code 4 on the Stock Adjustments Register. When you generate a vendor return for a nonstock item, the system creates a code 5 on the Nonstock Adjustments Register. The Add option is used to add items to existing vendor returns, as needed. The Report option is used to generate vendor returns based on the requirements in a specific vendor returns requirements report. Each of these options is described in detail on the following pages. Average Monthly Usage is one of the elements used by the system in calculating an item s surplus stock. You can set the USAGE FACTOR to temporarily modify the Average Monthly Usage by a given multiplier during the calculation. The default value for the Factor is A Usage Factor of , for example, acts to increase Monthly Usage by 20%. Safety stock (in days) is an extra supply of inventory to allow for variation in demand and lead time. DAYS SAFETY is used only in the absence of a set value in the Item and Vendor Records. In obtaining a number of days, the system looks first to the item, then to the vendor, and lastly to this parameter. COST RATE represents an annual cost to keep multiplier. A Cost Rate of 0.30, for example, reflects an annual cost to keep of 30%. The Item Usage/Purchase Parameters in the Company Record, include a Cost Rate field which allows you to set a default value for this field. If the value in the Company Record is zero (0), the Cost Rate defaults to.3. ORDER POINT EXCEPTION % only applies to items set up on an UPTO or EOQ basis. It allows items that are not yet at their Order Point, but are within a given percentage, to be included tells the system to show all items, regardless of purchase method and regardless of whether they have surplus stock or not. You analyze the report and decide what you want to return. The Order Point of items is incremented by the specified percentage so that surplus stock is decreased by the % amount. 9

10 A NULL response tells the system to show only those items with surplus stock. You can choose a BRIEF Requirements Report if so desired. SAVE TO REPORT FILE is used to optionally save the report to a special report file. A system-assigned reference number is assigned to the report. This allows the purchasing agent to recall the report for vendor return generation purposes. The purchasing requirements of a Purchase Group can take into account surplus stock. More specifically, the excess stock of locations within the group can be used to offset the group requirements. Surplus stock does not affect Purchasing Type A. PURCHASING TYPE is used to determine how PO requirements are calculated for the purchasing group. It is automatically set to the value specified in the Company Record unless edited. A indicates that the net stock of all locations in the group are added together. The requirements for the group are then calculated using the purchasing method of the location doing the purchasing. B indicates that the purchase method of each location in the group is used to calculate its own requirements. All of these requirements are then added together to become the requirements for the group. SHOW ALL LOCATIONS only applies when the Purchasing Type is set to B. It allows you to show all locations on the report (not just those with a surplus quantity). This will allow a manual review of all locations when making vendor return decisions. You can choose to INCLUDE ITEM HISTORY if so desired. LOC indicates that item history for all locations is included. COMP indicates that only company-wide item history is included. NO indicates that no item history is included. If INCLUDE ITEM HISTORY is set to LOC or COMP, you can specify what item history INFO is shown. If INCLUDE ITEM HISTORY is set to NO, no item history is included. DMND indicates that only DEMAND is shown. HITS indicates that only HITS are shown. BOTH indicates that both DEMAND and HITS are shown. The message VENDOR RETURN REQUIREMENT REPORT GENERATION IN PROGRESS is displayed below FIELD while the report is being generated. 10

11 VENDOR RETURN REQUIREMENT REPORT: SAMPLE REVW TIME and LEAD TIME are obtained from the Vendor Review Record. The LEAD TIME SOURCE field of the Vendor Review Record indicates the source (USE VEND) or (USE ITEM) from which the system pulls a LEAD TIME figure when doing surplus stock calculations. VENDOR PURCHASING INSTRUCTIONS are obtained from the Vendor Record. PACKAGE SIZE is obtained from the Item Record. If this field is O, then the Purchase Size field is used. PACKAGE WEIGHT is calculated as the item s weight for the suggested return quantity. Purchase CLASS is obtained from the Item Record. Stock status (QTY-FREE, QTY-PROTECT, and BACKORDERED) is obtained from the Item Record. 11

12 MONTHLY USAGE is obtained from the Item Record. PURCHASE METHOD is obtained from the Item Record. ORDER POINT and ORDER QUANTITY are calculated for the EOQ and Order Up-To methods, and obtained from the Item Record for the Order Point/Order Quantity and MIN/MAX methods. LEAD TIME is obtained from either the Item Record or the Vendor Review Record and is factored by the Lead Time Safety factor obtained from the Vendor Review Record. The value shown is the value after factoring. SAFETY STOCK DAYS is obtained from the Item, Vendor, or Purchasing parameters. If the Item is 0, Vendor is used. If the Vendor is 0, Purchasing is used. Safety Stock Days is factored by the appropriate Safety Factor field in the Item Class Record for the given purchase class, depending on usage volume. DAYS SUPPLY specifies the number of days supply: Monthly Usage QTY-FREE divided by 30 SURPLUS stock is the Net Stock (Free + On PO + In Transit - Backordered) that is excess of: Order Point + Economic Order Quantity, for purchase method EOQ # of months supply or Order Point (whichever is greater), for purchase method UPTO Maximum Quantity, for purchase method MNMX Order Point + Order Quantity, for purchase method OPOQ RETURNED PACKAGES is the recommended return quantity expressed in terms of packages. NET$/PACKAGE is the calculated cost of a single package. EXTENDED-COST is the calculated cost of the return packages. 12

VENDOR can be specified by Vendor Code or Vendor#. You can browse the available vendors and choose one from the list. If necessary, refer to the Browse manual for an explanation of browses. Upon entry of a valid Vendor ID or Vendor#, both the Vendor ID and Vendor# are automatically displayed next to the Vendor field. The desired vendor s Name and Address are shown for verification. The Vendor Instructions from the Vendor Record are also shown. RETURN INSTRUCTIONS may be specified. If these instructions are left blank, the vendor instructions will print on the Vendor Return. PRINT PRICES inhibits the printing of the price and price totals when NO is selected. Stock items are returned according to package size. However, return quantities are displayed in terms of eaches on the printed vendor return. RET SIZE CONVERSION allows you to optionally have return quantities displayed in terms of the purchase unit size. Please note that if the purchase quantity is not evenly divisible by the purchase unit size, return quantities continue to be displayed in terms of eaches. VEN SUB-GRP refers to the Vendor Sub-Group field in the Item Record. Vendor Sub-Groups provide a means of subdividing vendor purchasing, as may be needed to handle vendor divisions or product lines. SHIP-TO ADDRESS is used to edit the ship-to address. The Edit Ship-To Address screen displays. The N for Notepad option allows you to enter, edit, or delete Notepad notes for the current vendor return. Refer to the Notepad manual for more information on Notepad procedures. 13

You are prompted for the PKG-QTY. This is the number of packages to be returned. <ESC> automatically enters the SUGG-QTY as the PKG-QTY. A quantity can be specified in terms of each by prefixing the quantity entered with the letter E. This allows you to selectively return less than the purchase unit size of stock items. The letter E is automatically displayed next to the PKG-QTY field to indicate each. The returned quantity is removed from free stock and added to allocated stock. Items are priced in terms of the purchase unit size, but are returned in multiples of the package size. LIST/COST refers to the list price per unit of purchase, which may be a different unit from the package size. You can optionally edit PKG-QTY, LIST/COST, MULT, COMM 1, or COMM 2. Entering a T for Vendor Subtotal returns the item and displays a summary of the vendor return. The Vendor Subtotals screen displays (see page 17). displays the purchase order summary information for this vendor return. See the section called Cumulative Totals for Vendor Returns for an explanation of the purchase order summary information. The N for Notepad option allows you to enter, edit, or delete Notepad notes for the current item. Refer to the Notepad manual for more information on Notepad procedures. After the first item has been entered, the system automatically assigns a Return number to the vendor return. Each return number has the format , where is a system-assigned number, beginning with and incrementing by one each time a new vendor return is entered into the system. The first 2 digits indicate the Branch. The system-assigned Return number appears as indicated below FIELD on the first Return item screen display and on all subsequent Return item screen displays. 15

16 When all the items have been entered, you can proceed by pressing [Return]. The Vendor Return menu redisplays. Report vendor returns are printed using the PO RETURN PRINT module in the same manner as any other purchase order. The vendor returns show the supplier s part number. Option #1 is used to change vendor return header or item information. The Vendor Returns Edit screen displays (see page 32). Option #2 is used to add items to vendor returns. 39 2 VENDOR RETURN PRINT Material that was overstocked, damaged, or defective can be returned to vendors for credit. Vendor returns are generated in the VENDOR RETURN module and printed in the VENDOR RETURN PRINT module. Vendor returns can be reprinted in case of printer failure. They are marked ***DUP*** so as not to confuse them with the originals. An entry is made into the Vendor Return Register whenever a new vendor return is generated. The register can be printed on demand and is available for future reference. MAIN MENU If a location default has not been set during LOGON, choosing any option automatically displays the Vendor Return Default screen (see page 48). Each of these options is described in detail on the following pages. PRINT VENDOR RETURNS Vendor returns are printed for the BRANCH specified in the Vendor Return Defaults (see page 48). 39

The system provides a parameter screen when you print vendor returns. This parameter screen allows you to limit the printing by vendor, return number, and return date. 49 3 EXPEDITE RETURN The EXPEDITE RETURN module provides tremendous editing and reporting capabilities. Any vendor return may be viewed by referencing the system-assigned Return number, or by referencing the Vendor ID and External Return number. The terminal display shows the general information for the specified vendor return, followed by the specific return item information, if you wish to have it displayed. EXPEDITE RETURN has an Item Scan option which scans all vendor returns for selected stock items. An Open Vendor Return Report can be produced to assist you in the expediting of open vendor returns. This report supplies valuable information about the disposition of vendor returns. Restricted options in the EXPEDITE RETURN module enable appropriate personnel to cancel an existing vendor return in its entirety or cancel individual items on the specified vendor return. The system enables you to access any existing vendor return for editing. You have the option to make changes to a specified vendor return, and edit the standard shipping information or item information on the specified vendor return. Only those vendor returns with a Return Date and Last Confirmation date earlier than the date that you specify in this Last Date of Activity field are included in the range of vendor returns that are deleted. 62

63 4 PO RECALL The PO-RECALL module answers all those questions you may have about vendor returns that have been removed from the system by vendor return confirmations. As vendor returns are printed in the VENDOR RETURN PRINT module, a picture image is stored in a PO recall file. Thus vendor returns can be reprinted or viewed at any time until they are purged from the file. The form used to print the original vendor return is reported so that the proper form can be inserted and aligned. Detailed vendor return lists and reports are offered. MAIN MENU The Reprint returns options are used to reprint vendor returns. The Maintenance/View option is used to view purchase orders, requisitions, and vendor returns. The View returns options are used to view and print vendor returns. The Vendor listing options are used to print detailed vendor return lists and reports. The Purge returns option is used to remove old vendor returns from the PO recall file. For more information on any of these options, refer to the PO-RECALL chapter of the Purchasing manual. 63
