1 Role Summary Treasurer Dated: 10 September 2012 Forms part of the. Assumes all responsibility for collection, banking and reconciliation of club monies. Incorporates Registrar function ie: all responsibility for maintaining player database. Collection, banking and reconciliation of all monies for AANC including but not limited to: o VNA payments o Club membership fees o Court fees o Uniform payments o Fundraising receipts Budget and financial planning Preparation of monthly Treasurers reports and bank reconciliation. Remit payment to associations of VNA payments and court fees. Maintenance of membership database used in conjunction with payment records. Preparation of accounts for annual audit Consumer Affairs Victoria (CAV) registration form and payment Payment of public liability insurance yearly Attend monthly meetings Be a named signatory for club cheque account. As member of - charged with all team and player placement decisions, in conjunction with Team Liaison officer, and with due regard for club policies and philosophy. 2 Secretary Forms part of the. Assumes all responsibility for correspondence in and out via Gmail account as well as preparation and distribution of meeting agendas and minutes. Prepare and distribute Agenda for all meetings of AANC - regular or extraordinary. Write and distribute the minutes of all meetings. Monitor the AANC gmail account. Present all correspondence to executive Ensure all player enquiries are passed onto Registrar. Monitor PO Box Attend monthly meetings Be a named signatory for club cheque account. As member of - charged with all team and player placement decisions, in conjunction with Team Liaison officer, and with due regard for club policies and philosophy.

3 President Forms part of the. Acts as public officer for the club with CAV. Charged with overseeing all functions are done in line with position descriptions and club policies. Also charged with promotion and succession planning. Prepares training schedule and court allocations for training night in line with club policy. Ensures all team registration sheets are submitted to association on timely basis. Responsible for promotion of club including but not limited to Net Set Go and local schools. Responsible for succession planning to ensure club s continuity and success. Planning and execution of end of year AGM and presentation night, in conjunction with other executive and general committee members. Oversees all club functions to ensure successful outcomes. Attend monthly meetings. Be a named signatory for club cheque account. As member of - charged with all team and player placement decisions, in conjunction with Team Liaison officer, and with due regard for club policies and philosophy.

4 Vice President / Coaching Resources and Umpire Development Officer Forms part of the. Acts as support for President in all functions as outlined in the position description. Also responsible for sourcing and distribution of resources for further development of coaches, and promote umpiring as a pathway for our members. Assist President where necessary to ensure all roles and responsibilities are carried out in line with individual responsibilities and club policy. Act as liaison between coaches and associations for coaching courses run by them. Research and source coaching materials for further development of coaches. Support coaches in all facets of their role to ensure successful outcomes for players and coach. This includes but not limited to: mentoring, provision of resource material. Dissemination of information and promotion to our members regarding umpiring pathways with both associations. Attend monthly meetings. Be a named signatory for club cheque account. As member of - charged with all team and player placement decisions, in conjunction with Team Liaison officer, and with due regard for club policies and philosophy.

5 Equipment Officer Forms part of the General Committee. Responsible for sourcing and accounting for all equipment inventory. Liaise with team managers to ascertain any new or replacement equipment needs. Purchase and distribute any new or replacement inventory required including items for first aid kits. (Keep a stock of tape, bandages etc in lock cupboard at Chelsea) Keep a detailed inventory list to ensure accountability perform a review or stock take end of each year. Attend monthly meetings.

6 Uniforms Co-ordinator Forms part of the General Committee. Manage and account for all uniform items. Receive, collate and place order with manufacturer, for all uniform items. Distribute to, and receipt monies, from members for all uniform purchases. Maintain register of club shirts loaned to coaches. Periodically review current pricing to ensure best price achieved Attend monthly meetings.

7 Team Liaison Officer Forms part of the General Committee. of this role is to support executive committee in all on court questions with regard to teams in that age group. Their role is to be a buffer between members and executive committee to resolve conflicts, or failing that, to provide recommendations to executive to resolve conflict by having knowledge of individuals and team dynamics, and in line with club policy. They will act as conduit for communication between committee and membership. Support team managers and coaches, when requested, on all on court matters. On game day this includes but is not limited to: knowing correct procedures if emergency player required, or an umpire complaint. Outside of game day, this includes but is not limited to questions of club and association procedures, dispute resolution and player management questions. Provide dispute resolution/ player management advice, for team mangers/coaches in line with club policy. Provide dispute resolution for parents/players in line with club policy. Ensure all club communications are passed on to members by team managers and provide support where this is not possible. Attend monthly meetings, when requested. Support executive committee, and make recommendations, on all questions of player and team placement for that age group.

8 Social Secretary Forms part of the General Committee. of this role is to organize social events for club members and to promote friendly club culture. Make recommendations for and co-ordinate social events for club members. This includes but is not limited to yearly Vixens game. Assist club in organizing end of year Presentation night. Assist in organizing the Bunnings BBQ (if held.) Assist committee in general matters if required.
