5 Eclipse Release Feature Summary The following documentation provides brief descriptions of new or enhanced functionality in Solar Eclipse Release Each major product addition or enhancement is discussed briefly on its own page. For complete information about new or enhanced functionality, refer to the Release online help installed with your upgrade. Access the online help using on the links in each topic or pressing F11 from any window. Important: We recommend clearing your cache after taking an upgrade to ensure the latest online help files are accessible. Note: Starting with Release 8.6.7, new features are documented in the Solar Eclipse online help only. 6 Eclipse Release Feature Summary Rel Automatic Cash Write Off Enhancements Customer Request "I want the automatic write-off utility to include both positive and negative ranges when I'm writing off an amount." Enhancement Description In Release 8.7.9, when checking for write off amounts, the system checks the negative to positive amounts within the indicated dollar amount. This means, if you enter $25.00 in the Maximum Dollar field, the system checks from -$25.00 up to $0.00 and then to $25.00 for amounts to write off. Eclipse creates a new cash receipt record to account for the write-off amount instead of updating the original cash receipt. The change log tracks any changed invoices: 'Cash Receipt - Chk# WRITEOFF - Amt Auto created.' 7 Rel Release A/R Automatic Matching Reports Customer Request "I need the ability to see the details of what was presented in the inbound file and what Eclipse matched it to or why it did not match. This enhancement would allow us to audit and improve our matching rules configuration and bank keying accuracy while also providing a means to test changes made to the auto matching logic." Enhancement Description In Release 8.7.9, four new reports have been added to help you review your lock box automatic matching information: Auto-Matching Applier Performance Auto-Matching Summary Auto-Matching History Auto-Matching Detail Auto-Matching Applier Performance In Release 8.7.9, a new Automatic Matching Applier Performance report has been added so you can view a detailed history report for how many cash receipts were created automatically. The report displays the dollar amounts, invoice counts, and percentages applied when automatic cash receipts were created based on the defined matching rules. You can audit and determine if changes to the matching rules can improve or decrease productivity. In addition, you can better manage the cash application process by reviewing the summary hit-rate data information. This report can help you audit the matching rules and improve the rule configuration and bank keying accuracy. 10 Eclipse Release Feature Summary Rel Cash Receipt Journal Column Addition Customer Request "I need to be able to see my customer's assigned number on the cash receipts journal report. This would help me reference customer information for each receipt when I'm reconciling." Enhancement Description In Release 8.7.9, a new Cust# column has been added to the Cash Receipts Journal Report. In addition, a new What this Journal Report Shows section has been added to the main documentation for Cash Receipts in Account Receivable. 11 Rel Release Credit Checking Enhancements Customer Request "As a credit manager, I spend a lot of time releasing orders from credit hold for various, small reasons. I would like to better control what can be system-released based on parameters I decide and what requires my actual attention to release an order. This would be far more efficient." Enhancement Overview In Release 8.7.9, the enhanced Eclipse credit checking process now provides tools to define exceptions by customer using credit parameters. By using these new parameters you can reduce the overall number of orders requiring manual releases from credit hold. Due to how Eclipse processes and manages credit settings, several new options help you control how you want to handle credit processing. 12 Eclipse Release Feature Summary Rel Credit Exceptions by Amount Enhancement Description In Release 8.7.9, to help credit managers handle customers who have good payment history, you can set customer parameters to allow order processing for small amounts without requiring the order to be placed on credit hold and waiting for credit manager approval. This credit limit exception improves your more reliable customers a better ordering experience. Set your customer's parameters for a maximum order amount allowed over their set credit limit without approval and limit the amount allowed on a daily basis. These restrictions help keep your customers in good standing and let you manage the ordering process. Use the new Allow Credit Exceptions by Dollar Amount area on the Credit Limit tab in the Credit Control options in Customer Maintenance to activate and define your dollar amount exceptions. Note: All changes are kept in the customer change log to make sure the company can audit changes to the information and avoid exposure to fraud. 13 Rel Release Zero and Negative Dollar Order Settings Enhancement Description In Release 8.7.9, use the new Allow Zero & Negative $ Orders To Process When Job Limit Exceeded control maintenance record to allow orders with a negative or zero balance to process even if the job limit for the customer has been exceeded. This control maintenance record depends on the job limit settings defined in the Credit Control options in Customer Maintenance. Prior to Release 8.7.9, if the total of the current order does not exceed the customer s job limit, the order is put on hold regardless of the amount of the order. This leads to the credit managers releasing credit memos and zero dollar invoices. These situations are rarely denied. By removing the credit checking on less than or equal to zero value orders it frees up the credit managers to focus on more important tasks Epicor Software Corporation. All rights reserved. 9

14 Eclipse Release Feature Summary Rel Temporary Credit Limits Enhancement Description In Release 8.7.9, you can apply a temporary credit limit with an expiration date indicating for how long the credit exception is good. Credit managers can use this new feature when customers have mailed a payment but it has not yet been received. This date displays in A/R Inquiry to indicate to the user when the credit exception amount expires: Epicor Software Corporation. All rights reserved.

15 Rel Release The system checks the Max Days In Future Before Warning In Temporary Credit Limit control maintenance record to make sure the date is within the set allowed parameters. If not, the system displays the date you entered and asks for confirmation to continue. 16 Eclipse Release Feature Summary Rel Enhanced Change Logs Enhancement Description In Release 8.7.9, Eclipse now tracks all temporary credit limit changes in the maintenance log of the sales order. Additionally, credit limit approvals for temporary credit limits are tracked in the sales order change log. This helps track how the system or users are processing credit limit changes for better auditing of the process. 17 Rel Release Past Due Updates Enhancement Description - Past Due Percentage Prior to Release 8.7.9, the system required a fixed dollar amount for the Days Past Due feature in the Credit Control options in Customer Maintenance. In Release 8.7.9, the Past Due functionality has been enhanced with a percentage feature. You can specify the percentage of open invoice amounts you are willing to let your customer be over before being put on credit hold. For example, if a Customer that has a Credit Limit of $100,000 and has a current amount of $20,000 in open invoices and has this new option set to 10%, the Past Due Limit dollar amount would be $2,000. The system uses the lower value between the Past Due limit and this new Past Due Limit Percent. Enhancement Description - Total Amount Past Due Prior to Release 8.7.9, Eclipse calculated the total past due considering all credits only when the Apply Credits To Oldest Bucket When Aging Account check box was selected on the Credit Control Parameters options in Customer Maintenance. In Release 8.7.9, Eclipse always calculates the past due amount and takes all credits and deposits into consideration. The new Past Due Limit and Bal. 18 Eclipse Release Feature Summary Rel Enhancement Description- Past Due Limit Calculation Prior to Release 8.7.9, the system calculated the past due limit and applied to the oldest buckets only when the To Oldest Bucket When Aging Account option was selected in the Credit Control options in Customer Maintenance. Due to the above enhancements, the system required a new selection to address when to apply the past due limit calculations. In Release 8.7.9, use the new Apply Credits - To Oldest Bucket for Past Due Limit Calculation option in the Credit Control options in Customer Maintenance to indicate to the system when to apply the credit calculations. 19 Rel Release Available Credit Calculation Enhancement Enhancement Description In Release 8.7.9, the new Number Of Days In Future For Credit Exposure In Open Orders control maintenance record to exclude orders with a ship dates far into the future so as not to adversely impact customer's credit limits. Enter the number of days beyond which open orders with ship dates exceeding the number of days are omitted from the credit checking process. For example, if you enter 7 and today is May 5, the system includes orders with a ship date from May 5 to May 12. When using this exposure setting, the system checks all open order ship dates to compare the date to the exposure setting and today's date. 20 Eclipse Release Feature Summary Rel Credit Hold Report Enhancement Description In Release 8.7.9, the new Credit Hold Report gives you the latest information and shows you either in detail or summary the credit limit information, including temporary limits, the orders that were either system-released or user-released, and the generation information. This report displays the same orders that display as Credit type in the Open Order Status Review Queue. 21 Rel Release A/P Pay Date Recalculation Customer Request "Many of our vendors offer discounted terms, but also have a specified "net" date if the invoice is not paid by the discount date. Today, Eclipse does not update the pay on date, if you missed the discount date. It would be great if the system could recalculate the pay on date for these invoices so they will not be paid until the specified net due date." Enhancement Description In Release 8.7.9, a new A/P Pay Date Recalculation utility selects all payables that have a pay date less than or equal to the date specified in the Pay Date Through field for the selected branches, vendors, and payment terms. This utility helps you manage when to send payments by leveraging a net due date if an invoice is not paid within the standard discount period. The system recalculates the pay date on associated payables. You can use the Preview option on the utility to review your information prior to running the update. After the update is complete, the system sends a report to Your Hold Files detailing which payables were updated and indicating what the new pay date is. Note: You must have the AP.ALLOWED level 2 to run the report. 22 Eclipse Release Feature Summary Rel A/P Automation Corcentric Link Customer Request "My accounts payable personnel use Corcentric to view invoices. It would be great to have a link through Eclipse to display those invoices in the web browser automatically." Enhancement Description In Release 8.7.9, if you have a Corcentric account a new Corcentric option displays on the A/P Entry Inquiries menu. If you do not have an account with Corcentric, this option is not on the menu. If you have a Corcentric account and this option is not showing on the menu, you must call Eclipse Support to have the option activated. If you have Corcentric and the option is greyed out, then there is no Corcentric Invoice present for this payable. 23 Rel Release A/P Duplicate Invoice Management Customer Request "When Eclipse checks for duplicate invoices, it checks for invoices created for the same vendor and invoice number. My accounts payable department re-uses invoice numbers after 90 days. It would be great to tell the system to ignore duplicate numbers after that 90 day period." Enhancement Description In Release 8.7.9, the new Number Of Days Before Duplicate Invoice Numbers Are Allowed control maintenance record to enter the number of days after the creation of the first payable that duplicate invoice numbers are allowed. This setting changes how the system checks for duplicate invoices. For example, you receive invoice #123 from Vendor A today and this control maintenance record is set to 365. The system then checks to see if you received another invoice #123 from Vendor A sometime within the last 365 days. If it finds one, it alerts you that it is a duplicate invoice. If you received it more than 365 days ago, then the system allows the invoice to be created. If the user enters zero (0) for this control maintenance record, then that tells the system to always allow duplicate invoice number and only reject true duplicates. In this case, the system check the vendor, invoice number, invoice date, and the invoice amount to see if they are all equal before considering it a duplicate invoice. 24 Eclipse Release Feature Summary Rel G/L Automatic Postings for Directs Customer Request "Right now, when my direct orders are invoiced, Eclipse posts the invoice to Inventory, Purchases and Clear Purchases to Inventory accounts. This process over-inflates my Inventory account because the material is never received. It would be great to have separate G/L Postings that I could automatically post my direct order invoices to and not. " Enhancement Description In Release 8.7.9, you can now separate your G/L postings for direct orders using three new Automatic G/L Posting accounts: Direct Purchases Direct Inventory Clear Direct Purchases to Direct Inventory Each posting displays separately in the G/L Postings Viewing so you can clearly see how your direct orders are affecting your G/L accounts. 26 Eclipse Release Feature Summary Rel Branch Authorization Enhancements Customer Request "As a business owner, I would like all areas of Eclipse to respect the User Accessible Branches restriction, so users cannot access information for branches they are not authorized to view." Enhancement Description Prior to Release 8.7.9, the User Accessible Branches restrictions applied only to those fields labeled as Br/Tr/All. Fields that referred to only a branch and in which the user entered All returned all branch information regardless of the user's authorization. In Release 8.7.9, the system checks all fields with branch input fields will now check the User Accessible Branches authorization before displaying results. You can select several screens on which you can keep the system checking all branches regardless of authorization. The new Respect User's Branch Authorization control maintenance record to indicate which screens in the system you want to apply the new branch authorization to. 27 Rel Release For all other windows/screens with branch-related input, such as report drivers, the system automatically respects the user's authorized branches from User Maintenance. Eterm Details The same functionality applies to the Eterm application. Fields that referred to only a branch and in which the user entered All returned all branch information regardless of the user's authorization. You can access the control maintenance record parameters and indicate how you want to apply the branch restrictions. 28 Eclipse Release Feature Summary Rel Advanced Demand Forecasting Customer Request "I would like to see additional forecasting algorithms within Eclipse. I need a way to determine if an item has a seasonality pattern. I want to see if there is a forecast method that's a better fit than the one I'm using at the item level. These evaluations would save us from having to review each item's forecast type and demand saving us a lot of time." Note: The following enhancements do not affect your current demand forecast. You may continue to use both methods, as needed. Enhancement Request - Overview In Release 8.7.9, new forecasting algorithms have been added to Eclipse, along with a best fit analysis and seasonal pattern test. The new methods include the following: Single Exponential Smoothing (SES) - A weighted average of historical sales where the most recent sales are weighted heavier than past sales. Holt Model - Uses the same basis as SES basis and adds trending to the formula. Holt-Winters Model - Starts with the same Holt model calculations and adds seasonality testing. Use the new Advanced Demand Forecast Parameters control maintenance record to define how Eclipse selects products to include in advanced forecasting based on a minimum number of hits and a maximum number of years of sales history to use. 30 Eclipse Release Feature Summary Rel Update Advanced Demand Enhancement Description In Release 8.7.9, use the new Advanced Demand Forecasting feature to run the new forecasting methods, as well as Eclipse standard forecasting. Run the forecasting methods by branch or buy line, as needed, to review the selected methods. Important: Running the programs does not impact your current demand or purchasing queues. You can continue to use both Update Demand and Advanced Update Demand until you are ready to run advanced update demand forecasting on all stock products for all branches. Prior to Release 8.7.9, demand was calculated based on the date specified in the As of Date field. In Release 8.7.9, forecast results for all methods are now based on the last full week of sales history (Sunday through Saturday). For example, if you enter June 18, 2014 in the As of Date field, the system uses June 14. The Advanced Demand Forecast performs the following steps for each branch and item combination: 1. Runs Update Demand based on the current method for the product. The program uses the last full week of sales history (Sunday through Saturday) to compare other methods and sales histories using the same time frames. 2. Performs a seasonality pattern test. This test uses Auto-Correlation Function (ACF) to compare past sales in four week buckets to determine if there is an indication of seasonality. This test does not affect how the product is forecasted; it is strictly informational. 3. Runs Update Demand based on the current method for the product for all methods. 31 Rel Release Seasonal with Auto-Trend Single Exponential Smoothing (Optional) Holt Holt-Winters* * This method is only used for items determined as Seasonal using the Seasonality Patter Test mentioned in Step Determines which method best fits the product. To make that determination, Eclipse uses a Mean Squared Error (MSE) formula to compare each method to actual sales over the past year. The method with the lowest overall MSE score is the best fit. The results display in the Advanced Forecast Analysis window. 32 Eclipse Release Feature Summary Rel Advanced Demand Forecast Analysis Enhancement Description In Release 8.7.9, access the new Advanced Demand Forecast Analysis through the Primary Inventory Maintenance window. This new option displays the results of the Update Advanced Demand program. Use this window to review the following: Whether or not Eclipse considers the item to be seasonal. Each forecast method and its corresponding demand. Which method Eclipse determines is the best fit for the item. You can use the View Manager to switch views or create user-defined views. For more information about user-defined view, see Creating User-Defined Views in Application Maintenance. Enhancement Description In Release 8.7.9, a new Return on Additional Investment Calculation window from an option on the Suggested P/O Queue calculates and displays a theoretical Return on Additional Investment (ROAI). Two distinct formulas calculate the ROAI: volume discount and price increase. Use the Quantity or Volume Discount when a vendor offers a percentage discount if you purchase a designated dollar amount. For example, they may offer an extra 5% discount if you purchase $5000 or more. Use the Price Increase when a vendor announces price increases for the line you are buying. Enhancement Description In Release 8.7.9, you can now use the new Progress Billing feature in standard Sales Order Entry.Use this feature to define estimated billing dates for an order based on the order total, including tax, freight, and handling amounts. The order must be open with no invoiced generations. Progress Billing applies to the entire order. For progress billed orders, customers are billed based on pre-defined billing dates, not by when the material is shipped. The new Progress Billing Queue helps you manage billing dates and send invoices. After you convert the order to Progress Billing, the system includes all generations. The Progress Billing window displays automatically after selecting the check box: The Total of Order field value represents the entire total of the order including all generations, tax, freight, and handling. The How Many Billings field defaults to 1. Enter the how many billings into which you want to divide up the total. However, the system alerts you if you change the percentage to equal greater than 100% or change the amount to bill more than the Total of Order field. As changes occur on the order, adding or deleting products, the amounts are adjusted. For example, if the order total increases, the system automatically adds an additional Billing # for the balance on the order. The Current Order Total field displays the cumulative total for the order. You can also indicate by order if invoice copies should be sent based on the shipped materials using the Print Shipment Invoice field. These invoices do not display any amounts due. You can also use the Print Product Detail field to indicate if you want to print the order's product details on the invoice. The User- Defined Maintenance provides four sections to define your queue when creating it: Column Display, Header Fields, Select Options and User Options: Column Display Customize your new queue by changing column headings and using conversion fields to display data in the most user-friendly format. For example, you can select a User ID field, but have the column heading read User Name. The validation field displays data in a proper format, such as numeric value or date. If a dictionary ID parameters allow for editing and a user has the appropriate authorization key, then that user can make changes to the dictionary ID column through the queue. You can make a single update or update all similar fields at the same time. Depending on the field validation, users enter information based on the validation type. For example, if choosing a buy line, users can select from a list or if selecting a date, users use a calendar icon to select a date. The standard F10 function applies to all fields, as needed. You do not assign specific users to a queue, but use the authorization keys to limit access. For example, if you create a queue with branch-specific information such as Min/Max values, and assign that queue to all of your purchasing agents, each purchasing agent will only see data relevant to their accessible branches in user maintenance. Enhancement Description In Release 8.7.9, the new Include All Generations on this Form option has been added to the Eclipse Forms Maintenance window. Use this new option if you want to configure the form for printing all generations from a purchase order. The purchase order prints a form that consolidates all generations that use the same drop point. This means when printing a purchase order, if the selected generation has a drop point set, and the current generation has not been received, is not a bid, and has not been canceled, then all generations sharing the same drop point (and matching the same criteria, such as not a bid, not canceled, etc.), then all generations have all their detail included on the printed document. The detail is not sorted and not consolidated across generations, so a single line appearing on four different gens can print four different times, and each instance may be separated by other lines on the same order Epicor Software Corporation. Master cartons are parent containers for items you are packing, including other cartons or individual products. For example, you may have three reels of wire, two cartons of connectors and a box of electrical tape. You can pack all six of these on a single pallet for shipping. Use the new Master Carton Package Type control maintenance record to indicate the package type you want to use for all master cartons, such as PLTS. This means, that the system dynamically names your master cartons with the selected name. For example, if you pick PLTS, for pallets, as your master carton package type, then a master carton indicator displays on the window: If you name it MSTR instead, the system displays MSTR PACKING in this field. Normally, when vendors make changes to the VMI orders, they send an updated 855 document. If the vendor flags the updated 855 as a VMI order (i.e. BEG02 is set to AP), Eclipse sends the updated 855 to the EDI Error Queue with a message indicating the Purchase Order Already Exists. When this new option set to Yes, a duplicate VMI 855 document is sent to the EDI 855 Review Queue, instead of the EDI Error Queue. The documents have a message indicating that the purchase order already exists in the system. This new option, eliminates the need of going through the EDI Error Queue line by line to find the VMI PO changes. Enhancement Description In Release 8.7.9, a new Include Header Level Tracking Number option has been added to the EDI 856 Additional Document Information screen so you can decide if you want to include header-level tracking information or not. Both of the following options must be set:. The REF Qualifier to Use field cannot be left blank if the Include Header Level Tracking Number field is set to Yes, or nothing will be sent. When populated and the trading partner uses the StarShip for Eclipse companion product, the system sends the qualifier with the tracking number, such as REF^CN^ For an outbound 856 document, use the following guidelines: Field Include Header Level Tracking Number REF Qualifier to Use Applies To 856 Advance Ship Notice 856 Advance Ship Notice Description Set to Yes to include tracking numbers using the following hierarchy: 1. Ship-To Field Restriction in Eclipse Sales Order Entry In Release 2.12, if you are working with a Job Management order from within the Eclipse application, you may be unable to change the Ship To field in the Sales Order Entry Body tab, if the order is shipped. You now must return to the job's Job Summary screen and the Info/Settings tab. From there, use the Override Ship-To Address or the Change Customer this job is awarded to fields to adjust the ship-to address, as needed. If you edit the sell price, the Margin and Markup fields automatically update. This Margin column calculates to six decimal places including having a zero percentage (0%) or a negative value. The column value is rounded by the these to three decimal places for display purposes. Enhancement Descriptions In Release 8.7.9, the RF process introduces the new pick and pass support. This pick and pass process is a way of zone picking in which users pick one zone and pass the tote to the next zone and pick into the same tote, normally by use of a conveyer belt system. This means all picks are made into the same tote as it is passed down the line of pick groups. Authorization for Pick and Pass To use the RF pick and pass process, review the following setup recommendations and requirements. Lock Tote To Order In RF Picking control maintenance record should be set to Yes. RF Pick & Pass PNP Group Maintenance control maintenance record - Set to load pick groups to be used in Pick & Pass including the sequence through which to pass the totes. RF Pick & Pass PNP Exclude Ship Vias control maintenance record for Ship vias by branch to be excluded from the PnP logic except for the divert ship vias. RF Pick & Pass PNP Divert Ship Vias control maintenance record to track ship vias by branch to provide a "divert" value for the automated conveyor system. RF Pick & Pass PNP Tote Extension control maintenance record to define the file extension by branch when sending the Pick & Pass files to the server for Eclipse. These files are used by the conveyor system to determine the Pick & Path sequence. RF Pick & Pass PNP Keep Full Totes Together control maintenance record to define by branch if full totes are sent to the PACK stage. Assign the RF.PNP.OVERRIDE authorization key for users who need to override the RF Pick Select. The RF pick and pass process does not change the standard order processing. All phantoms and user interfaces control the order flow for fulfillment of orders. It would be great if Eclipse offered a way to incorporate that information and let me process my Eclipse payments through the Wells Fargo Payment Manager that we already use." Enhancement Description Eclipse provides an interface to the Wells Fargo Payment Manager provided by Wells Fargo Corporation. Wells Fargo payments use a flat file to process payments. These flat files convert the database information into a single, pipe-delimited ( ) file for bank processing. This file contains all the vendor payment information, the invoice or payable details, and credit card payment credentials. Wells Fargo can then use that flat file to record the invoices paid and the corresponding credit card payments. After creating and sending the file, the system monitors the file and alerts the user if the flat file processed successfully. Control Record Maintenance Enhancement Use the new Wells Fargo Payment Manager control maintenance record to define the payment restrictions and parameters for Wells Fargo Payment protocols. Review each tab in the control maintenance record to setup how you want the Wells Fargo Payment Manager to behave: Payment Types tab - Use to activate the Wells Fargo Payment Manager on site (see the green box in the image below).
