4 1 Envision Cloud Ultimate Edition Introduction This guide reviews the features included in the Ultimate edition of Envision Cloud. Appointment Calendar Resource View The Resource View allows you to view the appointment calendar with the appointment resources as the columns, instead of the employees. This can make booking easier while viewing which rooms or equipment is available. Waiting List The Waiting List is a feature that allows the clients who want an appointment to be tracked and booked easily when an opening becomes available. The request is entered for a specific date range, with a specific employee, for a specific service.

5 Appointment Calendar 2 Group Booking Create groups for appointments to be able to easily see clients who are coming in together. Colorcode groups to tell at a glance with which group the appointment belongs.

6 3 Envision Cloud Ultimate Edition Inventory Product Recommendations Retail items can be input on the service profile screen to be recommended when the service is performed. Optionally, you may enter a discount for the item and any notes that you would like to show. These notes show when the service is transferred from the appointment calendar into the sales register or added into the sales register directly.

7 Inventory Service Package A Service Package will allow you to create service bundles or combo services. For example, to make a Cut & Color service, you can add the individual haircut and hair color services to this service package. The pricing and timing set here will override the individual services' pricing and timing. When the client is checked out for this combo service, both the individual chemical service and haircut service will appear in the Sales Register. 8 5 Envision Cloud Ultimate Edition Employees Employee Goals Employee Goals are used to set target levels for your business employees. Goals will need to be entered for each provider type and provider level you wish to set objectives for. Set goals for each of your front desk staff and service providers! 9 Sales Register Sales Register On Account The On Account feature allows for clients to have a balance on an account that they can make payments on, or keep a credit to use towards purchases. This feature may be enabled or disabled in the Company Settings. 6

10 7 Envision Cloud Ultimate Edition Marketing Automated Marketing Automated marketing allows you to create a marketing template once and send it to clients on an ongoing basis when specific conditions are met. The options available for automated marketing are: o Birthday Sends the /sms the number of days you choose in advance of the birthday entered on the client profile. o First Visit Sends the /sms the number of days you choose after a new client visits the business. o No Visit Since Sends the /sms the number of days you choose after the client's previous appointment. o Referral Thank You Sends the /sms within 24 hours of the new referred client visit. 11 Marketing Service Reminders Service reminders can be sent to clients to encourage them to get a service performed again. You may enable the reminders to be sent and enter message text here. You can set reminder text for up to three reminders. The reminder time frame is set on the individual service profile, and you have the option to create and send custom templates per service. 8

12 9 Envision Cloud Ultimate Edition Client Filter - Appointment Options The Appointment Options tab will allow you to filter clients by appointment activity. The Short Notice filter is exclusive to the Ultimate level of Envision Cloud, and allows you to filter clients who have not had an appointment in the past, nor have an upcoming appointment in a number of days that you designate. You may optionally select an employee for whom the client has not (and will not) have an appointment scheduled. Client Filter - Loyalty & Referral Options The loyalty and referral options tab will allow you filter clients based on the loyalty plan assigned, the number of loyalty points the client has or referrals made. You can use just one filter or a combination of filter options to return the results you want. Client Filter - Membership Options The Membership Options tab allows you to filter clients based on the memberships they have purchased, or whether their membership has been canceled or frozen. You can also use the options available here to reach clients who are past due on their membership.

13 Marketing Membership Programs Membership Programs - General Tab Membership programs allow you to bill clients on a recurring cycle, whether or not the clients redeem the rewards of the membership. Envision Cloud allows you to create programs that: Assign a specific loyalty program to members. Have a separate initial deposit amount. Bill a number of terms in advance. Offer a weekly, bi-weekly, monthly, quarterly or annual billing cycle. Billing on first day of a cycle, or set to bill on the date purchased. Prorate billing to allow partial cycle billing when billing on first date of the cycle. Allow the billing amount to change after a certain number of cycles. 10

14 11 Envision Cloud Ultimate Edition Membership Programs - Options Tab Use this screen to setup a Discount Percent by Type (Retail Product / Service / Tanning) or set a discount or specific price for individual products and/or services. You can set a discount percent by the type of item or set a Discount Percent or Fixed Price for individual products depending on the type you select.

15 Membership Programs 12 Membership Programs - Rewards Tab Options on this screen can be configured to reward your clients a product or service when their membership is purchased and / or renewed. You can award clients product, services, or loyalty points. Set an expiration for product or services if you don't wish to allow the rewards to roll forward. Membership Billing Use this screen to bill any clients that have a membership. You can also update client or payment information, freeze or unfreeze a membership, deactivate or cancel a membership from this screen. You will be able to view all of the details of each client's membership subscription, or view a single client's billing history under the "Client Billing History" tab.

16 13 Envision Cloud Ultimate Edition Reports Client On Account Summary This report shows payments made and balances due to client accounts. Report Example: Client Referral Tree This report shows a visual breakdown of referrals made by a single client and the money earned by those referred clients. Report Example:

17 Reports Membership Reports Expiring Credit Cards This report shows credit cards expiring in the time frame you choose. Report Example: Memberships by Client This report shows the clients per membership program. Report Example: 14

19 Reports Sales Register Audit Log This report shows information about actions taken in the Sales Register. The Sales Register Audit Log must be enabled in the company settings before it will be available in the POS Reports. Report Example: 16

23 Reports Dashboards Comparison Dashboard The comparison dashboard shows business information in a date range, as compared to a second date range. Choose the date range selections to the upper right of the screen in the comparison options, and click the refresh button to update the information if the date ranges are adjusted. Further down the page, the sales are separated into retail, service and gift card sales. 20

24 21 Envision Cloud Ultimate Edition Forecast Dashboard The forecast dashboard allows you to view upcoming sales, based on appointments that are booked on the schedule for the selected date range. This is different from the Daily Dashboard's Forecast screen, which only reflects a single day.

25 Dashboards Performance Dashboard The Performance Dashboard allows you to compare a metric, like Service Sales, between current dates and previous dates. Metrics Choose the metric that you wish to focus the comparison on. Date Options 22
