Show attendance is great; nearly 650 Brides alone registered in the July 2018 show! Plus all family members, friends, grooms and other people attending! Our Expo is the biggest and best in Kansas!! At the Bridal Expo you receive the best this area has to offer, including excellently produced Fashion Stage shows by Models & Images, top-ranking exhibitors, plus a well-planned and orchestrated Expo. Your participation in this Expo means your advertising dollars are well invested. BRIDES ATTEND!!! Our focus is to include and anyone planning any type of event! Including Corporate parties, birthdays, celebrations, anniversaries, graduations and all special events. Advertising is a major key to this Expos success. Our website offers a link to your website and information for both your business and the bride. Face book: Wichita Bridal Expo at Century II has done very well with 14,500 Plus likes to our page. We advertise heavily on Social media because that is where the BRIDES are looking. Out Facebook, Twitter, Instagram and SnapChat all are very active! We have Billboards all over Wichita advertising the Expo. We also offer the Expo Directory. Only booths that are in the current Show are accepted to purchase an ad. The Directory is given to each bride as they enter. WE REACH PEOPLE!! WE ADVERTISE!! People attending enjoy having accessibility to many merchants in one setting. This two-day Expo allows Brides time to visit and book their event at the show. You, the merchant, will have time to visit face to face with the Bride while displaying your product or service. The quality of the Bridal Expo is in its advertising, organization and beautiful setting which provides you with the best access to your customer! This is your target audience. The people attending have paid to attend and the Expo is where they will do their business. Participating in the Expo is also an amazing way to network with all the other fine Wedding Professionals in attendance. Again our focus will be all EVENTS! We will be advertising to this as well. We want your potential customers to find you and see first hand your service or product. Our show is successful because both merchant and customer are important! 3 Phone WichitaBridalShow.com 228 N Chautauqua, Wichita, Ks JULY 27 th & 28th 2019 CONTRACT RULES AND REGULATIONS BINDING BOTH PARTIES TO CONTRACT EXHIBITOR NAME BUSINESS CATEGORY (Category must be included and Vendor accepted only into this category 1) Definitions unless Promoter is in agreement and is noted above) A) Show: Bridal Expo 2019 B) Promoter: Alpha Promotions 228 N Chautauqua Wichita, Kansas C) Vendor: Business, person or entity contracting with the Promoter to participate as a booth holder at the Show and their agents, employees, D) Vendor: representatives, staff and / or volunteers. E) Booth: The area leased by the Vendor for it s participation in the Show. 2) Interpretation and Enforcement of Rules Each Vendor shall comply with the following rules, regulations in addition to complying with any and all statues and ordinances of the State of Kansas, Country of Sedgwick and City of Wichita pertinent to the Vendor s participation in the Show, including but not limited to statues and ordinances affecting health, sanitation, maintenance, and fire safety. Any violation of these rules and regulations or the referred statues and ordinances shall result in the immediate forfeiture of all right of participation in the Show and any money deposited to secure participation in Show. 3) A) Liability Indemnity Vendor covenants that it will protest, defend, hold harmless and indemnity the Promoter, Promoter s director, officers, agents, employees and volunteers from and against any and all expenses, claims, actions, liabilities, attorney s fees, damages and losses of any kind whatsoever, actually or allegedly, resulting from or connected with the participation as a Vendor, Vendor helper, or Vendor staff in the Show, including any and all third party business, person, entity. The Promoter or agents of the Promoter shall not be liable for any loss or damage to any merchandise or personal property in or about the Vendor s booth, stage, Fashion Stage, dressing room areas or any where within Century II, regardless of the cause of such loss or damage. The Promoter is unable to offer insurance to cover loss, theft or damage, therefore each Vendor is responsible for any and all of own inventory or property. All items associated with the Vendor or used by the Vendor, Vendor's staff or helpers, are totally Vendor's responsibility. Promoter has no responsibility for any third party or fees for which Vendor has contracted or included or to which a prize has been issued. Vendor accepts all responsibility and financial responsibility of any prize Vendor provides. B) Vendor agrees to pay for any damage caused by Vendor or Vendor representative, or Vendor staff, to any Century II property, another Vendor's Property or to Henry Helgerson Company property. Vendor agrees to pay in full for any damage in which there arises a fee to repair, replace or clean due to Vendor or Vendor representative's cause of such damage. Vendor agrees to pay full amount determined within 10 days of damage from when claim(s) presented. 4) Exhibit Categories/Fees A) Booths For display and sales of items, solicitation of contracts, services and samples by Vendor. Booth size is 10 X 10. B) Fees will be $550 per booth or $500 if pd in full by Deposit $250 per booth must be received in order to secure booth space. 1) Contract is signed on and $ received per booth space, for total of $ 2) A $50 discount will be given per booth space if Vendor pays in full total amount of booth space(s) by If payment is not received in full by NO discount will be given and full amount of $550 per space will be due. 3) If booth space(s) fees are not paid in full by , Vendor forfeits all rights to selected booth space(s) and Promoter may reassign Vendor s selected space or move Vendor to any booth space Promoter selects. Vendor may lose all rights to Show participation, booth space and bridal names as determined by Promoter. Booth(s) must be manned during entire Show. 4) Deadline for entry is when Show full or when business category filled. Promoter reserves the right to determine business category acceptability, and number of businesses accepted per category, or acceptance of any business as a Vendor. 5) Promoter reserves the right to determine the final booth placement of each Vendor and may make adjustments as needed. 6) All booth space fees are due in full by Vendor agrees to pay all booth space due by this time. 7) Booths contracted after , full amount of payment is due at time of signing. 5) Cancellation A) If Vendor desires to cancel participation in Show, Vendor shall notify Promoter in writing of intent of cancellation. To be eligible for a refund a written notification received before will receive a 80% refund, or until an 50% refund. After no refund will be made of any money which has been received for July 2019 Expo. If Vendor cancels, Vendor forfeits all rights to booth space, placement and/or rights to participate in Show, nor will receive Bridal Registration name list. If Vendor contracts for more than one booth space and cancels any additional booth space(s), money received as deposit for additional booth space(s) will be subject to cancellation policy as stated above. Deposit will not be transferred to another booth space(s). Each booth space is contracted and deposit placed independently. No deposit received on one Expo can be transferred to another Expo without about cancellation rules applying. B) If Vendor does not notify Promoter in writing to cancel participation in Show, no refund of any money will be returned and Vendor forfeits all rights to booth space(s), bridal space, bridal Registration name list and participation in Show. C) Vendor will not receive the list of Bridal Registration Names if booth not manned entire show, booth set up with display to promoter s satisfaction, booth not completed at time show opens to public, booth rent not paid in full by June 15, 2019, and/or if Vendor s participation is canceled. If booth rent not paid in full by June 15, 2019, vendor may not be allowed to set up and loses all rights to show. 6) Booth Setup/Removal Vendor will be permitted to begin assembling booths no earlier than 12:00PM Friday, July 26, 2019, ending at 10:00PM same day. Setup may resume at 7:30AM Saturday July 27, 2019 and be completed at 9:30AM same day. Teardown starts no earlier than 4:00PM on Sunday July 28, 2019 and completed with Vendor s possessions removed by 8:00PM of same day. 7) Subleasing Subleasing of all or any of the booth space(s) by the Vendor is strictly prohibited. Vendor cannot nor permit another party to exhibit or be promoted in any manner. All exhibitors, products, goods, services, information available in booth space must be made known to Promoter at time contract is signed and meet Promoter s approval. If Vendor found allowing another party to promote, display, lease, or conduct business in any fashion or allowing to be exhibited any person, information, product, service, or goods not in agreement by Promoter and listed on application form, Vendor involved will be found in violation of contract and may be asked to pay an additional $550 booth fee, and/or not be accepted into any future shows. All unacceptable products, goods, services, or display material must be immediately removed. Vendor may not sell, reassign or in any manner allow a non-contracted business, service or product to assume Vendor s booth space. Violation of rules, will result in no Bridal Registration names to vendor, and possible non acceptance into future Shows.

4 8) Show Schedule Saturday, July 27th, 2019, 10:00AM to 4:00PM and Sunday, July 28th, 2019, 12:00PM to 4:00PM. 9) Electricity Available to most booths. ORDERED and PAID to Century II. Electricity order form will be in information packet sent in June. 10) Fashion Stage A) Modeling Agency will be employed to model all clothing and accessories on Fashion Stage. All clothing or accessories must meet Promoter s approval. Model size determined by over all Show need. No special size models supplied by Promoter. If Vendor requires special model size, additional models can be retained and paid for by Vendor, but all such models are to be hired through Promoter s designated modeling agency. B) Stage Time is limited. Available for full service Bridal Stores, formal wear stores, lingerie, florists, or any business Promoter accepts. Requests for stage time will be considered based on availability of stage time, category, and past participation. Promoter reserves right to accept or reject any request for stage time or time slot. Stage times and slots will be assigned based on deposit date, application and contract received, past participation, past time slot, category and time availability. Fashion Stage acceptance is sole decision of Promoter. C) Eligible Vendors please request stage time when application for show made. If business states will participate on stage and changes this for any reason, promoter reserves right to reject show participation in booth or on fashion stage present or future and any money received for booth will not be refunded. D) Promoter decides which Vendors will participate in same time slot with another Vendor. Promoter decides number of slots available and which Vendor. E) There are no charges to display gowns, tuxes, accessories or flowers on stage unless there are special requests. If Vendor requires dressers, special sized models or special needs, these are not supplied by nor paid by Alpha Promotions. This will be the Vendor's financial responsibility and responsibility to provide and must meet Promoter's approval. F) And gown, dress, accessory, tux, suit or floral arrangement, decor of any type accepted on stage will be Vendor's responsibility in all manners. G) Any special need requested by a Vendor not normally supplied by the Promoter is subject to a fee of which will be determined by Promoter. 11) Booth Decoration. Sound, Food Sampling A) Each booth will be provided a 8 x 10 draped backdrop, 3 draped booth dividers, one 8 skirted table, sign with business name and two chairs. Additional needs ordered through Helgerson Co, form sent in June mailing, or Vendor may provide for any of own needs. B) All tables uses in booth must be skirted to floor, no sheets allowed. Booths must be decorated in Promoter approved acceptable manner. C) All display must fit into Vendor s designated booth space. No part of Vendor's display nor booth may extend into aisle. D) No loud sound equipment allowed. If Promoter or Promoter's staff requests noise or sound to be decrease, Vendor will comply immediately. E) No items found in any manner offensive to Promoter may be displayed. F) Sampling is encouraged and allowed All food given as samples or sold must meet with all State of Kansas Heath Code requirements and any licensure needed must be current. Sample size needs to be a sample. Food Sales are allowed but only if packaged for non consumption at show. G) No attaching of any décor, equipment to Century II building nor to pipe and drape except approved banner over pipe using S hooks. H) Vendors may not go outside their contracted booth area using the aisle to promote their business nor block passage of anyone or anything. 12) Sales Tax Is sole responsibility of Vendor to collect and make payment of collected taxes to State of Kansas. All federal, state and local laws governing retail sales tax must be followed. 13) Publicity Advertising will be made using any mediums Promoter deems appropriate. 14) This contract is expressly contingent is so far as Promoter is able to secure 75 booths by In the event this contingency not met by this date, Promoter reserves right to cancel Show with return in full of any money received. If City of Wichita cancels contract, or site is changed not allowing the show to continue or continue in manner Promoter contracted for with Century II, or an Act of God, Nature, Disaster of any sort, or terrorism occurs in which Show cannot be started or completed on contracted show dates, or is disrupted in any manner, no monies received will be returned and no loss of revenue, real or alleged, can be filed against Promoter, Alpha Promotions or Promoter s representatives. 15) Promoter reserves right to not allow any Vendor to be re-accepted into any future Show(s) if there are complaints to Alpha Promotions, or Better Business Bureau based on unethical business practices by Vendor or Vendor Representatives, non-adherence to contract or Show rules and regulations or Promoter decision. Acceptance into any Show is at Promoter discretion. If Vendor causes or is involved in any disturbance at Show, Promoter can have Vendor or Vendor s representative(s) removed from Show and no re-admittance will be allowed into present Show or future Shows. No money received for booth space will be refunded. Vendor agrees to hold Alpha Promotions, Promoter and Promoter Representatives harmless for any result of such action. If Vendor in violation of any afore listed circumstances, Bridal List Registry names will not be provided to Vendor. 16) Each Vendor will provide a Prize valued at $50 or greater to be available at the Show. Winner s name will be drawn from Show s registration. Gift certificates or prizes requiring a purchase in order to redeem are NOT acceptable. Vendor is responsible for prize distribution. If winner not present, Vendor will notify winner of prize in timely fashion of prize won and award prize. Promoter assumes no responsibility for prizes in any manner. Important - ONLY Vendor's with an ad in the Bridal Directory will have their prize information read from the Stage during the Fashion Stage show time. All others will be running on the TV's at the Expo for the Brides to check. 17) Vendor agrees not in any manner whatsoever provide, sell, make available, display or make accessible in any form any attendee names obtained in any manner at the Show to any person, business, entity or enterprise. This includes names Vendor obtains at own booth, names other Vendor(s) obtain or the Bridal Registration list of names provided by Promoter. All names are property of Alpha Promotions and may only be used by Vendor for Vendor s own business advertising. If Vendor found in violation of name distribution, Vendor will not be allowed into Shows and any money paid for Show will be forfeited. Events involving other Vendors not showing or contracted with Alpha Promotions are not allowed to be promoted at the Expo. 18) Web Site: Vendor will be provided a Basic Listing on the website at no additional charge. If there is a cancellation of booth/contract, all web site listings shall be removed at that time without recourse by Vendor. If Booth balance is not paid in full on June 15 sh, 2019, then all Web Listings may be removed at determination of Promoter. Web Site listings are contingent upon booth deposit made, and full booth price paid in full. Content must be approved by Promoter to be posted. No business, service or entity can be listed on Web Site Listing that is not contracted with Promoter. If contract rules are not followed, Promoter reserves the right to cancel web site listing without Vendor recourse. If booth canceled by Vendor, web site listing is removed at that time.
