1 RE:Member RE:Member RE:Member offers sophisticated membership management tools that are easy-to-use. RE:Member gives you the ability to track multiple memberships, produce reports to analyse membership activity, print lists and directories of members, and perform specific mailing functions, such as preparing membership cards and renewal notices. In addition, you can renew memberships, upgrade or downgrade memberships, locate RE:Member offers sophisticated membership management tools that are easy to use. lapsed members and drop members who have not responded to renewal notices. Setting Up Membership Programmes, Categories and Subcategories RE:Member allows you to define memberships that fit the needs of your organisation, giving you enhanced reporting capabilities. Easily organise your memberships beginning with Membership Programmes high-level groups to which Membership Categories and Subcategories belong. For example, a zoo might have Membership Programmes of Individual, Corporate and Educational. Within each Membership Programme, assign Membership Categories different levels of membership at which your constituents may participate. For example, the Individual Programme might have categories of Contributor, Patron, Benefactor, etc. For each category, you set the rules minimum and maximum dues amounts, the maximum number of members per membership, category benefits, expiration dates, renewal information and the time frame for dropping a membership. For instance, requirements for Benefactor membership might include a minimum gift amount of 100, a maximum gift amount of 200, and a maximum of 10 members per membership. The benefits for joining at this level might be free admission to all zoo events and a 10% discount on all gift shop purchases. The requirements and benefits for Contributor and Patron membership categories would differ from those of the Benefactor category. Subcategories allow you to take the organisation of your memberships one step further. For example, after selecting the Benefactor category, you can choose from a list of appropriate Subcategories, such as Adopt- An-Animal or Zoo Sponsor. 2 Adding a New Membership Once membership categories are established, entering and maintaining membership information is simple. Easily view and access membership data from the constituent record, membership record or the gift record. In addition to individual memberships, you can maintain joint memberships, memberships with multiple card holders and memberships with multiple children simply list the individuals and organisation names on the primary member s record to see the designated relationships. You can also keep detailed membership information such as associated solicitors, and if the membership was given as a gift, track specific information such as the name of the giver and related notes. RE:Member is also full of convenient features such as Auto Pick, which can automatically fill in the membership category, programme, member benefits and more based on amount due that is entered. Linking a Gift to a Membership Memberships do not require gifts in order to be entered, but the option of linking a membership to a gift is available to you. When linking a gift, you determine which gift and how much of the gift should be applied to the membership. Renewing a Member RE:Member makes entering and tracking renewals simple. With a click of the mouse, you can renew members at the same level, upgrade them to a higher membership level or downgrade them to a lower membership level. Upgrading or Downgrading an Active Member You can also upgrade or downgrade an active membership. For example, if a constituent who joined at the individual level decides three weeks into his membership to increase to a family membership, you can simply click the Upgrade button to change the membership. Dropping and Rejoining Members If members do not respond to renewal notices, you can drop memberships and still keep important data. Dropping a membership allows you to keep a record of the constituent s past membership activity, but no longer consider them an active member. In addition, the Drop Lapsed Members function allows you to drop groups of members from active membership by expiration date or other criteria rather than searching through records and dropping members individually saving you time. And if dropped members wish to become active members again, you can easily rejoin them at any time. Deleting a Member You can delete a constituent s membership, which permanently removes all membership information from the constituent s record and leaves no indication that the constituent was ever a member. 3 Defining Membership Card Information Specify membership card information such as the name to appear on the card, the type of membership, card validity dates and whether or not to print an address on the card. For joint memberships, you define who receives membership cards in addition to the primary member. You can also choose the number of cards to print for each membership. Renewal Notices and Membership Cards With The Raiser s Edge, you can print Renewal Notices and Membership Cards on attractive forms available from Blackbaud. Prepare Renewal Notices to provide your constituents with a timely reminder to renew their membership, and produce Membership Cards to give your members a tangible symbol of their commitment to your organisation. You can also produce custom renewal notices and membership cards, by exporting data from The Raiser s Edge to use with your word processor s mail merge function. Membership Scanning RE:Member also supports barcode scanning. Print bar codes on membership cards and then scan members cards at exhibits, events and even the gift shop. With each scan, membership information including status and benefits, is displayed, along with a picture, if desired. Scans can be associated with sounds, so that a busy employee doesn t have to pause at each screen, but will be alerted by sounds assigned to lapses or approaching renewal dates. The member can renew or rejoin and update address and contact information on the spot. Membership Summary With the Membership Summary, a complete history of the relationship between each member and your organisation is right at your fingertips. Quickly view summary information such as the date the member joined, the next and last renewal dates and more. Detailed data for each membership renewal is also available. Membership Reports RE:Member includes summary and detailed reports to help you analyse membership trends, produce lists and directories, identify those members who have lapsed or are first-time members, report income generated by memberships and much more. The information you gather from these reports is useful in determining future strategies for soliciting new membership and maintaining those that are currently active. The Comparative Membership Statistics compares Membership Categories for multiple time periods, the number of start and end members, and the income generated. This report is useful in analysing which time periods have the most membership activity and income. The Dropped Member Report lists all the memberships that were dropped from active membership within a certain time period, and can include addresses, drop dates and reasons for dropping. The Expired Membership Report lists those memberships that have expired within a certain time period, and can include addresses, expiration dates and category levels. 4 The Joint Member/Card List Report shows the joint members and/or card recipients for the membership criteria that you define, the number of cards per membership, the relationships of the card holders to the primary member and more. The Membership Dues Report shows the membership dues that have and have not been paid within a certain time period. The Membership Given By Report lists memberships that have been given as a gift from one constituent to another, membership category, date given and renewal notice information. The Membership List/Directory Report lists members by Membership Category and Type, and can include member since and expires on dates. The Membership Statistics by Category Report provides a snapshot of activity within a membership level during a certain time period, including renewals, rejoins, upgrades, downgrades, dues paid and more. The Month/Year Statistical Analysis provides a general comparison by month or year of different membership levels and the activity within them renewal, rejoins, etc. for an unlimited number of months. The New Member Report produces a list of all the new members within a certain time period, join dates, expiration dates and more. The Rejoin Report produces a list of memberships that have been rejoined within a certain period of time, rejoin dates and more. The Renewal Projection Report provides a general projection of income (using high, middle and low thresholds defined by the user) for a specified date range. Use this report to put real numbers into what if scenarios. The Renewal Report produces a list of all memberships that have been renewed during a certain time period, membership categories, dates renewed and more. Thin-client Solutions The Raiser s Edge data is accessible from Windows and through the World Wide Web. Web access, available via RE:Anywhere is ideal for remote offices and travelling staff members. Using a computer with an Internet connection and Microsoft s Internet Explorer, you can view, add, edit and delete records as well as run reports and queries within The Raiser s Edge. Both Windows and Web users work from the same database, ensuring consistent data at all times. The Raiser s Edge is also compatible with Citrix Metaframe and WIndows 2000 Terminal Server.
